The Manager, Office of CEO is responsible for the planning and development of all administrative, financial, and operational activities for the Office of the CEO. The Manager, Office of the CEO is the communications lead between Executive and Leadership teams, Maison partners, and other stakeholders on key projects in support of the MHUSA 2030 Strategy. The incumbent must establish and maintain an environment of confidentiality within and around the activities of the CEO, the executive council and the leadership team on all matters and exercise discretion and sound judgment at all times.
Profile

Administrative Management

* Manages and provides a broad range of confidential and high priority services for the CEO including anticipating, leading, and facilitating aspects of administrative, financial, and operational activities
* Determine and assign scheduling priorities based upon an elevated understanding of business context to make informed decisions regarding President and CEO's availability, monitor and control time and location
* Assist the CEO in the preparation and emailing of outgoing correspondence
* In partnership with CEO and key business stakeholders, oversee and execute the creation of reports, PowerPoint decks, and presentations including business updates and internal/external Company communications
* Lead the preparation of meeting agendas in close partnership with the CEO and members of the Executive and Leadership teams
* Participate in meetings to document important topics, identify, and track key action items based upon direction from CEO
* Manage all aspects of expense budgeting and reporting including CEO's expenses related to T&E; audit and provide support for the approval of CEO's direct reports expenses
* Work closely with Executive Assistants throughout the organization, give direction, as needed, and act as a liaison and manage the coordination with global EA's
* Monitor multiple communication channels, respond appropriately, and ensure that deadlines are met
* Maintains an accurate e-filing system for critical information

Event/Meeting Management

* Responsible for recurring meetings including business reviews and Executive and Leadership team meetings; provide direction to Facilities and IS&T teams to ensure meeting locations (including access control), all equipment and technology needs are met based on a variety of different meeting settings and expectations
* Source, identify and manage preferred vendors based upon profitability expectations. Coordinate dining/catering as applicable for CEO meetings and events
* Lead the coordination of any onsite or offsite meetings hosted by the CEO, from a 360-degree perspective
* Manage invitations, guest lists, participant registrations and inquiries for all events and work with key stakeholders to address and resolve issues as needed
* Travel, as necessary, to support offsite conferences and events, including setup, participant check-in, vendor coordination, etc.
* Manage any necessary event output and follow-up, including summary documents, surveys, thank you notes, etc.
* In collaboration with the respective counterparts, coordinate global executive visits & meetings (Directors travel, meeting space, and arrangements)

Relationship Management

* Build and develop strong working relationships with:
* employees at all levels for increased efficiency, prioritizing the CEO's direct reports

* key external stakeholders within the Spirits & Wines industry

* Assess established ways of communication and make recommendations for optimization

Operational Responsibilities

Additional information

Education

Bachelor's degree in Business Administration or related field required; Pursuing MBA or master's degree preferred

Professional Experience

10+ years of progressive business and project management experience with a focus on supporting high level executives in heavily matrixed environments; luxury industry experience preferred
