Conducts project meetings and is responsible for project tracking and analysis. Ensures adherence to quality standards and reviews project deliverables. This role also requires the individual to liaise on process and documentation analysis; to proactively plan and manage dynamics related to implementation of the institution's many applications - clinical, revenue cycle, and business. Duties would include coordinating logistics and creating and managing documentation for multiple standing committees. These responsibilities will result in efficient, standardized, and appropriate process changes that will be integrated and communicated to leaders and groups. REQUIRED QUALIFICATIONS Bachelor's degree in a relevant field, e.g., Public Administration, Business Administration, Engineering, Information Technology, Health Sciences. Eight or more years of progressive management experience or project management experience. Familiarity with electronic health record applications. Proven experience in managing complex enterprise projects and/or operations. Demonstrated expertise in creating and maintaining deliverables such as project scope and plan, status reports, cost estimates, communication plan, presentations, risk management plan, milestone/deliverable charts. Demonstrated experience in managing issues, scope, and quality while bringing projects to successful completion within the cost and time requirements. Proficiency with desktop management software, including Microsoft Word, Excel, PowerPoint, Power BI, Project, Visio, SharePoint, OneNote. Strategic and conceptual analytical thinking. Ability to analyze financial plans and budgets. Demonstrated expertise in working with diverse cross-functional teams. LEADERSHIP Support the accomplishment of departmental strategic plans that achieve high impact and significant improvements in organizational performance. Provide leadership, consultation, and support for continuous Revenue Cycle initiatives within the department in support of organizational goals. Staff the Revenue Cycle Governance Committee (RCGC). Coordinate the preparation of all agenda items presented to the committee and develop and staff a preparation workgroup. Systematically apply and teach the science and theory of project management to achieve results on time and within budget. Make recommendations to Revenue Cycle leadership on work redesign efforts that assure an efficient and cost-effective department. Identify and address change management issues related to the evolution of the Revenue Cycle environment. Provide leadership for and actively participate in departmental and institutional activities and programs. Lead teams, committees, and special projects as assigned. PROCESS EXECUTION - OPERATIONS Assist in the planning, design, development, implementation, maintenance, and evaluation of business systems and processes to support Revenue Cycle operations and patient care delivery. Perform analysis of department and end-user business needs. Document end-user requirements. Utilize technical, analytical, and customer service skills, knowledge of regulatory requirements, and Revenue Cycle policy and practices to identify options to meet end-user needs. Articulate the costs, risks, and benefits of all options presented to enable informed decision-making. Participate in activities with interrelated teams including IT project management, testing, support, training, technical, and interface teams. Coordinate functional testing and implementation of IT programs and systems, including preparation of scripts and data for system testing. Review the pre-initiation documentation and agree to project problem, customer needs and environment, and requirements. Work with the Project Sponsor and other key team members to validate project approach, goals, objectives, and deliverables. Create and update project documentation (project scope, team members and stakeholders, milestone schedule, budget, risks, constraints, and assumptions). Conduct stakeholder analyses. Work with sponsor and/or appropriate committee(s) to obtain project authorization. Research industry standards. Develop detailed work plans, schedules, estimates, resource plans, and status reports. Conduct project meetings and hold responsibility for project tracking and analysis. Coordinate event planning and logistics. Set, communicate, and continually manage project expectations with team members and other stakeholders. Analyze the design of Revenue Cycle processes, work, and data flows. Make recommendations to leadership that improve patient, provider, and staff satisfaction, gain efficiency, decrease cost, and reduce waste. Foster and implement systems that lead to proper data governance strategies that support Revenue Cycle operations and secondary uses of EHR data including but not limited to: Measuring the quality, safety, and efficacy of care, Supporting decision making, Setting policy, o Improving clinical, financial, and administrative performance, and o Monitoring resource utilization. Set, communicate, and continually manage program/project expectations with team members and other stakeholders. Contribute information to and recommendations for strategic plans and reviews. Support the creation of executive, departmental, and unit operational benchmarking activities and reporting for assigned projects. Prepare well-supported business cases in alignment with organizational and departmental objectives and shepherd business cases through purchasing, capital, and IT governance and contract negotiation, as applicable. Collaborate with Revenue Cycle leadership to implement production, productivity, quality, and customer-service standards and standard work. Collaborate in the preparation of requests for proposal (RFP) or requests for information (RFI) and participate in the evaluation of RFP and RFI responses. Research various topics regarding Revenue Cycle and prepares reports and presentations. PEOPLE AND PARTNERS Develop and maintain professional relationships with colleagues and staff within the Revenue Cycle, within TCHHN, and with outside entities to promote mutual understanding and respect. Work within the department, across the organization, and with clinical and senior leadership to meet organizational goals. Act as a liaison to IT and clinical personnel. Provide project management and quality improvement support to co-workers and customers as assigned. PROBLEM SOLVING Think strategically and broadly when identifying issues and developing potential solutions. Demonstrate consistent use of Lean methodology for problem analysis and improvement. Demonstrate the ability to manage multiple projects and work in a balanced manner. Provide leadership in the consistent application of the plan-do-check-act (PDCA) cycle as the process for continuous quality improvement (including the identification of internal and external customers, recognition of re-work/waste, flowcharting, root cause identification, brainstorming, and use of data); and embrace the organization's strategic objectives. Analyze data to identify opportunities for improvement and make recommendations of proactive steps to address concerns to appropriate Revenue Cycle leaders.
