GENERAL DESCRIPTION:
Shift: 8:00a-4:00p, Monday- Friday
Pay Range: $18-$20 per hour
Responsible for providing general administrative support to Netcare's Crisis Stabilization Unit including managing client paper charts, medical records retrieval, scheduling outpatient appointments for clients, copying, faxing, preparing rooms for clients, stocking, ordering and other related duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Greets all new clients to CSU, assists them in completing all admission paperwork. Complete the Inpatient intake Bundle with client and insures all information is correct. Completes orientation to unit with client.
2. Processes client property and manages storage of property. Accurately inventories and documents client belongings according to procedure.
3. Answers door, phone.
4. Provides support duties, including keeping statistics, faxing paperwork, retrieving charts and other documentation, making copies, electronically posting client's information, preparing hospital packets, word processing, faxes. Requests medical records from other agencies/hospitals.
5. Schedules outpatient appointments for clients with other agencies.
6. Prepares rooms for clients. Maintains cleanliness of the unit environment by making the beds upon client discharge, sanitizing and clean-up tasks in rooms and on the unit. Assembles welcome baskets.
7. Maintains inventory of supplies, including ordering, rotating, stocking food; and ordering unit supplies, and supply monitoring.
8. Maintains paper forms in most recent version, prepares copies for later use.
9. Assists Manager and Director in preparing for regulatory audits.
10. Performs client observation rounds and documents observations and interactions in electronic health record.
Monitors and reports on location and activities of all clients in the facility throughout the shift.
11. With Team Leader, prepares for psychiatrist / CNP to meet with clients.
12. Maintains CSU office pod as an efficient workspace, per direction of CSU Team Leader.
13. Relates to clients with a variety of age, economic and educational backgrounds and personality types.
14. Provides exceptional customer service to clients, visitors, coworkers, and other professionals.
15. Assures compliance with external entities specific to ODMHAS, CARF, ADAMH and accreditation requirements.
16. Maintains competencies by staying current on all required mandatory trainings without prompting, including qualified mental health specialist and residential trainings.
17. Attends all applicable meetings and trainings and serves on internal committees as necessary.
18. Monitors safety and security of residents, facility and equipment, notifying the manager and/or other staff as appropriate of problems or potential problems.
19. Performs other duties as assigned.
ESSENTIAL KNOWLEDGE, SKILLS AND ABILITIES:

3. Ability to operate various computer programs, including excel, word, and outlook to produce reports, correspondences, etc.

MINIMUM QUALIFICATIONS:
Required: Associate Degree in related field, prefer BA/BS, or 3 years' experience in medical office administrative support or as hospital unit clerk. Basic computer, telephone, and exceptional customer service skills.

Position Overview
ESSENTIAL FUNCTIONS
Transcribes physicians' orders accurately and in a timely manner.

Creates, maintains, and terminates patient charts in compliance with Medical Records guidelines. Obtains and files test results, lab reports, and treatments in charts. Ensures the integrity of the medical record, including patient identification on all chart forms. Maintains chart forms in correct placement in the chart behind the correct chart tab. Guarantees that all chart documents are placed in the chart in preparation for transfer or discharge. Returns old records to medical record department upon discharge. Sends thinned charts to new unit upon transfer or discharge.
Maintains patient census and status boards, log books, and computer databases, ensuring that date and records are current and accurate.
Copies records and other information as needed.
Ensures unit is appropriately supplied with the necessary forms and supplies on order for unit to run smoothly. Expedites the delivery of materials and supplies by preparing orders, tracking the processing of paperwork, and following up with the appropriate parties on a timely basis.
Prepares unit charges as appropriate for specific unit needs. Performs other duties as assigned; willingness to adapt to changing department demands.
Answers and places telephone calls timely. Takes accurate and complete messages. Pages personnel, other departments, and physicians, as needed on a timely basis.
Facilitates the movement of patients into and out of the unit and keeps the Charge nurse informed of patients to be discharged or transferred. Coordinates with patient transport and admission personnel regarding admissions and transfers as needed.
Provides non-clinical information (e.g. directions to a department, location of a patient's room, identification of assigned nurse) to patients, family members, visitors, staff and physicians.
Monitors communication in the nursing station to protect patient confidentiality.
Schedules timely diagnostic tests and lab work as prescribed by nursing and medical staff.
Assists in answering call bells and communicating specific patient needs to staff efficiently.
Handles medication deliveries from Pharmacy and places medications in appropriate medication storage area.
MINIMUM REQUIREMENTS
Education: High school diploma or GED.
Experience: One year of experience or training in a secretarial role or currently enrolled in an accredited nursing school or medical professional healthcare program.

Duties and Responsibilities:
Assist with pre-calls and call reports
Confirm patient's appointments.
Schedule appointments for patients using the electronic health system, following PCMH standards.
Cancel and reschedule appointments for patients using the electronic health system, following PCMH standards.
Direct non-scheduling calls to appropriate department or extension.
Respond appropriately to patient inquiries.
Follow up with patient calls where necessary.
Will be knowledgeable of LEP policy in order to accurately manage our non-English speaking patients.
Maintain a friendly, courteous, and professional tone when handling all incoming calls.
Utilize resources provided for patients with unresolved issues, to include Patient Lines, E.H.R. Messaging, and Patient Advocate.
Performs other duties as assigned by supervisor.
Will float between NHA medical clinic offices.
Requires own insured vehicle and a good driving record.
Skills/Qualifications
Require, High School Diploma or GED equivalent.
Detail oriented along with the ability to manage time efficiently.
Pleasant and professional demeanor and temperament during times of stressful and difficult situations.
Ability to relate effectively to a diverse group of patients in a professional and courteous manner.
Computer knowledge is required.
Must show initiative, independent thinking, and ability to use sound judgment in the absence of specific orders.
Must show ability to resolve patient or customer concerns within the parameters given by the employer.
Ability to maintain patient confidentiality.
Must be able to work independently in a fast-paced environment with regular interruptions
