POSITION PURPOSE:The Executive Assistant is responsible for providing administrative support to the executives and staff at the Los Angeles office location. The role will report to the VP of Corporate Facilities and Administrative Services and required to be in the office RESPONSIBILITIES: Manage executive calendars including but not limited to; planning and scheduling meetings, conference calls, accepting and/or declining and/or rescheduling meetings for executives and sending out meeting requests on their behalf. Handle scheduling of business appointments. Create and maintain vCard database. Answer and screen incoming calls, take messages, send electronic messages and/or transfer priority calls to cell or personal phone, tracking and/or logging calls. Make and/or coordinate travel arrangements including but not limited to; arrangements related to booking commercial flights, hotels, ground transportation and updating itineraries for both domestic and international travel as required. Coordinating itineraries with others. Prepare and edit correspondence and communications. Mange the coordination of meetings including technology and refreshment set-up, preparation of meeting materials (e.g. agenda and presentation), and recording meeting minutes. Coordinate outgoing mail including but not limited to addressing, metering, and certified or registered mail, overnight delivery and intra-company. Set-up and maintain departmental and/or management files according to established criteria. Event planning responsibilities including but not limited to; planning corporate events, booking related travel, Prepare and process expense reports. Reconcile charges to Corporate and/or business credit card(s) and review, code, and process invoices related to departmental expenses including but not limited to: setting up vendors, ensuring appropriate insurance coverage is obtained and submitted, and tracking payments to ensure timely payments. Maintains a high level of confidentiality with sensitive information. Act as back-up to the other administrative staff as needed. Performs other duties, including special projects, as assigned. EDUCATION/EXPERIENCE REQUIREMENTS: (including certification, licenses, etc.) Bachelor's degree and/or related experience. 3 years' experience providing Executive Assistant support for senior executives in a fast-paced corporate environment. Proficient with Microsoft Office including Outlook, Word, Excel, PowerPoint required. Experience with video conferencing software is preferred. Experience with accounts payable software such as Yardi desirable. Experience with office equipment such as printers, copiers, scanners, mail metering machines. POSITION PURPOSE: The Sr. Application Support Analyst is responsible for all access & provisioning duties for both financial and business applications used at the firm, as well as break/fix support to resolve any system problems, prevent disruptions, and ensure seamless performance for business users. Notifies project lead of any field directives with potential cost impacts prior to authorizing work to commence. Schedule Oversight: Assists the Construction Manager in the development and refinement of the Project Schedule and works with the Construction Manager to keep the schedules properly updated, and ensures the job meets the various required milestones. Plumbing snake and clear blockages up to 25 feet. Replace electrical sockets, switches, light bulbs and check breakers. Flooring reattach thresholds. Minor wall repair (drywall, mud, tape and paint) as required. Ceiling repair (drywall, mud, tape and paint). Replace plumbing fixtures such as levers, faucets and drains. Examines and diagnoses problems with heating, ventilation and air conditioning units for property facilities. Determines the best method to repair or replace all or part of the unit. Makes repairs and/or replacements according to standard. Performs preventative maintenance on HVAC units by replacing filters, cleaning coils, etc. Performs minor to moderate-level plumbing repairs, replacements, and/or installations including repairing leaks and removing clogs in sinks and toilets. Performs minor electrical repairs and replacement of light fixtures and related items. Repairs and replaces furnished kitchen appliances such as refrigerators, stoves, washers and dryers. Consult with Maintenance Supervisor to make more advanced or severe repairs or replacement, ensuring all appliances are properly disposed of and removed from the building with appropriate approval. May perform painting projects ranging from full interior painting of property units to minor touch up and repair of walls and sheetrock. POSITION PURPOSE:The Construction Superintendent's responsibility is to supervise the construction of a project and complete the work on schedule, within the budget, and to the quality of workmanship specified. ESSENTIAL FUNCTIONS: PROJECT MANAGEMENT Construction Program/Job Site Setup: Plans and implements the Construction Program/Logistic Plan with the Construction Manager including quality control procedures, safety, security practices, field office location, laydown yard, temporary utilities, final utility POCs, staging areas, equipment, and manpower. Schedules inspections, maintains quality control and jobsite safety. Inspections: Calls for and attends all inspections, andensures the site and subcontractors are ready for inspection. Maintains clean documentation of inspection approvals or corrections and oversees any required work for compliance. RFIs & Submittals: With assistance from Construction Manager, drafts RFIs and reviews RFI & Submittal responses to ensure constructability and consistency with design intent. Communication & Reporting (External): Chairs weekly coordination meetings, subcontractor coordination meetings, and safety meetings with subcontractors. Reviews typewritten minutes prepared by the Construction Manager for accuracy. Commercial Leases: Supervises, coordinates, directs, monitors, and inspects all activities of the Subcontractors in relation to implementation of base building requirements as outlined in Lease Work Letter(s). Schedules inspections, maintains quality control and jobsite safety. Expertise: Demonstrates advanced understanding of building codes related construction activities along with means and methods of construction sequencing and material cohesion. Safety: Manages the implementation of the company's safety procedures and protocols onsite. Works with 3rd party inspectors to ensure all OSHA requirements are maintained. Conducts multiple safety walks daily, and issues citations to subcontractors when observed. PROJECT PERFORMANCE OVERSIGHT Reporting (Construction): Participates in weekly OAC meetings and reports on current site activities and upcoming scheduled work for the next 3 weeks. Receives and reviews Subcontractors' Daily Reports of work done, and labor and material employed. Creates individual daily activity reports and log with photographs, and uploads to appropriate construction software. Budget Oversight: Inspects work and reviews and approves all time and material work vouchers and invoices daily, and reports T&M scope to project lead for budget tracking purposes. Notifies project lead of any field directives with potential cost impacts prior to authorizing work to commence. Schedule Oversight: Assists the Construction Manager in the development and refinement of the Project Schedule and works with the Construction Manager to keep the schedules properly updated, and ensures the job meets the various required milestones. Prepares 3-week look-ahead for upcoming sequential workflow requirements, benchmarked against the original project schedule tracking all deviations. Notifies subcontractors of production levels and schedule expectations. Evaluates specifications for plan procedures, start and completion dates, and staffing requirements for each phase of the construction project. Contract Execution/Oversight: Demonstrates a thorough and complete knowledge and understanding of each Subcontractor's contractual obligations so that they are managed to the project's budgetary constraints. Has complete knowledge of the contract drawings, specifications, and addenda, and assists the Construction Manager in the development of on-site procedures. Buyout/Procurement: When requested, supports Construction Manager through review of bid documents and scope to ensure bidders are pricing a buildable and comparable scope of work. Subcontractor Vetting/Contract Negotiation: Provides feedback and review for the final scope of work to ensure the means and methods of the project are met. Assists in the selection of each subcontractor to perform work. Document Organization (Internal): Assists in management of document control to maintain updated set of Construction Documents onsite, which includes indexing of bulletin issuance plans and posting of RFIs. QUALIFICATIONS: EDUCATION Degree: High School diploma, GED, or equivalent credential required. A College Degree in a related field may be considered towards relevant experience. EXPERIENCE Length of Experience: Minimum of 8 years' field experience in construction, with 4 years as a Superintendent. Project Experience: Demonstrates significant experience in executing development construction project of mixed-use, office, retail, and multi-family new construction projects. Technical Skills: Has expertise in building codes and regulations related to construction projects and real estate development. Actual base salary considers several factors including but not limited to geography, job-related knowledge, experience, and budget. The start of the salary range is typically associated with the minimum experience required. The role is considered non-exempt so will be eligible for overtime pay in accordance with federal and state law. At CIM, this role has the potential to receive a discretionary bonus in addition to base salary. The anticipated base pay range for the position in Los Angeles is $21.63 - $26.44 per hour.
