    The City of Englewood strives to provide excellent customer service to members of the community and the public. The Customer Experience Assistant (CEA) serves as a critical part of the City of Englewood's Customer Experience Program. They are often the first point of contact, providing direct customer service to community members and the public in person, over the phone, email, and other communication methods. The position provides directional assistance, answers phone calls, and enters information into the city's Citizen Response platform on the customer's behalf as necessary. The CEA will search the Citizen Response platform knowledgebase, city website and other sources to provide fast, effective, and accurate information, as well as mail processing/distribution, filing and other office-related tasks. This position also performs specialized clerical work offering passport services by processing and validating passport applications on behalf of the United States Department of State, while collaborating with other certified staff. The position assists staff with administrative tasks within the City Clerk's Office. REPORTING RELATIONSHIPS Reports to: Deputy City Clerk Direct Reports: None DUTIES AND RESPONSIBILITIES The CEA provides direct customer service; performs data collection and entry related to customer service; suggests customer service program improvements; and provides general office support. Essential Duties & Responsibilities Customer Service * Greet community members and the public with professionalism in person, over the phone, and through a variety of online methods. * Provide directional assistance, answer general questions, and connects or provides contact information for appropriate city personnel. * Search the Citizen Response (My Englewood) platform for answers to common questions/concerns, the city website, and other resources. Passport Acceptance Agent * Receives and processes applications for United States passports. * Processes passport applications, including reviewing forms, proof of citizenship, and other controlled records. * Reviews information on applications to determine eligibility according to federal laws and the U.S. Department of State's policies. * Queries applicants to obtain additional or clarifying data. * Answers questions of individuals concerning passport applications and related services. * Provides digital passport photos which meet the requirements of the U.S. Department of State. * Ensures sufficient cross training of staff to meet the needs of the City Clerk's Office. * Responsible for accepting cash and other forms of payment, and for reconciling daily receipts. * Provides quality service and information, both internally and externally. * Maintains permanent records according to legal retention policies. * Provides input for improving existing data entry processes or procedures. * Collects, posts, and balances monetary transactions daily. * Performs all work duties and activities in accordance with City policies and procedures. * Establishes and maintains positive working relationships with the public, coworkers and other City employees using principles of exceptional customer service. Data Entry and Collection * Tracks the number of visitors to the Civic Center daily. * Coordinates room reservations. * Collects, organizes, and reviews customer comment cards. * Collects data on common concerns and questions expressed by community members. * Accepts payments for common city services. * Performs data collection and entry related to customer requests. * Enters information into the city's Citizen Response platform on the customer's behalf as necessary. Program Improvements * Work with the City Clerk to update Frequently Asked Questions (FAQs) on a regular basis. * Periodically provide suggested improvements to the Customer Experience Program to the City Clerk. General Office Support * Processes and distributes mail and packages, tracks postage and run reports for departments. * Assists with the agenda, minutes, and scheduling of meetings for Boards and Commissions as needed. * Assist the City Clerk's office with general office duties, tasks, and projects. * Completes common office tasks such as filing, data entry, and producing reports. * Performs other duties as assigned and required. * Other administrative duties as assigned by the City Clerk, including updates to the city website, document integration, and data entry. PREPARATION AND TRAINING Education: High School diploma or similar, Bachelors preferred. Work Experience: Customer service experience. Preference given to candidates with a solid track record of providing top-notch customer service in a variety of settings. Essential Duties & Responsibilities * Performs skilled work in installation and preventative and corrective maintenance on all traffic signal equipment including poles, mast arms, signal heads, pull boxes, controller cabinets, MMU's, controllers, UPS systems, school flasher beacons, pedestrian push button activated systems, fiber optic cable and traffic network components. * Install power meter pedestals and breaker panels feeding traffic assets. * Performs annual certification of all malfunction monitor units * Installs and maintains emergency vehicle detection, emergency vehicle preemption, PTZ cameras and signal communications. * Setup, install and maintain all traffic network switches, devices and wireless spread spectrum network radios. * Monitors performance of traffic devices utilizing features of computerized master control software (Econolite Centracs) . * Maintains accurate records relating to traffic activities, problems and repairs relating to traffic signals, signs and markings. * Performs underground locates of traffic signal wiring, communications lines / fiber optic lines during and after business hours for Traffic Operations. * Set up / maintain traffic control per MUTCD while working in city ROW * Performs maintenance and repairs to city owned streetlighting and school Zone flashing beacons. * Performs fabrication, installation and maintenance of traffic signs and signposts as required. * Performs installation and removal of pavement markings. * Operates bucket truck, maintains painting equipment and roadway grinding equipment. * Installs and maintains copper twisted pair cable and fiber optic communications cables. * Assist with maintaining inventory of traffic signal equipment and related materials. * Responds to after-hour emergencies when on-call in monthly rotation. * Repairs malfunctioning, knocked down, or inoperable traffic regulatory devices. Works directly with Community Development, Building & Codes, Wastewater, Fire Marshal, Police and Licensing to provide enforcement on zoning, building, environmental health and licensing violations to include site inspections, postings and citations. * Prepares and documents violations for court cases. Photographs the scene of violation, prepares narrative report concerning findings, and testifies as a witness or complainant in court. Maintain customer service expectations Ensure compliance with Record keeping and cash-handling policies Provide backup administrative assistance with the VOA program required paperwork as needed Effectively explain all benefits of MRC membership and provides tours as needed Manage phone calls and emails Process class registrations and refunds maintaining proper cash handling procedures. Process Point-of-Sale items such as special event tickets, drop-in visits, and pro shop items. Enforce all Center policies, rules and regulations while maintaining a friendly and professional attitude. Supervise activities to ensure staff and participant safety. Occasionally perform supervision after-hours, following building opening & closing procedures. Perform light custodial duties as needed Able to work on multiple tasks with frequent interruptions. Additional duties may include but are not limited to filing, calling waiting lists, checking members off on trip lists, and provision of excursion logistic outreach. MINIMUM QUALIFICATIONS Education High school diploma or GED Experience One year of relevant experience. For example, one year of guest service experience and/or administrative assistant experience. Knowledge General knowledge of office practices and procedures, phone etiquette, patience, basic filing Strong customer service skills. Interest in receiving training to utilize recreation programming software including RecTrac and WebTrac. Abilities Ability to establish and maintain effective working relationships with staff, volunteers and members Communicate effectively both orally and in writing; alphabetize; spell; Operates basic, kitchen and office equipment, which includes the following: Use of computer Comfortable with basic software such as Microsoft Office and RecTrac. Occasional use of a copier/fax machine. Occasional lifting (up to 50 lbs.). Physical capabilities involve sitting, standing, crouching, kneeling, walking for extended periods, using a telephone, and setting up and taking down tables and chairs for special events. Certifications Ability to obtain and maintain First Aid, CPR and AED certifications, required within 3 months of employment. Driving Requirements This position requires occasional operation of a city motor vehicle/van to various City facilities and excursions. Must possess a valid Driver's License or can obtain upon hire and maintain an acceptable driving record. DESIRED QUALIFICATIONS Experience One year or more of experience working with an older population and resource management.
