Day-to-day engagement: Utilizing a mobile device provided by Hallmark, you'll restock, organize, and monitor the inventory of Hallmark products within and outside the Hallmark department. The use of technology is critical in this role, for the day-to-day work as well as communication with your supervisor, reporting time, providing feedback, and answering surveys for required merchandising activities. Professional and courteous interaction with store employees, management, and customers is also vital for success in this role. You are responsible for the entire Hallmark product display at your assigned stores.
Holiday support: Hallmark's operations revolve around seasonal demand. Leading up to and following holidays such as Valentine's Day, Easter, Mother's Day, Father's Day, Halloween, Thanksgiving, and Christmas, you can expect additional days and extended hours during the work week. On occasions like Valentine's Day, Mother's Day, and Father's Day, you may be required to work on the actual holiday itself, which may include the weekend.
Department Resets: At times, you may be part of a team responsible for installations and various tasks like building and installing Hallmark fixtures, relocating card departments and products, as well as resetting card sections. Typically, you will be notified two weeks in advance for remodel assignments. This could include evenings or weekend.

The Surgery Scheduler is responsible for coordinating clerical and administrative support functions within the orthopedic surgery department. Supports unit activities to ensure smooth functioning of the surgical process and assures the appropriate clinical and insurance information is collected for the surgery scheduled.
Essential Job Functions
Medical Assistant Duties:
* Prepares room, equipment and supplies as dictated by a particular examination, patient's needs, and Billings Clinic exam and procedure room cleaning guidelines.
* Orders and maintains clinical and office supplies and equipment as directed.
* Maintains patient files, records and other information. Adheres to confidentiality requirements.
* Receives and prepares patient for examination and treatment as directed.
* Obtains and records history and vital signs.
* May assist in preparing for minor or routine procedures and physical exams.
* Charts and documents in medical record.
* Collects laboratory specimens as needed.
* Cleans and disinfects equipment per Billings Clinic sterile processing guidelines.
* Administers influenza vaccine, pneumococcal vaccines, and Td/TDAP to patients age 18 or older with appropriate completion of competency requirements.
* Provides instruction to patients as directed by physician, non-physician provider or documented in policies and procedures.
Surgery Scheduler Duties:
* Responsibilities include but are not limited to, referral processing, scheduling surgeries, collecting required documentation/ records and physician relationships,
* Provides routine administrative and secretarial support to the department staff including answering incoming telephone lines and call coordination, surgery scheduling, and file management.
* Maintains a detailed knowledge of the surgery scheduling processes, functionality and structure to ensure Orthopedic Surgery Scheduling is seamless. Understands the implications of the data and how the data is utilized. • Participates in maintaining the integrity of the system data.
* Develops and maintains records and files in an organized manner.
* Communicates appropriately with customers to identify concerns and issues, investigates and coordinates resolution of non-routine problems.
* Initiates appropriate follow-up to ensure that all matters requiring attention are addressed promptly and efficiently.
* Designs and produces documents, forms, reports and data graphs for projects and programs based on needs identified by the staff and/or leadership. Duties include data gathering, database extractions, and data analysis for various projects and preparation of a variety of reports and data graphs requiring independent judgment with minimal supervision.
* Communication with patient on expectations, e.g. being late for scheduled appointment, wait times.
* Able to assist with patient service assistance needs as necessary and provide service recovery, e.g. coffee cards, lunch, gas cards.
* Work with leadership on service recovery as needed

Minimum Qualifications
Education

Experience

* Six (6) months related work experience in a health care environment required to develop proficiency in basic Medical Assistant procedures and processes encompassing all age groups - Preferred.
* Medical Assistant Certification required within (12) months of start date. Billings Clinic will assist in obtaining Medical Assistant certification
Certification / Licensure

Patient Access Specialists are instrumental in ensuring the efficient and effective flow of patients' access needs throughout the facility. In this full-time, temporary position you will be responsible for greeting and registering patients, gathering appropriate demographic and insurance information, scheduling appointments, laboratory tests and ancillary services and the collection of co-payments. Position must fully understand the ramification and impact of incomplete or inaccurate information to revenue cycle. Position may float to other areas within the facility to include nursing units, rehabilitation services, etc. to assist with patient flow.
Essential Job Functions
* Supports and models behaviors consistent with Billings Clinic's and facility's mission, vision, values, code of business conduct and service expectations. * Greets patients and identifies any red flag symptoms requiring triage/assessment by nurse, completes on-line registration information gathering complete demographic and insurance information that results in the ability to provide correct information for patients, guarantor, and insurance follow-up. Competently and courteously educates patients about various forms that require their signature.
* Schedules, reschedules and coordinates appointments in a manner that meets the patient's needs and assists the department in the management of patient flow utilizing knowledge of physician/non-physician scheduling protocols. May schedule and enter orders for ancillary services via the information systems. Instructs patients on specific preparations and/or restrictions necessary to prepare for ancillary procedures as defined by clinical protocols. Floats to provide front desk support at the various nursing units as may be needed.
* Initiates collection of co-payments in accordance with each patient's individual insurance requirements. Collects deposits on account from self-pay patients. Accepts all other payments on accounts and provides cash receipts for all transactions. Maintains and reconciles cash drawer bank deposit by following written reconciliation policies and procedures ensuring each cash drawer balances daily.
* Assists walk-in patients with non-encounter-based access (i.e., blood pressure checks) and coordinates communication with the clinical providers or other patient care staff as appropriate.
* Coordinates with patients, providers, nursing staff to ensure Medicaid Passport and other authorizations for referrals required by insurance carriers are obtained and entered into the scheduling system for reimbursement purpose.
* Performs patient check out/procedure and scheduling processes.
* Responsible for monitoring waiting areas to ensure areas are clean and neat. Monitoring to ensure patient flow is optimized and wait times do not exceed 15 minutes.
* Prints and reconciles the missing encounter to ensure all encounter forms are accounted for. Provides appropriate communication to the clinic department manager.
* Responsible for receiving all incoming faxes, mail, freight and packages and for timely distribution to appropriate areas.
* Responsible to courteously and accurately answer and direct physician and consumer telephone calls per department standards in a clear audible voice. Pages, transfers and delivers calls to appropriate destinations using predetermined questions format. Articulates Pages are conducted in a friendly, clear, readable and concise manner. Responds to basic inquiries regarding the facilities' services, program offerings and physician specialty information.
* Screens incoming nursing unit telephone calls for appropriate referrals to nurse, physician and/or non-physician provider.
* May assist nursing staff with initiating follow-up calls to patients for no-shows, referral appointments and other general questions.
* Performs other duties as assigned or needed to meet the needs of the department/organization.
