The Opportunity
As a Part-Time One Medical Flex Phlebotomist / Administrative Assistant (internally known as Part Time Flex Lab Services Specialist/Member Support Specialist) at one of our offices, you'll provide an exceptional experience for our patients and help them accomplish an important part of their care journey by providing venipuncture as well as other clinical support services. What you'll likely work on:
* Use impeccable C-I-CARE (a framework containing the key elements of a great interaction and effective communication that we use with patients and each other) in all patient interactions, both clinical and administrative, and ensure a fluid and positive in-office experience through patient intake, same day schedule management, appropriate follow up scheduling, strong knowledge of billing and insurance, monitoring patient feedback and assisting with outreach as necessary
* Provide best in class venipuncture services on a population ranging from pediatrics to geriatrics, depending on the office location
* Perform and assist with extended scope duties such as, but not limited to non-blood specimen collection, EKGs/ECGs, vitals, ear lavages, vaccines, PPD tests, and swabs
* Maintain high standards of in-office care through proper specimen labeling, handling and processing, inventory upkeep, and tool sterilization
* Continue to care for our members beyond the lab room by answering patient messages, following up on lab cases and assisting our providers and virtual medical team with clerical duties such as, but not limited to biometric screening forms, medical record and consult review, billing inquiries, and DOH reporting
* All front of house duties including check in/check out, insurance verification, printing/paperwork tasks, prepping tests, tasking to service level expectations etc
* Contribute to team development through rounding, attending team huddles, participating in team problem solving, supporting in office providers with ad hoc asks, etc.
* Perform opening and closing duties/daily office upkeep as required, including maintaining the look and feel of both patient and employee facing spaces, restocking supplies, and organization

Essential Job Functions

Assist in preparing and managing presentations, proposals, and programs. Assist with mailings and printing of reports. Supervise creation of the quarterly Investment Committee book. Produce and organize electronic and paper bound copies of the reports for on-campus and off-site Investment Committee meetings.
Serve as the primary contact for inbound communications to the investment office, both in person and through print and electronic means. Maintain endowment records, including saving investment manager account statements, cash flow movements, and legal documents to Investment Office electronic files. Maintain contact management system with all investment account information, web access/passwords, personnel changes, etc. Manage the administrative relationship with outside vendors and service providers for the office and the LTIP; process and reconcile bills; reconcile expenses and bills against budget.
Work closely with Managing Director of Investment Operations and the Operations Specialist. Assist them with entry of capital calls and distributions into the custodial system and handle this function when the Operations Specialist is unavailable. Create new investment office login accounts on new manager's online document storage portals, as needed.
Other functions
Plan various events for the Investment Committee off-site annual June meeting. Communicate all arrangements with Board members and their assistants. Coordinate logistics of the two-day event. Communicate directly, and on behalf of the CIO, with Board members, donors, staff, and others. Assist in preparation of materials for Board of Trustees meetings and one-on-one Board member engagement.
Coordinate the departmental process for recruiting interns and analysts.

Placement & Assessment Work Study (Federal Work Study)

This includes checking students into their appointment via RegisterBlast, walking students through directions on how to complete a variety of placement tests in several testing platforms, proctoring students within the assessment lab, providing students next steps after placement is complete, making reminder/reschedule phone calls to registered students, and entering any data into our systems. Additionally, this position will be helping provide campus tours within the AWE space and providing expertise on student panels at events.

Duties and Responsibilities:

6. Writes necessary incident reports and obtains proper signatures as required.
7. Assist with basic clerical work, data entry, and other academic support projects as directed.
8. Maintains confidentiality of exams, test results, and candidate information in accordance to Higher Education FERPA, NCTA, and other regional and national testing standards, vendors' standards, policies, and guidelines.
9. Provide student leadership in the form of campus tours, student panels, etc.
10. Conduct phone calls for students as reminders for appointments/rescheduling no show.
