POSITION SUMMARY: The Property Accountant I is responsible for the day-to-day accounting activities of an assigned portfolio within a team structure. They adhere to the Accounting Policies and Procedures manual set by Dominium and maintains a professional relationship and communicates regularly with Dominium Accounting staff, Dominium Development staff, Dominium Management staff, agencies and lenders who all must work together for the success and profitability of the company. ESSENTIAL FUNCTIONS: Be knowledgeable and follow generally accepted accounting practices and procedures. Depending on the portfolio, maintain compliance with Section 8, Section 42, Section 236, and other state rules and regulations. Responsible for month-end closing process and preparation of financial statements for government agencies, lenders, investors, and owners. Record a wide variety of journal entries as needed for transactions including, but not limited to, mortgage activity, bank activity, reclassifications and accruals. Perform basic office tasks, including answering phones, responding to emails, processing mail, filing, etc. Advise, support and guide Community Managers, Assistant Managers, or Accounts Receivable personnel in preparing Yardi and Excel reports, depositing receipts, and processing security deposit refunds. Reconcile all bank statements for each property and partnership each month. Research and resolve all discrepancies and provide an explanation to Accounting Management by the financial due date. Prepare balance sheet reconciliations for assign properties on a frequent basis. Analyze the need for replacement reserve requests for capital expenditures and process the draw submission to the agency and/or lender. Review escrow accounts, including tax and insurance, to ensure adequate funding and prompt payment. Prepare bi-annual escrow analysis for each property. Coordinate with the lender for each escrow account for each property to ensure all payments are made on time. Maintain organization and prepare for annual audits throughout the year. Prepare and compile workpapers and supporting documentation for external auditors. Contribute to other assigned projects and duties related to the achievement of company and department goals. Respond promptly and professionally to support requests and calls from site employees, Dominium Management, Development, agencies and lenders. Adhere to Home Office professional standards, policies and procedures. QUALIFICATIONS: Two-year degree in accounting or related field; 1-3 years of accounting experience preferred. Clear and professional communication skills both verbal and written Highly dependable, accurate, reliable, self-motivated. Above average mathematical ability and reasoning skills. Experience with reviewing and analyzing financial data preferred. Accounting software experience required. Intermediate understanding of Microsoft Excel, Word and Outlook. The Senior Client Accountant may be responsible for one or more properties and is responsible alongside the Property Manager to ensure that accounting is performed in compliance with property lease agreements. It is also the responsibility of the Senior Client Accountant to deliver the Transwestern Experience when interacting and communicating with tenants, owners, vendors, and fellow team members. ESSENTIAL JOB FUNCTIONS: Note: incumbents may, or may not, be responsible for any combination of essential position functions shown here. Functions could vary by team, location or need. Prepare all tenant billings and adjustments according to information provided by the Property Manager (PM). Submit Commercial Management (CM) batches for review and posting. Monitor property bank account cash balances. 1) Check bank account web site for balance, for ACH deposits, for bank fees, and to ensure sufficient funds are available for current AP batch; 2) Transfer funds as necessary between property cash accounts to cover check-runs. 3) Request owner funding if necessary or typical for property. 4) Prepare documentation and paperwork for voids and stop payment on stale-dated checks that have not been presented for payment; submit paperwork to accounting manager for processing. Prepare prior year CAM, real estate tax escalation reconciliations and answering questions from Auditors as needed. Provide escalation reconciliation statements to property management for review. Prepare calculation for owner distribution based on owner requirements and time schedule. Initiate monthly owner distribution as set forth in the Property Management Agreement. Hours are typically Monday - Friday, 8:30am - 5:30pm What you'll do - Includes but not limited to: Compiles and analyzes periodic financial statements and various accounting schedules for review by the CAO, ensuring that all client and internal PSG financial reports comply with generally accepted accounting principles and/or financial reporting standards. Makes appropriate journal entries in the general ledgers by checking calculations, reviewing basis for figures, and balancing and reconciling accounts. Ensures that all client and internal deposits are recorded in a timely manner. Reviews and reconciles accounting documents, researches, and resolves discrepancies as necessary. Assists with banking as needed, to include initiating wire transfers, performing multi-factor authentication and ensuring timely approval of outgoing payments. Reviews budget reports and assists clients and other internal departments to prepare annual budgets. Assists lenders, auditors, and clients with various requests for quarterly financials, external audits, or data for tax preparation. Reports state and municipal tax returns, i.e.: sales and use tax, personal property tax, and rental unit business tax statements. Contributes to the development of new or amended accounting systems, programs, and procedures. Communicates with clients, their team members as well as PSG team members, key business stakeholders, and others to answer questions, provide support, and ensure timely completion of accounting tasks. Completes ad hoc financial and administrative reports and analysis as needed, and other accounting duties and support of junior staff as assigned. Other duties as assigned. What you'll need: Bachelor's degree in accounting or business from an accredited College or University and 3-5 years of property management experience are required. Must be computer literate including an advanced knowledge of Microsoft Excel, Word, Outlook, Teams and other Microsoft Office products. Knowledge of Entrata, RealPage, or other property management accounting software preferred. Other requirements: Must have reliable transportation available and have a valid California driver's license and automobile insurance, as travel to meetings or other locations may be required. Prepare/review the monthly mortgage worksheet for processing through MINC. Prepare the annual reporting package based on the information requested and forms provided by the Accounting Manager. Reconcile the bank statement upon receipt to the general ledger and subsidiary ledger Prepare and review any required management and owner reports (cash flow, balance sheet, income statement, etc.). Cash Management - maximize owner's return on investment by ensuring FDIC coverage by entity and recommending purchase of securities. If project is experiencing cash flow difficulties, notify management in advance so they can timely react. Other Duties Ensure timely release/submission of all management, owner or agency reports. Preparation of fixed items list (mortgage principal and interest, depreciation, amortization, etc.) for PM use and inclusion in each project's annual budget. Annual Audit Package: Update certain information throughout the year; turn completed package in according to the schedule provided by the Accounting Manager; answer any questions asked by the external auditors and/or direct questions to the Team Leaders, Accounting Manager.
