Position Summary
Reporting to the Chairman of the Department of Surgery, the ExecutiveAssistant provides high-level, confidential administrative support with professionalism, discretion, and sound independent judgment. This role serves as a key liaison between the Chairman and a wide range of internal and external stakeholders, including senior leadership, faculty, hospital administration, government agencies, corporations, and academic collaborators. The ExecutiveAssistant plays a critical role in ensuring the efficient operation of the Chairman's office and in supporting the strategic, academic, and operational priorities of the Department.
Responsibilities
* Provide confidential executive -level administrative support to the Chairman of Surgery in a dynamic academic medical center environment.

* Manage the VP&S faculty evaluation process.
* Collaborate closely with the Vice Chair of Faculty Mentoring and Development to support leadership development initiatives and faculty advancement.
* Assist in the preparation and submission of proposals and academic reports; track deadlines and ensure timely submission of required materials.
* Prepare and monitor financial expenditure reports; follow up on discrepancies and ensure timely processing of reimbursements and invoices.
* Establish and maintain organized and secure systems for departmental communications, document retention, and compliance tracking, including CME documentation and training certifications.
* Develop and implement effective internal communications strategies to disseminate key information across departmental divisions and campuses.
* Maintain strict confidentiality and exercise discretion at all times.
* Proactively anticipate the needs of the Chairman and address issues before they arise.

Communication and Information Management

RESPONSIBILITIES
Program support (Primary responsibility)

Support guest speaker logistics, including swag distribution, scheduling, and communication, in alignment with established program policies

At the direction of the Assistant Director, coordinate with SPS Events and Central Facilities teams, catering services, and external vendors to support event logistics, technology needs, accessibility accommodations, and transportation of event materials

Field trip support

Serve as the lead field trip chaperone for designated trips, ensuring student safety, attendance accuracy, and compliance with University and Protection of Minors protocols
Conduct pre-departure briefings with instructors, teaching assistants, and students to review safety procedures and expectations

Qualifications

Position Summary

* Reporting and Advising - 20%
* Partner with the Chair to implement the department's strategic priorities, ensuring operational alignment with School and University goals.

**CAMPUS SPECIFIC INFORMATION**
The Administrative Executive Coordinator (ExecutiveAssistant) serves as primary administrative support for the Dean of the Hunter-Bellevue School of Nursing and works on confidential, time-sensitive assignments and projects in a fast-paced office environment. The Executive Coordinator (ExecutiveAssistant) engages with internal and external constituents, handles sensitive communications and situations in a professional, cordial manner; is proficient in technology; follows policies and procedures; maintains accurate calendars, schedules, databases, records and files; collects data, disseminates information, prepares reports and presentations; and prioritizes items that require the Dean's immediate attention.
**MINIMUM QUALIFICATIONS**
Bachelor's Degree required.
**OTHER QUALIFICATIONS**
Previous project planning experience and/or work with a College/School program is desirable.
Two years of related experience is beneficial.
Excellent verbal and written communication, interpersonal, organizational, prioritization, and problem-solving skills are required.
Proficiency and competency in database management, Microsoft Office 365 (Word, Excel, PowerPoint, Outlook), and other relevant systems/software are required.
The successful candidate must be detail oriented, able to multitask, and use discretion when handling confidential information; have good customer service talent; exhibit independent initiative and good judgment; and work collaboratively with administrators, staff, faculty, and students.
**COMPENSATION**
Commensurate with experience ($82,297- $94,409).

Position Summary
The Division of General Medicine/Hospitalist Program seeks a highly motivated and detail-oriented Administrative Coordinator to provide comprehensive administrative support onsite at the Columbia University Medical Center. Reporting jointly to the Divisional Administrator and the Medical Director of the Hospitalist Program, this role supports both leaders and the broader Hospitalist office team.
The ideal candidate will possess strong organizational skills, the ability to manage multiple priorities simultaneously, and a proactive approach to problem-solving. This position plays a key role in ensuring the smooth operation of the Hospitalist Program, including managing calendars, coordinating meetings, maintaining office systems, and supporting recruitment and scheduling efforts.

Responsibilities
* Serve as the primary liaison between the divisional administrative team and the Hospitalist group.
* Provide administrative support to over 35 physicians and 75 physician assistants at Milstein Hospital.
* Manage physician scheduling, maintain the Medical Director's calendar, coordinate meetings, and support working groups and social events.
* Facilitate recruitment efforts, including preparing interview itineraries and escorting candidates.
* Oversee the Hospital Medicine administrative office, including responding to external inquiries, submitting facilities requests, and maintaining office supplies and organization.
* Administer the Hospitalist moonlighting program, including scheduling and monthly payroll submissions.
* Support clinical appointment and reappointment processes in collaboration with the Manager of People & Culture.
* Track professional practice evaluations, expirables, compliance documentation, and Medicaid recertifications.
* Participate in weekly core administrative team meetings and assist with division-wide events such as grand rounds, retreats, and holiday gatherings.

The Office Assistant will assist with camper registration processes, including but not limited to responding to customer inquiries and requests; answering phone calls, emails, or written correspondence; assisting customers with the online registration process; following up to complete camper registration; managing waitlists; confirming registered sessions and providing additional information to families as needed. The Office Assistant works as a team member of the camp office staff and assists with the camp store and other assignments.
Required Qualifications:
Proficient with MS Office
Valid driver's license and able to pass DMV screen.
Excellent communication skills.
Must be detail-oriented.
Preferred Qualifications:
Secretarial or customer service experience is desirable
Experience in a camp setting is desirable.
POSITION DETAILS:
Hourly: $15 - $20 per hour
Schedule: NONEXEMPT - TEMP: April 1, 2026 - August 23, 2026

Position Summary
The Administrative Assistant (Floater) position will provide support to the Dean of Faculty office as well as academic departments to fill vacancies created by leaves of absence, vacation, or vacant positions that are posted.
This position will be managed by a member of the Dean of Faculty team, but will report to various assigned locations within academic areas of the college. This is a full time, in-person, CWA Union position.
Responsibilities
Provide administrative assistance for meetings, calls, and staffing plans; maintain filing systems and department calendars.
Support reception or front desk interactions, answer phones, respond to inquiries, collect and distribute mail, and maintain office supplies.
Support maintenance scheduled and issues associated with department facilities and equipment, communicate updates to department and facilities/vendors.
Support in the organization of events including scheduling, room reservations, completing tasks identified by an event plan, use templates to make name tags, event programs or other event collateral, communicate with vendors and participants, and order food or supplies.
Responsible for supervision of student employees including posting of position, hiring, training, task assignments, providing feedback, and timesheet approvals.
Communicate in multiple modes with department members, vendors, on-campus offices, alumnae/i, volunteers, and/or other off-campus partners to complete departmental tasks.
Responsible for data entry, electronic file maintenance, and running standard reports.
Required Qualifications
A minimum of two years of administrative support experience or other work experience.
Strong computer skills including proficiency with Google Suite, Microsoft Word Office suite and ability to learn additional technical systems.
Strong written and verbal communication skills.
Ability to interact effectively with a diverse community.
Ability to sit or stand for extended periods of time.
Ability to interact socially with others.
Preferred Qualifications
Four years of administrative support experience.
Experience working with software systems including finance and accounting systems, payroll, student information systems, or customer relationship management systems.
