Under general supervision, performs a variety of routine clerical and administrative support duties as directed by Division / Department Management. Duties: Essential Duties and Responsibilities: (Depending on the area of assignment, an incumbent may not be required to perform some of the duties listed below):

Create correspondence, reports, minutes, agendas, or memos from drafts, recordings, or verbal instruction.
Photocopies collate and distribute documents. Prepare outgoing correspondence, including emails, faxes, and memos. Creates spreadsheets and enters information into databases to meet reporting requirements. Maintains the inventory of office supplies and equipment; performs minor maintenance and repairs; arranges for equipment maintenance and repair. Receives, logs, sorts, and distributes incoming and outgoing correspondence. Performs receptionist duties; greets and directs visitors; takes and conveys phone messages; provides information in response to requests from other employees and the public. Reviews and verifies forms for completeness per established policies and procedures. Maintains individual and departmental calendars and appointments; coordinates and arranges meetings. Obtains travel information as required; makes travel arrangements according to established policies and procedures; prepares required documents and submits for approval. Assists with time and attendance software and ensures timely submission of the time records. Performs other job-related duties as assigned and contributes to a team effort. Knowledge, Skills, and Abilities: Knowledge of the Tohono O'odham culture, customs, and traditions. Knowledge of applicable federal, state, tribal laws, regulations, and requirements. Knowledge of business writing, spelling, grammar, and punctuation. Knowledge of records management and basic accounting procedures. Skill in operating various word-processing, spreadsheets, and database software programs. Skill in coordinating multiple schedules, meetings, and events. Skill in providing superior customer service to internal and external customers. Ability to communicate efficiently and effectively both verbally and in writing. Ability to multi-task in a fast-paced work environment. Ability to establish and maintain positive and effective working relationships with other employees and the general public. Ability to maintain privileged, confidential information. Ability to work independently and meet strict timelines. Ability to work extended hours and various work schedules. Ability to type, enter data and verify accuracy of information. Ability to travel within the interior/exterior boundaries of the Tohono O'odham Nation. Qualifications: High School Diploma or General Education Diploma and two years' work experience in the clerical field, or an equivalent combination of training, education, and work experience demonstrate the ability to perform this position's duties. Licenses, Certifications, Special Requirements: Must type 40 WPM. Must demonstrate sixty percent proficiency in grammar, spelling, and math. Must obtain an Arizona Notary Public Commission certificate within six months of hire. Upon recommendation for hire, a criminal background and a National FBI fingerprint check are required to determine suitability for employment, including a 39-month driving record. May require possessing and maintaining a valid driver's license (no DUIs or major traffic citations within the last three years). If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles. Based on the department's needs, the incumbent(s) may be required to demonstrate fluency in both the Tohono O'odham language and English as a condition of employment. Scope of Work The position serves the Tohono O'odham Nation Health Care warehousing activities. Incumbent works under the supervision of the Supply Management Officer, who provides general instructions. Duties: Essential Duties and Responsibilities: (Depending on the area of assignment, an incumbent may not be required to perform some of the duties listed below): Maintain adequate government inventory supplies valued at $300,000, including pharmacy, laboratory, subsistence, medical, and office supplies. Independently loads and unloads materials, conducts receipt inspections and inventories, annotates documentation, and furnishes all documents to inventory management staff for processing. Locates, selects, packs, and delivers supplies for stock, obtains authorized signatures. Receives and issues direct issue supplies to TONHC departments, completes packing slips and related documents. Cleans warehouses, ensuring storage areas are clean, neat, and safe. Maintains the security of storage areas; reports unauthorized entries to supervisor. Picks up and delivers mail for the office. Assembles outgoing letters and packages, weighs and meters outgoing mail, and delivers to the local post office. Picks up incoming TONHC mail and delivers letters and packages to appropriate locations. Respond to requests for repairs to duplication equipment. Fixes minor problems, i.e., paper jams, toner, and developer replacements, loads the additional paper and assists users with copier operation as needed. Places service calls with vendors on maintenance contracts for more complex repair needs. Replaces oxygen and related supplies, moves empty containers into the Property and Supply storage areas--issues full oxygen containers to the TONHC departments. Checks gauges and hook-ups, and reports need for replacement to the supervisor. Assist with supervision of staff. Scope of Work This position is located within the Tohono O'odham Nation Health Care Sells hospital and San Xavier, San Simon, or San Simon Health Center. The incumbent is responsible for supervising and managing the ambulatory care department and ambulatory care staff. Duties: Essential Duties and Responsibilities: (Depending on the area of assignment, an incumbent may not be required to perform some of the duties listed below): General managerial duties with planning, organizing, directing, and evaluating a comprehensive ambulatory care program. Responsible for establishing and implementing long and short-term policies and programs for ambulatory and nursing care services. Monitors the nursing program plans and prepares routine reports based upon program plans. Ensure compliance with standards such as HIPAA, Privacy Act, Infection Control, and national accrediting bodies {TIC, CMS, OIG). Keeps abreast of changing developments, health care policies, directions or practices, and the changing health care needs of the population served. Responsible and accountable for maintaining a significant budget that includes ambulatory care and nursing personnel, FTEs, equipment, supply purchases, travel, and training. Responsible for carrying out the mission, vision, and goals of the Tohono O'odham Nation Health Care. Plans and adjusts work schedules and operations to meet organizational objectives, priorities, deadlines, and standards of care to deliver ambulatory and nursing services. Evaluates operations and services provided concerning patient flow, productivity, and care needs of the population served. Develop an orientation plan for each employee specific to their skills and needs of the unit and agency. Maintain competency file on each employee. Coordinates and assures that qualified staff are available as preceptors for new team members. Ensures that all staff members maintain 100% compliance with licensure requirements. Conducts meetings and conferences with ambulatory care and nursing staff to explain work requirements, methods, and procedures as needed. Give special instructions on complex or different activities and answers technical questions about work assignments. Informs employees about the policies, procedures, and goals of management-related work of the unit. Supervises employees who perform professional nursing care, medical assistant care, and patient registration duties and provides technical and supportive activities in an ambulatory care setting. Determines personnel needs and manages available resources to provide optimal patient care. Evaluates employees' performances; develop work improvement plans as needed, recommend training needs, and suggest awards/recognition. Resolves informal complaints of employees and refers those beyond the unit level to higher management. Qualifications: Minimum Qualifications: Bachelor or higher degree from a professional nursing program approved by the legally designated State-accrediting agency at the time the program was completed by the applicant, and; One year Ambulatory Care experience in a clinical setting or urgent care setting, and; One year of supervisory experience. Licenses, Certifications, Special Requirements: Applicants must have an active, current, and unrestricted license as a professional nurse in a State, District of Columbia, the Commonwealth of Puerto Rico, or the United States territory. Must have certifications in Cardio Pulmonary Resuscitation (CPR), Automated External Defibrillator (AED), and First Aid upon hire. Upon recommendation for hire, a criminal background and a National FBI fingerprint check are required to determine suitability for employment, including a 39-month driving record. May require possessing and maintaining a valid driver's license (no DUIs or major traffic citations within the last three years). If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles.
