About the Role
The Assembly Operations Specialist is responsible for coordinating, scheduling, and supporting a nationwide network of independent 1099 assembly technicians who perform installations of backyard wood products - including swing sets, pergolas, sheds, gazebos, and greenhouses. This position ensures timely assignment and completion of work orders while maintaining communication between customers, field technicians, and internal operations. The Dispatcher plays a key role in achieving high service levels, technician efficiency, and customer satisfaction across all markets.
Essential Duties and Responsibilities
Dispatching and Scheduling
• Assign daily and weekly work orders to qualified assembly technicians based on region, workload, and skill set.
• Monitor technician schedules and capacity planning for all covered territories.
• Manage reschedules, cancellations, and last-minute job changes promptly to avoid service delays.
• Ensure all jobs meet internal Service Level Agreements (SLAs) for timeliness, quality, and documentation.
Communication and Coordination
• Serve as the primary operational contact for field technicians, providing them with all necessary job details, assembly instructions, and customer contact information.
• Communicate clearly and professionally with customers regarding scheduling, arrival times, and project status.
• Coordinate with the logistics, customer service, and recruiting departments to resolve issues, confirm product readiness, and fill open service gaps.
Monitoring and Job Tracking
• Monitor technician check-ins, job progress, and completion using dispatching or route management software.
• Verify that all completion photos, customer signatures, and work documentation are received and accurate.
• Identify and address incomplete jobs or service failures, initiating follow-up or reassignment as needed.
Performance Oversight and Quality Control
• Track technician performance metrics such as completion rates, rework frequency, and communication responsiveness.
• Document recurring service issues, quality concerns, or compliance violations for review by management.
• Support onboarding of new technicians and ensure current 1099 contractors maintain proper insurance and compliance documentation.
• Provide data and feedback to the recruiting team on areas where coverage expansion is needed.
Operational Reporting
• Maintain accurate daily, weekly, and monthly dispatch reports, including job completion, open work orders, and SLA compliance.
• Contribute to continuous improvement by identifying operational inefficiencies and recommending process enhancements.
Qualifications
Education and Experience
• High School Diploma or GED required.
• Associate's or Bachelor's degree in Business, Logistics, Supply Chain Management, or related field preferred.
• Minimum of 2 years of experience in dispatching, scheduling, or logistics coordination; experience managing 1099 or independent contractor workforces preferred.

Reviewing solicitations and supporting the development of cost proposals submitted to the government and prime contractors
Reviewing Purchase Order requisitions for vendors and subcontractors to ensure complete and accurate documentation
Assisting with subcontract monitoring as it relates to the execution of contracts and task orders
Assisting with preparing, tracking, and submitting various reports and deliverables

POSITION DESCRIPTION
Currently, HGL is seeking a Contracts Administrator I to join our team in Overland Park, KS. The Contracts Administrator will be responsible for coordinating a variety of administrative activities in support of our Contracts team. This is a great entry-level position for a motivated, detail-oriented candidate who wants to gain experience in the exciting, fast-paced environment of government contracting. This position is Full Time in our Overland Park, KS office.
Responsibilities/Duties
WHAT YOU'LL BE DOING
The Contracts Administrator will provide contract-related administrative support throughout the full contract life-cycle including proposal support, task order kickoff meetings, administration of contract modifications, and project/contract closeout.
The person hired for this role will be responsible for:
Providing a variety of support to the Contracts group with a focus on contract administration
Performing cradle to grave contract administration for multiple federal and commercial contracts to include Firm Fixed Price, Cost Reimbursable, and Time and Materials contracts
Reviewing contractual information to maintain compliance with contract requirements and company policy, and ensure contract files are kept up to date
Reviewing solicitations and supporting the development of cost proposals submitted to the government and prime contractors
Reviewing Purchase Order requisitions for vendors and subcontractors to ensure complete and accurate documentation
Assisting with subcontract monitoring as it relates to the execution of contracts and task orders
Assisting with preparing, tracking, and submitting various reports and deliverables
Required skills include excellent communication and organization; working with and maintaining confidential information; strong technical writing and documentation.
Experience with SharePoint, Microsoft Word, Excel, and Outlook
Providing general support including document review, file maintenance, and meeting coordination
The successful candidate will work closely with HGL project team members, as well as other members of the contracts and procurement team, to manage contracts from solicitation through closeout ensuring compliance with contract requirements
Required Skills
WHAT YOU NEED TO BE SUCCESSFUL
Bachelor's degree in business administration, accounting, finance, or project management; will consider directly-related work experience and/or professional certifications in lieu of a degree.
At least 1 or more years' experience in Federal Government contract management.
General knowledge of, or ability to research and understand, relevant U.S. government regulations and standards regarding government contracts administration, including the FAR, DFARS and other agency FAR Supplements.
Self-motivated with the ability to work in a complex and fast-paced environment, meeting deadlines for multiple simultaneous projects and priorities.
Exhibit sound business judgment, working well both independently and in a collaborative, team-oriented environment to develop comprehensive, effective solutions to challenging issues.
Excellent communication and organizational skills; working with and maintaining confidential information; strong technical writing and documentation; advanced proficiency with Microsoft Word, Excel, and Outlook.
Ability to prioritize workload in a fast-paced environment while maintaining strong attention to detail to ensure that all work is completed with a high degree of accuracy.

Previous experience administrating contracts for USACE, USEPA, GSA or other federal government environmental remediation site is preferred.

BASIC REQUIREMENT OR INDIVIDUAL OCCUPATIONAL REQUIREMENT:
Basic: A bachelor's degree from an accredited educational institution authorized to grant baccalaureate degrees.
OR
A current member of the Armed Forces (not retired or separated) OR a current DOD employee that meets the following requirements: 1) served as a contracting officer with authority to award or administer in excess of the simplified acquisition threshold on or before 30 September 2000; 2) served, on or before 30 September 2000, in a position as either an employee in the GS-1102 series or as a member of the Armed Forces in a similar occupation specialty; OR, (3) is in the contingency contracting force.
In addition to meeting the basic requirements, applicants must have specialized experience:

Under the supervision of the Credentialing and Contracting Manager, the Credentialing and ContractingSpecialist is responsible for processing the credentials and privileges of all providers in order to verify accuracy and compliance with, but not limited to, CHC/SEK Credentialing and Privileging Policy and Procedure, State, Federal, and Medicare/Medicaid requirements. This position is also responsible for data integrity of files and information related to the credentialing/recredentialing of CHC/SEK providers/facilities and supports the organization in submitting provider/facility applications to payers for Revenue Cycle purposes.

ESSENTIAL DUTIES
Knowledge of and adheres to CHC/SEK's Credentialing Policy and Procedure and ensures process is completed timely.
Completes research, reference and background verification on all providers prior to hiring.
Verifies the professional credentials, references, claims history, fitness and professional review organization's findings.
Uses all available resources to verify provider applications, education, licensing and references following State and Federal guidelines for primary source verification.
Communicates credentialing findings to supervisor.
Creates and maintains database information for providers, including, but not limited to CAQH, KMAP, NPPES, NPI and other license, certification or professional membership that may be required to practice.
Maintains accurate and complete credentialing file for all providers. Files are kept confidential and secure.
Coordinates new provider information, such as DEA, license number and NPI, into the electronic health record system for billing purposes.
Submits accurate and complete application information to payers to receive billing number to allow submission of claims for facilities and providers.
Responsible for third party payer contracts are signed by all parties necessary to ensure plan enrollment.
Maintains basic knowledge of provider/facility credentialing/recredentialing guidelines and network participation for payer enrollments.
Actively communicates and documents status of provider/facility payer enrollments with stakeholders.
Completes EFT and ERA enrollment as part of the enrollment process to ensure electronic payments and claims submissions.
Track progress of licensing requirements for providers as a part of payer enrollment.
Provides accurate, complete and timely credentialing and privileging information for the re-credentialing process.
