ADTRAV is seeking a Meeting Planner that is dedicated to a client and is responsible for the complete negotiation, coordination and execution of at least 75 events per year with a focus on the internal customer to understand and satisfy their objectives. This may include but is not limited to locating venues, negotiating hotel rates, reviewing client contracts, maintaining the registration site, reviewing detailed orders, securing accommodations that include hotel and airlines, and distributing confirmations. The Meeting Planner must have exceptional customer service and organizational skills, attention to detail, and a professional demeanor. NOTE: The general schedule for this position is Monday-Friday, 8am-5pm CT. The position is required to be on client site in Chicago, IL three days a week.
Essential Duties and Responsibilities include the following:
Plan and deliver high quality meetings and events for client based on outlined objectives and key deliverables. This can include but is not limited to locating appropriate venues, negotiating contracts and rates with vendors, developing registration mechanisms, establishing event schedules, managing vendors and contract onsite staff, and overseeing arrangements, registration, audio visual, décor, catering, entertainment, transportation, and all event tasks to ensure completion to client satisfaction.
Work collaboratively across departments to execute on meetings and events.
Research venues, conduct site visits as necessary, and create comparative cost and price analysis for evaluation based on the event's needs and objectives.
Manage the negotiation of contracts for facilities, lodging, meals, entertainment, ground transportation, catering/menu selections, audio-visual equipment, off-site meals, activities and other special requirements.
Create and update rooming lists, banquet event orders, group resumes, etc.
Manage the day-to-day needs of ongoing meetings.
Provide creative, cost-effective meeting services while streamlining and mitigating costs.
Monitor meeting/event budgets and prepare periodic reports for key stakeholders.
Reconcile event invoices and process credit card charges in a timely manner.
Maintain current directory of hotels, food and beverage vendors, and timetables and answer inquiries concerning pricing, fares, and accommodations.
Demonstrate expertise by making recommendations on cities and venues based on goals, objectives, and industry trends.
Conduct post-meeting/event evaluations to receive feedback.
Utilize and update meeting technology tools with current meeting information. Create event web sites, track attendance, and generate reports as needed.
Create more effective events through knowledge of the latest trends and developments in creative meetings, events, and group travel programs.
Travel to meetings and conferences as needed.
Identify process and workflow efficiencies and provide recommendations on how to improve.
Become knowledgeable in client and ADTRAV's industry and customer base.
Utilize various applications, including meeting and event specific tools, and various internal applications.
Represent ADTRAV by embracing the company values and maintaining effective working relationships with employees, partners, vendors, and clients.
Adhere to company policies and procedures.

Qualifications:
High school diploma or equivalent required. Bachelor's degree in related field (e.g., Hospitality, Event Management) preferred.
Professional meeting planner experience required.
Minimum 3-5 years of demonstrated experience producing a range of small to large scale events and managing vendors in multiple areas.
Strong client service skills with the ability to balance the voice of the customer with the strategic voice of the business.
Excellent negotiation skills with the ability to read and interpret contracts and negotiate details with vendors.
Experience with event planning software/applications and building and managing registration web sites.
Experience with Microsoft Office suite (Outlook, Word, Excel, PPT).
Excellent detail-oriented, time-management and organizational skills, with a proven ability to multi-task and manage multiple projects with simultaneous timelines and deadlines, with minimal supervision.
Experience working both independently and in a team-oriented, collaborative environment.
Strong team contributor who is willing to take on other tasks as needed.

Requirements
What qualifications will help you succeed?
CMP, CGMP, and/or VEMM certification and 5+ years meeting/event planning experience.
Experience planning meetings at the National Institutes of Health (NIH).

The Event Operations team within the Facilities & Hospitality Department of the Stanford Graduate School of Business seeks an experienced and skilled Event Planner for a 1-year fixed term position with a possibility of renewal. The Event Planner will work in partnership with Stanford GSB departments and program owners. The Event Planner schedules, plans, and executes programs and events, such as academic courses, seminars, conferences, major events, and executive programs for the GSB as well as the university. This position monitors and responds to requests submitted through email, phone, or the venue reservation system and manages a portfolio of events and programs, working with a diverse constituency of staff, faculty, and students to produce logistically precise events. This position also provides administrative support to the department in finance and communications, among other administrative tasks.

Position Summary
Reporting to the Senior Director, Meetings and Events, the Meeting Planner, collaborates with members of the Leadership Development team and other NACUBO staff to plan and execute NACUBO programs and workshops.

Essential Functions
Workshops:
Manages all aspects of pre meeting logistics including agenda/specifications development, food and beverage selections, event audiovisual/production requirements, contract negotiation, auxiliary event activities room set-up, hotel and planning timelines, and space assignments. The position evaluates and manages outside vendors to achieve event goals and objectives.
Manages all logistical aspects of the event onsite, anticipates challenges, implements appropriate solutions and troubleshoots issues as they arise.
Acts as liaison with hotels for hotel logistics pre and post meeting.
Monitors and maintains attendance reports, food and beverage histories, housing and room block pick up histories, and attendance trends.
Supports the Senior Director, Meetings and Events, with selection and management of site selection and vendors used for Workshops.
Works in conjunction with the program manager, content experts, and program committees to establish and manage the program development process.
Utilizes software platforms to build and update the event website and meeting app, build pre and post event communications, track registrations, and pull reports for each event.
Works in conjunction with the Marketing and Communications team to produce graphics, signage, and eblast language.
Works in conjunction with the Coordinator, Meetings and Events to manage the pre and onsite registration process.
Manages sign inventory.
Collaborates with the Business Development team on exhibit registration, sales, onsite matters, and sponsorship recognition and fulfillment.
Serves as a backup/additional support for onsite management of NACUBO programs on an as needed basis.
Other Duties:
Assists the Senior Director, Meetings and Events, with planning meetings for affiliate NACUBO groups or functions, such as board meetings, committee meetings, ad hoc meetings, etc. Responsibilities include hotel site selection and contract negotiation, food and beverage, housing, room set up.
Assists the Senior Director, Meetings and Events with correspondence and other administrative tasks.
Performs other duties as assigned.

Bachelor's degree required.
Three to five years of related professional experience
Excellent written and oral communication skills.
Self-motivated with strong organizational skills.
Work Environment
This position is remote, but the incumbent sometimes works in the office. The incumbent will use standard office equipment such as a laptop or computer, phone, and printer/copier. Temperatures in a remote and office environment may fluctuate.
Physical Demands
Sedentary work: Exerting up to 10 pounds occasionally.
To perform the duties of this position, the employee is regularly required to talk and hear. The employee may frequently be required to stand, walk, use hands and fingers to type, handle or feel, and reach with arms and hands. Vision abilities required include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.
Position Type/Expected Hours of Work
This is a full-time regular position. Days and hours of work are Monday through Friday 8:45 a.m. to 4:45 p.m. There may be occasional evening and weekend work as job duties or projects require it.
Travel
Travel is primarily local during the business day, however, some out-of-the-area travel and overnight may be expected. Travel is expected between 25%-35% of the time.
