JOB SUMMARY Cresco Labs is seeking an experienced, reliable and task-oriented Executive Assistant to support our Senior Executive Team (CFO and CPO) at our Chicago Headquarters, the role will be expected to be in the office 3-5 days a week depending on the executives schedule and can change weekly. The Executive Assistant will work directly for senior level executives and will help drive business decisions while maintaining professionalism and confidentiality. The ideal candidate is highly self-motivated, passionate, professional, and capable of identifying and prioritizing needs in a fast-paced corporate environment. CORE JOB DUTIES Manage leaders' calendars with specific attention to detail, including Balancing and resolving conflicting priorities and managing complex scheduling - working closely with leader on rescheduling or changes. Informing leader when meetings get moved or cancelled and/or checking with leader on how best to reschedule Following up with individuals who have not accepted meeting invites well in advance to ensure all necessary participants are available. Anticipate meeting needs - conference rooms or virtual dial in, whether meals/refreshments needed, any necessary meeting equipment needed (dry erase board, markers, material printed etc.) Own every aspect of booking executive travel from start to end, may also support extended leadership team when traveling together - coordinate booking flights, hotels, car rentals or car service, restaurant reservations etc. and provide detailed itinerary to ensure a smooth travel process. Watch travel plans closely for any delays/cancelations to make necessary changes if needed Drive productivity within the team by keeping senior executives on track with project deadlines or priorities and provide pro-active support to ensure they are prepared for all meetings and events Check in with leaders each morning and throughout the day to provide reminders on key events (birthdays, anniversaries), inform of the daily schedule and any changes, anticipate executives needs and consistently check in if anything new/urgent has come up, confirm any lunch orders. Provide advanced reminders on upcoming key events such as board meeting preparation, travel, company events, team birthdays/anniversaries, etc.. Handle a high volume of confidential and sensitive information with professionalism and maintain professional discretion of all information When requested, accompany senior executives in meetings to set the agenda, record notes, send follow-ups, and work with stakeholders on content Act as a key resource for the senior executive/their team by independently seeking out answers to questions, proactively taking initiative and leveraging network of resources to solve problems and proactively cascade knowledge Proofread and update electronic or paper documents in accordance with Cresco's mission and branding. Maintain an organized system of paper and electronic documents for quick reference if needed by a senior executive In-office coverage, 3-5 days a week, for senior executive team and their leaders - checking in with leaders, receiving lunch orders, greeting guests, meeting and special event set up, Back up coverage for other EA's as needed. JOB SUMMARY The Assistant Project Manager, Retail Construction & Facilities Management, will report to the Sr. Director of Retail Construction & Facilities Management. This individual is responsible for supporting overall project management which includes construction planning and project management and facilities maintenance for 70+ Sunnyside* dispensaries. This individual will assist in managing to our overall annual operating budgets including helping to forecast and track vendor spend across several key facilities and construction vendors. This role also includes planning and organizing engagements with the construction team to ensure projects are completed on time and within budget. On a day-to-day basis, you will oversee all project management activities, manage external vendors, assist with contracts and coordinate with vendors and contractors, in partnership with our Project Managers, all while ensuring timely updates to leadership and proper tracking of construction projects and facility issues from inception to completion. As an Assistant Project Manager, Retail Construction & Facilities Management, you will have: Supported retail construction program by assisting with project coordination throughout the project lifecycle. Coordinated with vendors and internal teams, helping maintain strong relationships and ensuring project needs were communicated effectively. Provided support in planning and problem-solving, contributing to decision-making processes and helping resolve facilities and project-related challenges. CORE JOB DUTIES Support long-term and short-term construction and facilities plans by coordinating vendor relations, tracking projects, and assisting with property upgrades to maintain operations and meet AOP budget goals. Assist the Project Manager and Sr. Director in coordinating construction projects from initiation through completion, ensuring contractual and quality standards are met. Support the Project Manager and Sr. Director in scheduling, tracking, assisting with cost estimation, and tracking deliverables. Assist the Project Managers, Sr. Director, and internal teams in ensuring compliance with project plans, codes, and regulations. Assist in preparing internal contracts and creating purchase orders as needed for construction and facilities efforts. Support in-house layout, finishes, and materials sourcing, ensuring alignment with brand standards and budget parameters. This includes plans for non-permitted projects, including schematic drawings. Ensure construction documents are accurately maintained and properly organized in shared drives. Build and maintain relationships with business partners through Retail Management, Construction, IT, Compliance, Security, Health & Safety, and HR. Work cross-functionally with internal and external stakeholders to help Project Managers and the Director deliver new stores, remodels, and facilities projects on time and within budget. Support the management of the facilities ticket system to ensure timely communication, adherence to service standards, and completion of requests. Assist in tracking facilities work orders to ensure these are updated, timelines are met, deliverables are not at risk, and potential solutions are identified. Maintain internal project trackers and reporting to ensure visibility and progress of all facilities and construction projects. Interface with Project Managers and the Sr. Director to gather needs and support facilities management planning. Help coordinate repairs or replacements for warranty-related issues after store openings. Assist in vendor and GC bidding processes, identifying potential cost savings and quality partners. Maintain all vendor and GC agreements up to date. Maintain and improve vendor relationships, supporting compliance with applicable policies and procedures, including clear tracking of all vendors' inventory and bulk orders. Assist with invoicing to ensure work is completed as expected and approved for timely payment. Provide regular updates and feedback to Project Managers and the Director on construction and facilities activities. Perform general project administration duties as assigned. REQUIRED EXPERIENCE, EDUCATION AND SKILLS 3+ years of construction project management & facilities management at a scaled retailer or similar industry with a multi-state footprint. Cannabis experience a plus. Bachelor's Degree preferred with a focus on Facilities Management, Engineering or Property Management. Strong problem-solving, negotiating, and critical judgment skills for all proposed scopes of work; experience in GC and vendor RFP and bidding. Skilled in vetting contractor proposals/scopes of work (including but not limited to roofing, HVAC, plumbing), permit process tracking, change order processing, and vendor inventory tracking. Strong business acumen, including vendor management, attention to detail, and excellent communication and interpersonal skills. Highly motivated/a self-starter who is goal-oriented; works well independently and with little direction. Proficiency in relevant applications such as AutoCAD, SketchUp, Adobe Suite, Photoshop, InDesign, Illustrator, Smartsheet, and Monday.com and Microsoft Office programs. Demonstrated 3D visualization ability and working knowledge of color and design principles.
