Position Summary:
The Branch Administrative Coordinator (BAC) plays a crucial role in ensuring the smooth operation of branch activities. This position is primarily responsible for managing client tickets, handling service requests, and maintaining accurate records in Sprague's CRM. Additionally, the BAC oversees account management, billing, and invoicing, while providing essential support to technicians and branch management. By efficiently handling administrative tasks and supporting branch operations, the BAC significantly contributes to customer satisfaction and the overall success of the branch.
Essential Duties & Responsibilities:
Service & Technician Coordination:
Ensure all clients tickets are assigned to technicians in Sprague's CRM, as outlined by Branch Management.
Assist managers and technicians with mapping, routing, and assignment of accounts and service calls; Post On-Call schedule.
Answer incoming service requests by multi-line phone, email, or online portal.
Review daily messaging reports (MTO) from prior day(s) regarding accounts & updates; reporting and/or acting on information as needed.
Conduct daily batching of tickets; Inspect and quality check technician reports and paperwork, resolve and escalate issues, and file records accurately.
Review call backs and after hours calls from clients; escalate and act on information as needed.
Account & Billing Management:
Create accounts and update records as new accounts are sold or modified.
Conduct account billing and invoicing activities, including special billing requirements, outbound collection calls, processing credit cards and cash payments, resending invoices, escalating payment issues to managers, documenting activities and agreements.
Conduct monthly closing procedures for Branch.
Log complaints, service issues, requests, changes to scheduled service, ensuring customers, technicians, and managers are informed of actions required and taken.
Documentation & Compliance:
Ensure renewal and documentation of technician licensing; create & update smart pages.

Essential Job Duties:
· Provide phone and/or video support to parents, families, and the local community.
· Help parents and families navigate the care delivery system, including systems of health and behavioral health, housing, insurance and transportation.
· Assess suicide risk for callers and take necessary steps to ensure safety
· Provide parenting coaching using safe parenting interventions for common child and adolescent behaviors, upon request of the caller/caregiver.
· Monitor food and housing security
· Provide community support and resources to parents and families living with serious mental disorders that significantly affect their functioning in the community setting
· Assist with referral sources to help parents and families obtain benefits such as insurance and SS benefits, job training, housing, health care, socialization, child care, and other community resources
· Refer to appropriate mental health or addiction services as needed that address the parent's and family's needs

Responsibilities
The Passenger Service Dispatcher oversees the operation and assures Wheelchair Assistants are directed to the flights in the most efficient manner.
This position must work as part of the team to assure the proper information is communicated from the clients and passengers to assure timeliness of the agents in arriving for the flights. Continuous planning and timely communication are essential in assuring an effective operation.
Receives and prepares tickets at the start of the day and process them for the wheelchair crew.
Receives calls from the service crew (wheelchair and client airline crew) throughout the day to track wheelchair location and job status.
Performs general clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
Relay work orders, messages, and information to or from work crews using telephones or two-way radios.
Primarily responsible for all occurrences related to dispatching wheelchair and walker vehicles
Responsible for filling in for Wheelchair Assistants as necessary
Qualifications
High school diploma/GED or equivalent work experience
Must be at least 18 years old
Available to work various shifts
Ability to obtain an Airport Badge is required
Operations experience is preferred
Ability to multi-task is required
Customer service experience preferred
Experienced in dispatching and/or coordinating transportation routes for groups of people
Skill in communicating using two-way radio and telephone equipment
Computer skills, also Microsoft Office, internet, e-mail, etc. Excel experience preferred.
Ability to meet attendance schedule with dependability and consistency. (flexible to work overtime as required)
