Core Purpose

Key Responsibilities and Accountabilities
Track equipment rentals and maintain accurate, up-to-date records within the rental management system.

Generate accurate invoices and process payments efficiently.

Performance Expectations: The CustomerService Representative: Synapse Employee (entry level) will be responsible for the competent and efficient performance of his/her assigned duties. He/she will always behave in a manner conducive to a positive working environment. When assignments are completed, he/she will willingly seek additional tasks.
Education and Experience Requirements: Minimum of high school diploma or equivalent. Requires competency in processing sleep therapy equipment orders and general DME knowledge.
Skills: Must possess a high level of skill in working with computers and various software programs. Must have good interpersonal relationship skills in working with superiors, referral sources, physicians and office staff, co-workers, and outside vendors. Must exhibit strong problem-solving skills, verbal and written communication skills.
Mental Applications: Must be able to plan and organize work for effectiveness and efficiency. Must be able to effectively respond to change of work assignment, multi-tasking, and frequent interruptions.
Accuracy: Must demonstrate a consistently high degree of accuracy in the accomplishment of daily activities and adherence to company policies and procedures.
Dexterity: Must have good fine motor skills and possess the necessary coordination and dexterity to operate company technology and systems as well as sit and stand for extended periods of time.
Computer Skills: Ability to utilize software solutions for data entry and analysis in addition to proficiency in Microsoft Office.
IT Equipment: Desktop Computer, Monitor, Desk Phone, Desktop Printer

JOB RESPONSIBILITIES
* Receive and process customer orders daily via phone (including pre‑orders), fax, email, web orders, and EDI transmissions with accuracy and timeliness
* Monitor and maintain the call desk to process missing orders, load requests, EDI issues, and other order‑related tasks
* Respond to internal and external inquiries and ensure appropriate and timely resolution
* Maintain order cut‑off timing in coordination with business units
* Answer incoming customer calls and route them to the appropriate department or branch for follow‑up
* Develop strong knowledge of company products, programs, and systems used to manage customer accounts
* Resolve escalated customer concerns using effective problem‑solving and de‑escalation techniques to achieve satisfactory outcomes
QUALIFICATIONS
* High School Diploma or GED required
* Proficient in reading and writing English
* 2-3 years of experience with ROSS, AS400, and/or Green Screen systems preferred
* Proficient in Microsoft Office, especially Excel; strong 10‑key skills required
* 2-3 years of experience in an order‑entry or shared‑services environment, ideally within distribution, manufacturing, or warehouse operations
* Experience supporting multiple locations, product lines, and customer groups in a fast‑paced or start‑up environment
* Strong verbal and written communication skills, including grammar, clarity, and follow‑through
* Demonstrated ability to work independently and collaboratively in fast-paced, dynamic environments.
* Demonstrated ability to perform effectively under pressure and manage competing priorities
