JOB SUMMARY: Under general supervision, this role uses skills gained through training and experience to provide proactive support to advisors and assist with efficient, quality client service. Extensive contact with internal and external clients to resolve most questions and problems, and refer new or unusual issues to a higher level. ESSENTIAL DUTIES & RESPONSIBILITIES: This position aids in the operations of the firm by providing concierge support in our solution implementation process. Specific responsibilities include, but are not limited to: Client Onboarding - This role will prepare new business paperwork as part of our concierge implementation process while working alongside the department lead to monitor client progression through account opening and onboarding. Client Service: This role will respond to client service inquiries, and prepare/send/submit client service forms and requests. Data Entry - This role will be responsible for entry and updating of client data within the company's technology systems while ensuring a high level of accuracy (ie. address changes, name updates, beneficiary details, etc). Client File Maintenance - This role will be responsible for filing client-related materials in their appropriate cloud folder and accumulating materials in the client file for advisors' meetings with clients. Email Support - This role is responsible for assisting the advisor in the management of email inflow, delegating messages to the team and systems as appropriate, and proofreading dictated emails in preparation for client delivery. Team Development - All team members participate in internal meetings, and look for ways to improve current systems to share with the team. QUALIFICATIONS: The ideal person for this role will be one with excellent time management capabilities and exceptional communication skills. Because this is a client-facing role that prepares paperwork with our New Business & Client Services Department, meticulous attention to detail is a must. At times assumes a supporting role to the Customer Service function with regards to pricing; responds timely and completely to a customer's order. Research customer history. Responds to requests by customers for Quality Documents. Support to Staff & Other Departments Responsible for disseminating special pricing information to Sales & Customer Service, including the timely maintenance of Customer Price Lists. Acts as liaison between Regional Sales Managers, Customer, Vendor and internal contacts. Provides support to the Buyers by providing customer Stocking Agreements. Training & Development Participates in supplier training during sales meetings as needed. Attends trade shows when requested to do so. Clerical/General Administrative Responds to routine emails, phone calls, etc. Makes copies, print documents, mail delivery, etc. Files paperwork Qualifications Education/Experience Knowledge and skills at a level normally acquired through the completion of an Bachelor's degree preferred High school diploma or GED required 2-3 years of professional experience required, preferably in a related field. Salesforce experience preferred Licenses/Credentials/Certifications N/A Specialized Knowledge/Skills/Abilities Calm, organized, patient, diplomatic, and confident demeanor in working with staff and customers Advanced attention to detail and accuracy in all work Sage X3 experience preferred Ability to prioritize own wide-ranging work load and work independently Ability to communicate both verbally and in writing to internal and external customers Working knowledge of Microsoft Office applications: Word, Excel, Outlook Ability to work collaboratively with colleagues, vendors and customers Working Hours/Environment Office hours are 40 per week - Monday - Friday, 7:30 - 4:00; may require additional hours periodically, including evening and weekends depending on business needs Start and end times are flexible (ex. may opt for 8:00 - 4:30 schedule) Work typically performed in an indoor office setting Tools and Equipment Used Personal computer, copier, fax/scanner, phone, and other typical office equipment Travel Minimal - less than 5% of the time Physical & Mental Demands Frequently required to sit at a desk/workstation for long period of time Ability to work at a computer terminal for extended periods of time Digital dexterity and hand/eye coordination in operation of office equipment Light lifting and carrying of supplies, files, etc. Ability to speak to and hear employees/clients via phone or in person Body motor skills sufficient to enable incumbent to move around the office environment This does not constitute a written or implied contract of employment.
