**MEDICAL RECORDS DATA PROCESSOR I**
The Medical Records Data Processor I (DP1), under the supervision of the Medical Records (MR) Supervisor, is responsible for complying and enforcing organization and department policies and procedures, the National PACE Association (NPA) standards, Center for Medicare & Medicaid Services (CMS) and the Electronic Medical Record (EMR) guidelines. Responsible for data entry, audits, and promptly correcting discrepancies of the assigned census panel. Scans, audits, and uploads all relevant documents into the EMR systems, and the Service Utilization processes. Prepares and audits all external requested medical records in addition to the admission and monthly medical records to Nursing Home and Assisted Living (NH / AL) facilities. Serves as the back up for the Electronic Progress Note processes. Performs various clerical / secretarial functions, projects and reasonable duties as assigned.
**RESPONSIBILITIES:**
1. Responsible for data entry into the Electronic Medical Record (EMR). Effectively scans, uploads, and audits all relevant paper and electronic documents into the EMR Programs.
a. Audits for accuracy and completes data entry in the EMR as required (example: PACElogic demographic information, Prime Suite document upload file name, etc.).
b. Follows the EMR and scan program guidelines.
c. Scans and/or uploads paper and electronic documents and completes audit processes.
d. Prepares the purge and closed files for the assigned census panel as required; to be filed in the purge room.
e. Assists the Data Processor III (DP3) with the transfer process.

a. Completes the electronic and paper Visitors' documents into the EMR.
b. Requests the medical records from external facilities according to the information provided in the Release of Information (ROI) form.
c. Tracks and follows up on the requests with external facilities to obtain the Visitors' records prior to the Bienvivir Medical Doctor Assessment appointment.
4. Responsible for preparing and auditing medical records to be sent to Nursing Home and Assisted Living Facilities as required:
a. Prepares and audits the medical record packets for participant admissions and monthly medical records for nursing home/assisted living facilities and maintains copies of the packets sent as the backup record.
b. Serves as the backup for the nursing home/assisted living facilities mail-out process.
5. Serves as the DP2 backup for auditing the MPOA and Code Status documents for the assigned participants' panel on a quarterly basis or as required:
a. Conducts the biannual audit for the medical power of attorney, advance directives, and legal guardianship documents in binder against the EMR.
b. Conductsthe biannual audit for the full code, advance directives and out of hospital, and “do not resuscitate” (DNR) code status documents in the binder against the EMR.
c. Responsible for correcting any discrepancies.
6. Meetings:
a. In the absence of the DP3, attends and obtains the daily morning meeting minutes and center information.
b. Attends the organization and department staff meetings, training, and in-services (for missed meetings, staff is responsible to meet with the MR Supervisor to obtain information).

William Beaumont Army Medical Center (WBAMC) with primary support to Fort Bliss Mobilization and Demobilization (MOB/DEMOB), Soldier Readiness Processing (SRP), Conus Replacement Center (CRC), and Separation and Physical History Examinations (SHPE) and secondary support to WBAMC and outlying clinics. Mission requirements are to ensure Active Military, Reservist, ARNG, DA Civilians, and Contractor Personnel are medically validated for deployment, upon re-deployment, resolve non-deployable conditions and perform full Separation History and Physical Examinations. All services are to be performed on Fort Bliss military installations, with most services provided within the Soldier Readiness Processing Center and other soldier processing affiliated facilities (medical/dental) located throughout the installation.
Hours: The CP(s) duty schedule will be such as to accommodate operations (including Federal Holidays and Government Designated training holidays). Duty hours shall be set forth by the Medical Support Unit (MSU) Leadership or his/her designated government representative. The contractor shall provide services for work weeks up to 40 workhours and may consist of an average of eight (8), ten (10), twelve (12)-hour -work days scheduled Sunday through Saturday to include federal holidays between the hours of 5:30 a.m. and 10:00 p.m. A mandatory 30 minute to 1-hour unpaid lunch will be given during the shift as determined by the clinic. Current operational hours are from approximately 7:00 a.m. to 7:00 p.m. but may be changed or be staggered dependent on the mission. The above time frames are subject to change in support of the mission.
Duties shall consist of, but are not limited to, the following:
Shall see the patient per hour average of the other collective CPs, unless affected by circumstances beyond their control, which shall be reported to the Section OIC/NCOIC or designee.
Shall comply with all MTF productivity standards and maintain a level of productivity comparable with that of other individuals performing similar services.
Provide services of such quality that they meet or exceed currently recognized national standards as established by WBAMC policies and procedures. The contractor shall perform a wide variety of data entry functions.
Perform a variety of administrative duties including but not limited to answer phone calls from staff, patients and/or public and greets visitors referring them to the proper section/individual within the branch.

Stamp medical record jacket upon completion of medical screening.
Return medical records to Medical Records Room and place back in shelf from where it was retrieved.
Input required data into databases Medical Operations Data Systems (MODS) and the Medical Protection System (MEDPROS) as required. Provide various database reports as requested and download on a daily basis data that has been entered
Prepare material such as labels, listings, forms and simple correspondence (competitive level typing skills are not required). Maintain an adequate supply of blank forms and medical supplies by conducting periodic inventory of the medical supplies; submit requests for re-supply as needed, receives new supplies, and re-stock supplies received. Prepare all records and reports as required by the MTF.
Requirements

·Experience: Possess a minimum of one year of experience within the last three years working as a full-time medical clerk in a hospital, clinic, or doctor's office within the last two years.
Additional Certification: Possess a current Basic Life Support (BLS) Certification.
