The IT Technology Coach provides a superior level of expertise around a multitude of applications and technology in use throughout the firm. Provide personalized, white-glove support and coaching to lawyers and staff on firm applications, mobile devices, and Information Technology (IT) security best practices
Become intimately familiar with business processes and firm applications to provide instruction, support, and advice to departments, practice groups and teams to improve efficiency
Partner with teammates and other coworkers to identify and resolve problems and make improvements
Keep professional skills current by taking relevant training and continuing education courses. Apply and share these skills back on the job to the betterment of the department and firm

Assess opportunities for application and process improvement and prepare documentation of rationale to share with team members, leadership, and other affected parties
Be committed to “seeing around the corner” and sharing these insights with the law and technology community. Identify and adopt technology solutions as they apply to legal practice
Manage and triage incoming Service Desk tickets. Provide regular written or verbal follow-ups with users, maintain clearly written and comprehensive ticket work notes, and resolve tickets in a timely manner
Maintain knowledge of hardware and software supported and how various departments, practice groups, and teams utilize them to support business processes
Quickly provide Level II and Level III technical advice/support, installation/configuration, troubleshooting assistance, and problem resolution for PCs (both laptops and desktops), printers, applications, smartphones, mobile devices, telephones, remote access, and document transfers through all Service Desk support channels
Document all support interactions and their resolutions in the incident tracking database
Manage multiple tasks from initiation to closure in an organized fashion. This includes the setting of expectations, communication of progress and issues, identification and escalation of risks, and prioritization of tasks
Provide Service Desk call center backup for the Information Technology (IT) Support Analyst team
Seek opportunities to help attorneys and staff leverage our existing technologies within their workflow of delivering legal services to clients. Document the successes for the benefit of others
Maintain awareness and adherence of security measures, policies, methods, and procedures that safeguard the integrity of and access to enterprise systems, files, and firm data. Promote a culture that promotes information security as an integral part of IT architecture and business processes
Assist with determining and documenting the support impacts of new technology and planned software upgrades as requested
Coordinate timely repair of hardware with outside vendors, monitor inventory levels, verify bills/invoices, and generate and maintain hardware and software inventories for the office
Provide support for all audio/visual needs within the local office. Partner with Lead AV Specialist and colleagues in all offices to ensure meetings are setup on time and executed without issues. (Not applicable in Seattle.)
Travel, provide after-hours support, and work non-business hours as necessary
Assist with other special projects, tasks, and/or support as assigned

The Opportunity
We are seeking an Information Governance Coordinator to join our Firm. This position will be based in our New York office (hybrid). The Information Governance Coordinator coordinates various Firm resources to effectively coordinate and perform information governance functions, including file intake, transfers, data access, records retention, and disposition. This individual will exercise judgement to ensure that business and ethical obligations are being met while effectively and efficiently performing tasks. Coordinates and performs all aspects of information governance processes, including file intake, management, disposition, destruction, and/or transfer, with minimal supervision.
Coordinates outgoing client file transfer requests; involving IT, Records Management, Office of the General Counsel, and others as needed.
Reviews outgoing client files complying with the engagement agreement, outside counsel guidelines, and Firm policy.
Assists with incoming client file transfers, including downloading from file sharing sites & populating the document management system, coordinating email transfers, loading emails to mailboxes and tracking the status of the transfer.
Coordinates with information governance departments at other firms to ensure timely receipt of client and attorney data in compatible formats.
Imports and exports emails to and from PST files using Microsoft Outlook.
Reviews personal emails of departing attorneys in preparation for export in accordance with Firm policies.
Utilizes Relativity or other document review platforms to review and prepare files for transfer to departing attorneys, other firms, and clients.
Utilizes Excel to track file transfers to ensure completeness and provides regular reports to management on the status.
Assists, guides, and participates in the organization and filing of client emails for retiring partners, departing attorneys and professional staff.
Leads and participates in global information governance projects such as office moves and cleanups.
Coordinates with the Records Management team to ensure file management compliance with firm policy, client guidelines and best practices.
Communicates department and Firm best practices to partners, attorneys, and professional staff.
Assists staff and attorneys in proper use of Firm applications and provides
ad hoc
training, when appropriate.
Assists in implementing and administering retention and quality control programs.
Assists management in determining need for change, and in developing and implementing the same.
Understands Ethical Wall and Legal Hold processes and their impact on access to, transferring of and disposition of paper and electronic files and, when necessary, communicates with partners, attorneys, and professional staff.

The Manager takes an active role in learning about the service offering, lawyers, and clients of the assigned groups and related practices. They develop and lead initiatives to deepen knowledge about our clients, their business needs, and relevant Sidley capabilities to foster cross-selling.
The Manager may have direct supervisory responsibility for Business Development and Marketing Specialist and/or Coordinator level professionals and is responsible for fostering a collaborative, high-performing team. Additionally, they are expected to lead by example, mentor junior members of the team, and embody the highest standards of service delivery. The role requires the development of strong and effective working relationships within the Marketing Department, as well as with other professional business functions, and lawyers, across the Firm's global platform.
Duties and Responsibilities
Practice and Client Development
Consults with practice/industry leaders and other partners to develop and execute marketing and client development plans for the group and individual lawyers
Attends and contributes to practice/industry group meetings and planning sessions
Identifies and recommends business development opportunities and trends using data analytics, competitive intelligence, industry trends, market analyses, and similar resources
Evaluates the development of business prospects and cross-marketing efforts and makes recommendations to practice/industry leaders
Manages, develops, and refines the groups' business development “infrastructure” (e.g., written collateral, experience database/matter lists, contact lists, opportunity tracking, etc.), exercising an acute level of quality control to ensure that all marketing collateral, communications, matter lists, and other materials are consistent, error-free, and up to date; ensures processes are efficient and the best possible use is made of available technology and other resources
Helps group leaders prepare and manage the group's BD budget; tracks and analyzes practice/industry initiatives, evaluating the ROI of activities to recommend and plan future efforts
Coordinates with the Market Intelligence team to conduct industry and client research to aid in practice development initiatives
Facilitates the planning, implementation, and follow-up of new business or cross-marketing opportunities
Onboards and integrates lateral lawyer hires in the practice/industry, working closely with the relevant regional marketing team
Proposals and Pitches
Serves as project manager and key contributor for RFPs, pitches, and other business development projects, both for primary groups and others, as needed
Spearheads briefing discussions to propose and/or understand the opportunity
Writes new business proposals and produces targeted, tailored responses to RFIs/RFPs
Serves as advisor in preparing and rehearsing pitch teams
Supports follow-up and debrief activities post-pitch and reports them back to Firm leaders
Marketing and Profile-raising Activities
Leads preparation of submissions for practice/industry rankings, awards, surveys, league tables, and other recognitions for assigned groups
Works with Regional BD and Marketing team members to plan client programs and Sidley-sponsored events
Works with the Communications and PR team to identify thought leadership topics and Sidley lawyers to engage in media commentary, article publication, podcasts, etc.
Recommends and facilitates the involvement of Firm lawyers in professional organizations that will enhance the visibility of the lawyers and the Firm in relevant practice/industry platforms
Employee Management
Participates in hiring, managing, and developing staff; oversees daily operations and monitors staff work product; manages professional development of staff, including establishing goals, coaching, and training; prepares annual performance appraisals and provides timely feedback on performance
Delegates work efficiently and effectively to other team members
Collaborates with other leaders and business professionals within and outside the Marketing Department on projects that cross practices, regions, and/or functions

Duties and Responsibilities
Build key relationships with the leaders, partners and associates in the GPG to become familiar with their business development goals, recruitment strategy, performance management expectations and the creation of formal training programs.
Act as a liaison and advocate to facilitate workflow and evaluate associate capacity and skill development needs for staffing purposes. Responsible for assessing the GPG associates across offices to ensure associates are sharing equal workloads to maximize performance and eliminate disparate hours amongst lawyers and to ensure associates are building appropriate skills in accordance with rubrics and their career development goals.
Supervise weekly workflow check-ins with associates and flag/address bandwidth or staffing issues that have developed from the week prior due to conflicting demands, deadlines, or absences and escalate matters to appropriate billing and handling partners or leaders.
Lead the development of rubrics for skill development and different career steps, and assist with the oversight of progress toward such development by GPG associates.
Function as a liaison for other administrative departments and existing resources, i.e. Learning & Development; Diversity, Equity & Inclusion; Knowledge Management; Marketing and Business Development; Accounting; Finance, etc., by providing information, data, and key metrics that will assist in identifying and then guiding firmwide and practice specific initiatives
Identify for the GPG leaders and Staffing Partners the over and under-utilized associates, staff attorneys, and summer associates and the areas where skill development is needed.
Collaborate with the Global Practice Leaders (GPL), Staffing Partners, and other members of the leadership team in overseeing attorney performance appraisals and annual compensation adjustment processes, including review of appraisal forms, guiding partner discussions of evaluation messages, submission of counsel promotions, soliciting partner input on recommended compensation adjustments and ensuring consistency across the group. Utilize knowledge derived as a result of the associate and counsel evaluation process to focus on and address performance concerns.
Support GPL in review and development of presentation memorandum for internal partnership candidates.
Manage proposals and client engagement projects in coordination with the business development team to develop and ensure alignment with the practice area strategic initiatives.
Collaborate with Learning & Development to ensure effective onboarding of first-year and lateral associates.
Provide needs assessments for lateral and first-year associate new hires for the GPG Leadership in coordination with Legal Recruiting annual hiring targets and be a key resource in the onboarding and integration process for the group.
Help support the mentoring program for the GPG.
Design objectives related to morale and retention in coordination with Learning & Development.

Job Description:
The KM Solutions Specialist reports to the Associate Director of KM Solutions and functions as a paralegal responsible for supporting the work of the Associate Director of Knowledge Management (Investment Funds) and the Senior Director of Knowledge Management in the development and management of data resources for Investment Funds Group (IFG). The KM Solutions Specialist supports KM initiatives and projects for IFG, including tracking and validating the input of regular and consistent data into the IFG's market terms database so that IFG can work more effectively. Additionally, this role supports firmwide KM activities, helping to implement the KM strategy.
Essential Functions and Responsibilities:
* Manage certain data-related components of the IFG project workflows such as managing the IFG market terms database, developing workflows from Centari to the new Funds database in PowerBI, meta-data collections, name normalization/naming conventions, populating missing data, running test exports, analyzing KM system and content usage reporting data and performing final QC
* Maintain the IFG PowerBI build, including source updates, data refreshes, and workspace republication to ensure the IFG's fund formations are entered into the market terms database on a timely basis, setting a regular cadence for the inclusion of both new and legacy work into the database, performing quality control on both automated and manually extracted data, and reaching out to IFG attorneys for validation, as directed
* Coordinate with Associate Director of Knowledge Management (Investment Funds) to track and respond to requests for IFG resources such as bespoke market terms surveys, requests for updates to IFG fund forms and other IFG KM content
* Curates and tags content for knowledge banks
* Locates and formats documents for legal and KM project specific uploads (e.g. into Sharepoint, Relativity, PowerBI, etc.)

* Drafts knowledge platform updates, KM newsletters, and other communications to highlight new tools and KM products to encourage adoption
* Helps maintain knowledge platform and related material, including "off the shelf" market surveys, service provider lists, McDermott Access tools and IFG publications
* Supports and encourages adoption of the knowledge platforms for IFG by providing training and assistance

Overview
The E-Billing Coordinator plays a critical role in the revenue cycle of the firm by performing E-Billing assistance on electronically billed matters. The E-billing Coordinator oversees the electronic billing process from start to finish, ensuring accurate and timely invoice submission in compliance with client requirements and guidelines. This role involves but is not limited to, identifying and troubleshooting E-billing issues, maintaining data integrity, collaborating with internal teams and clients to ensure successful billing.
Responsibilities
The E-Billing Coordinator is responsible for key phases of the e-billing process, including, rate uploads, follow-up on rejected items, and inventory tracking. The role also encompasses process documentation related to specific clients. The role specifically involves the following:
E-billing coordination between the firm, the e-billing vendor and the client, including all necessary setups and submission of preliminary data such as timekeeper and matter lists.
Accountable for a portfolio of clients and keeps all department spreadsheets and notes up to date.
Monthly review of assigned clients in which new timekeepers are identified. Assist with obtaining client approval for these newly assigned timekeepers on a monthly basis. On an annual basis, the E-Billing Coordinator is responsible for the submission of an all inclusive rate card for each of their assigned clients.
Maintain the spreadsheets for new timekeepers assigned to each client and add them accordingly in the vendor sites for successful submission of invoices. This also entails maintaining the timekeeper titles on the vendor sites whenever appropriate.
May be required to generate LEDES files for those clients who are not electronically submitted but require a LEDES formatted invoice.
Help to identify reoccurring violations of client guidelines and alerting appropriate team on action steps.

What You'll Do

As the Travel, Meetings & Events Specialist, you'll lead the assessment, planning, and execution of internal and external events across our Boston, New York, and Washington, DC offices, with additional firmwide support as needed. Sitting within a collaborative network that includes Recruiting, Talent, Business Development, and other internal partners, you'll design and deliver a wide range of programs-from summer associate events to partner dinners, client gatherings, office celebrations, and more
You'll manage events from concept through completion, establish best practices, and ensure seamless logistics that reflect our standards of excellence. This role requires strong independence, follow-through, and the ability to build trusted relationships with attorneys, staff, and external partners.
* Lead Event Strategy & Planning - Partner with internal stakeholders to define event goals, content, and logistics while driving innovative, engaging experiences.
* Manage End-to-End Event Logistics - Oversee all event elements, including food and beverage, décor, entertainment, audio-visual needs, technology, transportation, and related requirements.
* Cultivate Vendor & Partner Relationships - Build strong, solution-focused relationships with external suppliers to ensure the firm's needs are consistently met.
* Drive Site Selection & Contracting - Conduct venue research, develop requests for proposals (RFPs), negotiate contracts, and support risk mitigation across agreements.
* Oversee Budgeting & Cost Management - Prepare cost estimates, manage expenses, and complete post-event financial reporting to identify savings opportunities.
* Create Attendee Communications - Develop and distribute clear, timely event communications that help ensure an exceptional participant experience.
* Prepare Event Materials - Coordinate signage, agendas, attendee lists, and other collateral required for successful program delivery.
* Conduct Event Research & Recommendations - Identify trends, opportunities, and best practices to elevate office events and firmwide programming.
* Execute Registration & Tracking - Manage pre- and post-event registration processes, including attendee tracking and reporting through CVENT (event management platform) when applicable.

What You'll Bring
* Bachelor's degree; with 8+ years of experience in event planning.
* Professional Credentials - Certified Meeting Planner (CMP) or Certified Special Events Professional (CSEP) preferred.

The base salary range below represents the low and high end of the salary range for this position in New York City. When a secretary is hired by the Firm, she or he is hired by the Firm and not by a particular lawyer. Thus, secretaries are expected to play an active role in assisting their assigned lawyers - and, when necessary, assisting other lawyers and other secretaries - toward the common goal of providing the Firm's clients with the best service possible.
To be an effective member of the team, secretaries should familiarize themselves with Firm procedures, from the way files are organized in the Records Department to the billing procedures of the Accounting Department.
