The Academic Department Coordinator provides comprehensive administrative support in all areas of operation in an academic department. Performs a wide range of detail-oriented tasks in a fast-moving environment. The administrative support areas include the following: support for the chair in carrying out departmental business and faculty personnel processes; curricular support; event management; budget support, financial transactions and student employment coordination; communications and office management. Serves as the first point of contact for the department on campus and is required to work on campus four days a week when classes are in session. Responsibilities Greet and provide information to members, visitors, and guests regarding nature center, sanctuary, trails, programs, and Mass Audubon in general Answer phone calls, monitor voicemails, and provide information, guidance, and direction, Assist with program registrations Update visitor signage, brochures and bulletin board information Understand and promote membership opportunities Use a cash register, computer, and credit card processor for sales and admissions Monitor radio and be prepared to serve as primary communication point-of-contact in case of emergency per standing policies and procedures Handle opening and closing procedures including end-of-day register sales tallying Assist with visitor services volunteer training and work cooperatively with volunteers Work with Property staff to monitor trail conditions Attend meetings and trainings when requested Periodically may be asked to work from greeting table outdoors during special events, etc. Assist in cleaning and sanitation of the Visitor Center Occasionally assist during peak periods such as holiday weekends or special events Qualifications At Mass Audubon, our highest priority is finding the best candidate for the job. This is a year-round position and earns vacation time as well as receives paid holidays. Work Schedule This is a year-round, part-time position. 18 hours per week, typically Thursday through Saturday from 9:00am-3:00pm. Saturdays are required.
