The Compliance Clerk will be responsible for operational and administrative support duties of the Legal/Compliance Department assisting the Compliance Manager. This position assists in developing, implementing, and maintaining the company's, correspondence/document workflow to ensure compliance with notification processes of any time sensitive received in our offices. MAIN DUTIES AND RESPONSIBILITIES Will work under the supervision of the Compliance Manager, processing and distributing compliance documentation. Receive, organize, categorize and stamp of all the mail received in all company locations same day received Sorting of all the mail to its correspondent ends such as individuals, departments, agencies, MGA's and or TPA's under internal turnaround times. Will actively monitor and provide recommendations and suggestions to the Compliance Manager as to process improvements and quality measures that can be implemented in the document, archiving and correspondence workflow for the Department to our MGA's, TPA's and agencies. Participate in compliance information gathering, as requested or required. Maintain and actualize all Department logs, files and records (i.e. claims, checks log, complaints, etc.). Draft basic documents, including document templates and transmittal letters for final review and signature, as required. Responsible of validation, registration and processing of any check received in any of our offices, properly notifying the Compliance Manager and inclusion into our check log. Responsible for managing the Compliance Line **************, including directing and channeling incoming calls to the proper personnel, as well as reviewing and referring all voicemails left on that line. Any other task delegated by the Compliance Manager. EDUCATION AND QUALIFICATIONS Preferred minimum of Associate's or Bachelor's Degree in Business Administration or related field 2 years of clerical, secretarial, paralegal insurance industry experience is a plus. Prior experience in mailroom management and processing of high volume of documents preferred. Prior process review, design and quality control measures implementation and improvement experience preferred. Ability to quickly adapt to changing priorities and deadlines. Knowledge and experience using Microsoft Windows, Excel, PowerPoint, Word, etc. Ability to work with modern communications tool such as dial-in conference calls, SharePoint and Microsoft Teams. GENERAL SKILLS Fully bilingual in English and Spanish. Ability to read, analyze, and interpret complex reporting, technical procedures and regulatory requirements. Ability to effectively present information in an articulate, persuasive, and decisive manner. Ability to maintain a professional and high-standard decorum especially when communicating with any Internal or External contacts. Excellent customer service skills internal and external customers Ability to define complex problems; collect data, establish facts, and draw valid conclusions. Sharp attention to detail, good literacy skills and the ability to remain calm and productive when handling urgent mail.Excellent verbal and written communications skills Ability to work under pressure with multiple deadlines and time constraints with minimal supervision Punctual, professional, and diligent Ability to handle mathematical calculations including basic knowledge of budgets, forecasts, interests, proportions, percentages, volume etc. PHYSICAL AND MENTAL DEMANDS The position requires sitting, standing and walking associated with a normal office environment, talking and hearing.
