Lead Responsibilities: The Dental Assistant Lead has supervisory and training responsibilities over new and current Back Office employees.
Reviews charts daily in Open Dental, making sure that assistants are completing chart information accurately throughout the day.
Resolves daily audits by facilitating the team member to correct the audit or identifying who the team member is and noting their name along with the resolution. It's important that you have team members responsible for reconciliation measures.
It is the responsibility of the Practice Manager to create staff schedules, track back office work schedules, ensure appropriate staffing for daily coverage, coordinate days off, communicate and approve requested days off, monitor assistant approved OT hours, and track hours so assistants work according to schedule. However, in the absence of the PM, the BO Lead should be able to perform these functions on behalf of the Practice Manager if she/he is so delegated to do so.
Consistently works with Practice Manager to facilitate back office staff schedule.
Reviews the CHOICE Healthcare Services' Employee Manual & Policy Notices.
Enforces, reviews and applies CHOICE Healthcare Services' Employee Manual & Policy Notice criteria by discussing it with the team and/or reports issues to supervisors for further action. (Ex: dress code, eye protection, using proper coverage while taking x-rays, not brushing their teeth after clocking in from lunch, etc.).
Maintains office flow, minimum patient wait time of no more than 15 min in waiting room and no more than 1 hour total chair time in back office.
Utilizes down time to recover ops, open bay, and sterilization.
Schedules and tracks hours of externships and new employees, completes evaluations, conducts evaluation reviews with instructors, and supports assistants with interns training.
Perform and oversee the training of new employees to ensure excellent performance and training success.
Coordinates routine inventory checks and orders according to protocol using the standard Master Price List and communicates with the Procurement Team.
Works with HR and Practice Manager to coordinate OSHA responsibilities. Maintains OSHA required logs, postings requirements, deadlines, updates and ensures standards are met for all offices.

Reviews all lab slips for accuracy before sending the case to the lab for processing; ensures that all labs have been delivered to the clinic before the patient is scheduled.
Responsible for inventory control; monitors supplies and ordering. Reviews purchase orders toensure staff is consistent with ordering according to the organization formulary.
Identifies, reports and follows up as necessary on any maintenance of dental equipment. Works with Facility Department to ensure all equipment is in proper working order.
Monitors patient flow and takes necessary actions in the day-to-day management of patient flow. Works with both staff and patients to ensure efficient patient flow according to the schedule demands and walk-ins.
Ensures that the staff is following OSHA regulations and safety requirements. Including HIPAA guidelines and takes corrective action with the support of management if necessary.
Assists with monitoring and managing dosimeter badges.
Supports the dental director, or designee, with the review and approval of the Medi-Cal major procedures.
Works at least one Saturday per month.
Approves R/DA timesheets.
Responsible for confirming that back-office workflow logs are completed by staff (Referrals, Spore testing, etc.).
Serves as the primary contact person for EDR Systems staff pertaining to the EDR.
Performs other front and/or back office duties as deemed necessary.

• Verifies patient information by interviewing patient, reviewing and/or recording
medical history; taking vital signs; confirming purpose of visit or treatment.
• Adhere to safety and infection control protocols.
• Supports patient care delivery by helping health care providers during
examinations; preparing laboratory specimens; performing basic laboratory tests
on the premises; disposing of contaminated supplies; sterilizing medical
instruments; administering medications on the premises; authorizing drug refills as
directed; drawing blood; preparing patients for x-rays; taking electrocardiograms;
removing sutures; changing dressings.
• Conducting occupational health tests, including Audiometry, Spirometry, and fit
testing.
• Assist providers with workers' compensation injuries, administer first aid, and
conduct drug screening and alcohol collection.
• Maintain accurate records of all collections.
• Assist in scheduling appointments and coordinating services with other healthcare
providers.
• Track and complete referrals in coordination with adjusters and outside vendors.
• Communicate test results to patients and healthcare providers as directed.
• Maintain a high level of confidentiality and proper storage of PHI.
• Perform blood draws and other specimen collection procedures in accordance
with established protocols and guideline.
• Keeps supplies ready by inventorying stock; placing orders; verifying receipt.
• Coordinate clinic logistics and equipment setup and breakdown at various work
sites; travel to different work sites as required.
• Perform other duties as assigned, demonstrating motivation, reliability,
organization, and punctuality.

Requirements
Required Licenses and Certifications:
Medical Assistant Certificate preferred.
Phlebotomy certification
BLS certified with CPR/AED proficiency.
Education, Skills, and Qualifications:
Completion of medical assistant coursework from an accredited program.
High School Diploma, GED, or suitable equivalent.
Prior experience in an occupational health setting preferred.
Knowledge and experience with electronic medical records.
Current driver license and reliable transportation.
Ability to travel, as required.
Physical Demands:
The position requires the ability to stand for extended periods of time to perform various
tasks. It also involves lifting objects weighing up to 25 pounds. Good dexterity and hand eye coordination are essential for handling equipment and performing precise tasks. The
role may involve repetitive tasks, requiring the candidate to have the physical capability
to carry them out effectively. Additionally, good visual acuity is necessary for reading
and accurately recording information. The candidate should be able to bend, kneel,
and reach to access and handle materials and equipment. Excellent mobility is needed
to move around the clinic and perform examinations efficiently. The role may
occasionally require working in confined spaces, which the candidate should be
comfortable with.
