The Medical-Surgical/Telemetry Units include: complex medicine, joint replacement, orthopedics, observation, neuroscience, oncology, primary care, specialty surgery, nursing rehab units, acute care for the elderly (ACE), cardiac telemetry, cardiovascular telemetry, vascular, trauma, short stay and dialysis units. These units value the art and science of nursing and offer a high level of interaction with patients and families.
Job Summary
Reports to Manager, or assigned to department. Provides administrative support to Hospital departments. Exercises independent judgment; however, works under general supervision. Responsible for providing secretarial and basic administrative support services such as receiving visitors, answers phone calls, providing customer service with inquiries, scheduling meetings, and maintaining supervisor's calendar, prepares correspondence, tracks spreadsheets, may assist with payroll, and creates presentations, and conducts special projects, as assigned. May handle sensitive information and is expected to maintain confidentiality at all times. Responsible for performing job duties in accordance with the mission, vision and values of Tampa General Healthcare.

Responsibilities
1. Obtain and document medical records for established patients, referrals, procedures, or ancillary services.
2. Communicate clinical information from medical records with transplant staff to ensure records are transcribed into the transplant database.
3. Secure complex prior-authorizations for services, medications, or testing and track the authorizations for renewal.
4. Provide administrative support for the adult heart and lung transplant clinics under the direction of the clinic nurse manager.
5. Provide patient services coordination, document coordination, and insurance authorizations prior to scheduled testing and procedures
6. Provide administrative support to the clinic patients and staff; to include maintaining and coordinating patient files/charts, lab requests, lab work reports, insurance cards, and any prior-authorizations required.
7. Support the transplant service line through the organization of general office procedures; to include efficiency in telephone messaging,
8. Prepare and distribute “on call schedule” for transplant teams
9. Utilize the transplant database for information management.
10. Manage a high volume of phone calls, triage each call, and prioritize the calls making sure they are directed to the appropriate staff member
11. Schedule appointments and follow up testing, confirm patient appointments
12. Set up charts for new patients.
13. Manage and organize team members calendars, including coordination and scheduling of meetings- both with external and internal team members
14. Manage incoming and outgoing mail
15. Maintain office and kitchen area, to include ordering of office and kitchen supplies
16. Other duties as assigned
17. Calls patients to schedule procedures and give instructions over phone with follow-up letter with instructions.
