Maine State Prision is seeking qualified candidates for Secretary Specialist Supervisor in Warren. The is an executive level paraprofessional work supporting the Command Staff as well as MSP's Executive Team by providing advanced administrativesupport the requires in-depth knowledge of accompanying processes and procedures. This position provides assistance in the development, implementation, and/or management of programs and policies at the statewide level for a department, board, or commission. Work consists of advanced secretarial and paraprofessional support services requiring a proficient knowledge of office processes and administrative functions. General Job Information This position is located in the Public Services Division, District of Columbia Public Library (DCPL) System which serves the entire Washington metropolitan area. The incumbent serves as the AdministrativeSupportAssistant for the Public Services Division and provides administrative and front-office support. As one of the primary points of contact with other agency departments, organizations, and the general public, the incumbent projects a professional, courteous, and customer-oriented image to both telephone and personal visitors to the office. The incumbent maintains strict confidentiality in all matters related to the work of this position.
DUTIES AND RESPONSIBILITIES
* Provides administrativesupport services to the Public Services Directors and Public Services Executive Officer and manages, coordinates, and implements the administrative functions associated with daily operations of their departments.
* In collaboration with the Executive Officer, reviews, all Public Services program agreements. This includes receiving draft program agreements from public services staff and other agency departments, reviewing drafts for clarity and completeness.

EDUCATION & EXPERIENCE

NATURE OF WORK: The purpose of this classification is to provide routine clerical support to an assigned department and/or program. Work involves assisting callers, customers and/or visitors with general information; receiving and processing routine forms and/or fees; and performing data entry.
SOME OF THE ESSENTIAL JOB DUTIES INCLUDE:

Core Responsibilities:
This critical Office Assistant II position engages callers, visiting providers, and families to guide them to the appropriate OCFS staff and services as part of the OCFS goal of providing excellent customer service.
As a member of a fast-paced team-oriented office environment, a well-qualified candidate will be professional, well-spoken, patient, possess strong organizational skills, and demonstrate a history of excellent customer service skills, both phone and in person. The candidate will demonstrate the ability to successfully manage multiple priorities for a wide variety of office tasks supporting the overall OCFS mission. Your duties will include, but are not limited to:
• Responsible for primary management of incoming and outgoing communications, including email, calls, mail, faxes, and other publications and print materials related to the Policy and Training Unit;
• Coordinating training-related needs, including, but not limited to, procuring venues, invoicing, managing registration and attendance of events, and distribution of certificates based on the information gathered as part of the attendance record;
• Working with Policy and Training Unit members to support the delivery of training by preparing and distributing physical course materials;
• Supporting other administrative processes for OCFS programs as needed, including management of the Policy and Training Intranet site and Learning Management Systems.
Minimum Qualifications:
To qualify, you must have training, education, or experience in office and administrativesupport work that demonstrates 1) competency in applying a general knowledge of modern office practices to perform routine, varied office support tasks often requiring the operation of technical office equipment, and 2) the ability to use independent judgment in prioritizing the work and selecting the most appropriate course of action within set procedures. All positions in this classification assume the qualifications of: Office Assistant I.
