The unit secretary / patient intake coordinator handles all Inbound Admission calls and emails and shares Unit Secretary duties with primary clinic Unit Secretary. The Unit Secretary provides administrative support to the clinic staff, greets and assists patients with their appointments, and ensures the patients' charts are in order in accordance with Medicare and company policies and procedures. Strong interpersonal and telephone skills required. Must be able to multitask and build strong relationships with referral sources. Collects missing pre-admission information from hospital discharge planners and reviews it with clinic social worker and nurse manager. Obtains prospective new patients' insurance coverage information; faxes or scans and emails insurance information to corporate billers for verification. Confirms with nurse manager or charge nurse a new patient's schedule and appointment time. When patients are accepted for admission, informs hospital personnel of the date of the first outpatient dialysis, what time a patient should arrive for consent review prior to the first treatment and the need for patients to have transportation to DCI pre-arranged for the first treatment. Initiates, maintains, and completes the medical record. Assists in other data related needs which may include entering episodes of care, responding to requests for data from the Network or DCI request. Prepares meeting agendas and minutes as requested. Maintains accurate treatment statistics, including treatment dates, hospital dates, no-show information, and information on absences. Provides reports to the nurse manager or area operations director. May perform duties of receptionist including sorting and distributing mail, answering and routing phones calls, greeting and directing visitors, and other clerical duties. Assists other clerical support staff, as needed. Works with donor hospital personnel, physicians, and Organ Recovery Coordinators (ORC's) or Donation Coordinators (DCs) to obtain organ and tissue authorization. Must utilize consistent communication and empathy for both the donor family and potential transplant recipients. Extensive on-call services and call duties are required. May assist with the bereavement program and provide care to both donor and non-donor families as applicable. MAJOR DUTIES AND RESPONSIBILITIES Provides extensive on call services to obtain authorization for organ and tissue donation. On-call responsibilities may be affected by increased donor activity, staffing shortages, etc. Facilitates the authorization process for potential organ and tissue donor families prior to, during and after death declaration. Evaluates potential donors. Assesses potential donor families, obtains appropriate authorization for donation, conducts Medical/Social History interview, and assists donor families through identification of potential end of life decisions, attending family meetings and providing donation information as needed. Responsible for medical management of donors prior to recovery activities. Directs the placement of anatomical gifts as necessary. Provides transplant surgeons with information necessary to determine appropriate recipients. Coordinates and assists in the surgical recovery of organs and perioperative management of the donor when necessary. Provides support to Hospital Development Coordinator, in the assigned facility, to identify formal and informal leaders, assesses their respective roles, degree of influence and needs. Works collaboratively with these leaders and utilizes their expertise to improve and promote donation. Assists in policy and procedure development. Functions as an expert clinical resource for the hospital regarding organ and tissue donation. Will visually assess donors, interpret charts, document information and communicate findings. Collaborates with hospital and medical staff to provide potential donor families with accurate and timely information regarding the patient's current clinical course. Maintains communication with hospital staff and attending physician regarding the potential donor family's understanding of the prognosis and acts as a family advocate to the health care team as necessary. In the event of neurological deterioration and/or cardiac cessation, provides education to the potential donor family to include signs and symptoms of brain death, the process of diagnosing brain death, or cardiac cessation and withdrawal of support. As appropriate, discusses organ Family Care Coordinator and tissue donation opportunities with the potential donor family with the goal being to obtain authorization for donation. In the event the potential donor stabilizes and is no longer considered a potential organ donor, establishes an appropriate support system in collaboration with the health care staff, brings closure to the relationship with the family and returns if needed or requested. Provides appropriate information for the bereavement program to all potential organ and tissue donor families who wish to participate. As appropriate, provides a follow-up letter to donor families. Facilitates donor family and recipient communication in accordance with company policy and procedure. Performs other duties as assigned. PHYSICAL TRAITS: Walks, stands and sits. Bending down to floor level is required for some repair and maintenance of equipment. + The position requires a considerable amount of physical work. There is a two-person assist program and equipment available for moving the heavier loads/equipment. The employee must regularly move boxes, drums, and equipment of up to 600 lbs. in weight. The use of dollies or other equipment is mandatory while moving items that weigh approximately 600 lbs. The employee must frequently mix and lift chemical and water solutions of up to 50 lbs. up as high as 5 feet. During an emergency, ensuring patient well-being and safety is of the utmost priority so documented FMCNA emergency procedures must be followed. These could include hand cranking the dialysis machines, clamping and disconnecting bloodlines, and moving patients to safety. + The work environment is characteristic of a health care facility with air temperature control and moderate noise levels. There may be some potential exposure to chemicals and infectious materials, however, proper training will be provided to handle any of these type chemicals and infectious materials. **EDUCATION:** + High school/Vocational diploma or G.E.D. + Technician training or AA Degree in electronics preferred. **EXPERIENCE AND REQUIRED SKILLS:** + At least six months experience working in a technical (industry/hospital) setting. + Must demonstrate organizational and leadership skills, including those required to problem-solve in a medical, health care environment. + Attend all technical training programs required by state/federal regulations and FMCNA policy. + Newly hired or promoted incumbents are responsible for the requirements of the respiratory fit policy. + Valid Driver's License and/or ability to cover at other facilities and transport equipment and supplies as needed. + Continued employment contingent upon successful completion of the FMCNA Training Program for Technical Staff. The rate of pay for this position will depend on the successful candidate's work location and qualifications, including relevant education, work experience, skills, and competencies.
