Team Coordination
Lead, mentor, and motivate a team of service technicians, ensuring professionalism and adherence to company standards.
Coordinate with field technicians, team leads, and internal staff to assign service, maintenance, delivery, and repair visits based on location, expertise, and availability.
Schedule Optimization
Develop, manage, and allocate resources, equipment, and materials required for service and maintenance visits.
Collaborate closely with the warehouse and field teams to optimize routes and maximize technician productivity.
Continuously improve schedules to minimize travel time and avoid unnecessary service interruptions or “wasted trips.”
Handle emergency service requests promptly, efficiently reassigning technicians as needed.
Documentation & Software Management
Review and ensure all work orders are completed accurately and follow-ups are scheduled when required.
Create and refine scheduling procedures utilizing company software platforms
Maintain up-to-date client profiles in software, including key details such as gate codes, autofill locations, and technician assignments.
Reporting
Generate reports on schedules, technician performance, and service or repair completion rates across divisions.
Prepare weekly overtime summaries and detailed reports to support management oversight.
Qualifications & Skills
High school diploma or GED required.
2-3 years of related experience in scheduling, dispatching, or operations coordination.
Previous experience in the luxury pool industry strongly preferred.
Strong organizational and multitasking abilities.
Excellent communication and customer service skills.
Proficiency in scheduling or dispatch software and Microsoft Office Suite.
Bilingual English/Spanish is a plus!

Widener University is currently seeking a full-time 1st Shift Dispatcher. This position works primarily indoors, averaging 40 hours per week, 8 hours per day, 8:00AM to 4:00PM. The position reports to the Dispatch Manager. Dispatchers safeguard the University community by expertly coordinating communications among safety personnel, monitoring dispatch systems, and responding to both emergency and non-emergency calls with professionalism and efficiency. Their role is critical in ensuring that every situation whether urgent or routine is managed swiftly, accurately, and with the wellbeing of the community.
Reporting directly to the Dispatch Manager, the Dispatcher plays a vital role in safeguarding the University community by serving as the central hub for safety communications. This position requires coordinating and managing communications among campus safety personnel, monitoring dispatch systems to ensure timely and accurate information flow and responding to emergency and non-emergency calls with professionalism, efficiency, and composure.
This position is essential to maintaining the safety, security, and wellbeing of students, faculty, staff, and visitors. The Dispatcher will demonstrate strong communication skills, attention to detail, and the ability to remain calm under pressure while supporting the University's commitment to a safe and welcoming environment.
DUTIES AND RESPONSIBILITIES (including, but not limited to):
Essential Duties:
* Serve as a designated Campus Security Authority (CSA) in compliance with the Clery Act.
* Receive, prioritize, and dispatch emergency and non-emergency calls for service.
* Gather accurate details during interactions to ensure timely and appropriate safety responses.
* Operate and manage CAD (computer-aided dispatch), video management, card access, alarm systems, and key control.
* Use two-way radios to dispatch personnel and coordinate responses effectively.
* Work closely with University departments and external agencies to coordinate incident response.
* Manage multiple responsibilities in both high-stress and routine situations.
* Troubleshoot minor issues with dispatch systems and related technology.
* Contact police, fire, or medical services when required.
* Participate in emergency drills and exercises to maintain operational readiness.
Secondary Responsibilities:
* Work flexible or additional shifts as needed to support department operations.
* Support the Office of Campus Safety during University athletic events, ceremonies, and special functions.
* Manage Campus1Card system functions and distribute parking permits.
* Perform other job-related duties as assigned or directed to support departmental needs and align with the mission, values and goals of the Office of Emergency Management/Campus Safety.
MINIMUM QUALIFICATIONS (education/training and experience required):
Required:
* High school diploma or equivalent.
* Valid driver's license.
* Prior experience in customer service or a security-related role.
* Strong interpersonal skills and ability to engage professionally with diverse populations.
* Proficiency in operating computers, two-way radios, and dispatch/security equipment.
* Excellent verbal and written communication skills to tactfully and effectively communicate with the university community and colleagues.
* Ability to work independently and collaboratively within a team.
* Demonstrated ability to remain calm and tactful in challenging situations.
* Successful completion of background checks including PA Criminal, PA Child Abuse, and FBI clearance.
Preferred:
* Bachelor's degree in Criminal Justice, Emergency Management, Public Safety, or related field; additional coursework or training in communications, law enforcement, or emergency response.
* Prior experience as a Dispatcher.
* Familiarity with Clery Act reporting requirements and procedures
* Experience working in higher education or school-based environments.

* Familiarity with the local community and surrounding areas.

Essential Functions
1. Analyzes all data received to strategically assign, broadcasts and monitor all police calls, according to the nature of the emergency and in accordance with departmental policy.
2. Analyzes the response plans for each incident dispatched to set up quadrants, coordinate with patrol and field units such as K-9, Air1 and SWAT, and to provide an overview analysis of resources needed at the scene.
3. Supports the field troops as needed. Escalates to department supervisors to identify the response of the police officers.
4. Documents and evaluates the daily progress of Police Dispatcher Analysts; identifies performance gaps, recommends and delivers appropriate training, and makes recommendations to the Training Supervisor on assigned staff progress.
5. Provides continuous peer guidance regarding emergency and technical procedures.
6. Maintains constant status of field units and updates dispatch information utilizing the various emergency communications technologies.
7. Notifies and receives police related information from other police divisions or agencies to ensure information is shared and disseminated promptly.
8. Informs field officers of major incidents, hazardous situations, or locations where such information will be beneficial to the safety of citizens and first responders.
9. Handles and operates equipment, computer terminals, and varying emergency communications technologies with incoming dispatch information to efficiently dispatch police officers throughout shift and engages with other police personnel at the same time to ensure prompt processing of requests and police information.
10. Engages with all police personnel at all times to ensure prompt allocation of resources per incident category and dispatches more help as appropriate.
11. Utilizes local, state and national law enforcement databases to provide immediate and updated critical information to first responders.
12. Operates various emergency communications hardware, software, and radio console equipment to provide real time incident updates to first responders.
13. Exercises independent judgement in interpreting information to ensure the Police Dispatcher Analyst's mission of keeping citizens and officers safe.
14. Remains calm in a high stress environment. Reads, navigates, and interprets various mapping applications.
15. Reports to work during inclement weather and/or when staffing requires additional coverage in the emergency unit's 24x7x365 operations.

Public Safety Dispatcher
Answers five emergency lines, four Police business lines, multiple college operator lines, and the direct line to the Amherst Police and Fire Departments. Collects information from calling parties as well as walk-ins to the station in a timely manner and disseminates that information to the appropriate entities i.e. Police, ACEMS, Safe RIDE, Environmental Health and Safety, Amherst Fire, Facilities, Office of Student Affairs, or any other office on campus.
Utilizes the National Crime Information Center and Criminal Justice Information System to respond to requests for information from on-duty police officers, e.g. license, warrant, and criminal history checks.
Monitors fire, intrusion, panic, and other alarms. Monitors cameras on campus.
Activates the college's emergency mass notification system as directed by a ranking officer.
Provides emergency instructions, calls in personnel after hours, and supports and assists the community as a whole in a supportive and professional manner.
Records details in the Automated Record Management System (ARMS) database. The Police Department uses information stored in this system to comply with the state law on Public Police Logs, to keep the administration of the College informed of police department activity, to create records of crime and prosecute criminal cases, and to compile statistics for the Federal Clery Compliance document. This information is often highly confidential, and sensitive in nature, and protected by law.

Operator: Answers the Amherst College external published general phone line.
Directs visitors and callers to the many diverse events on campus. Utilize the Event Management System (EMS) program to access room reservations and function schedules to provide accurate information.
Pool Vehicles: Verifies the prescheduled use of the Pool Vehicles, ensuring the driver is credentialed and has been authorized to operate a Pool Vehicle utilizing the Event Management System (EMS) scheduling software and the Five College Credentialing site.
Access Control Buildings: Assists authorized contractors and staff in getting keys. They also are a key link in the One Card system, issuing temporary identification, controlling access upon the direction of a police officer.

§ Communicate dispatch assignments to drivers in a timely manner to ensure driver productivity using TMW and Total Mail software.
§ Communicate directly with customers to ensure all delivery requests and requirements are met.
§ Assign orders to drivers to meet customer requirements including delivery windows, supply obligations, equipment requirements, special delivery instructions, etc.
§ Identify when order demand in Source One's geography exceeds available capacity and coordinate with approved carrier partner to meet demand expectations.
§ Effectively communicate with internal peers, drivers, operation managers, and management to resolve logistics and service issues.
§ Monitor driver logs and schedule drivers' daily activities accordingly to ensure DOT compliance.
§ Collaborate with Maintenance Managers to schedule preventative maintenance and repair of equipment to maximize truck availability and utilization.
§ Identify opportunities to increase operational efficiencies through better use of drivers, equipment, and technology (TMW).
§ Work as part of a team environment and answer phones, handle customer service issues and work with various internal departments as needed.
§ Participate in the weekly operations meeting with Guttman's oil & gas field services team and their subcontractor to share best practices and coordinate activities.
§ Collaborate with billing team for accurate and timely billing to Oil & Gas Customers.
§ Perform load verification and Admin upkeep in the Trac About system.
§ Communicate with numerous Oil & Gas customers on location set up including Traffic Control Plans and Tank Information.
§ Set up new Oil & Gas locations in TMW with accurate tank and site information.
§ Tank monitor management and upkeep in EcoGreen Online tank system.
Additional Duties
§ Backup to Source One dispatch with phone calls and order entry when needed.
MINIMUM QUALIFICATIONS/REQUIREMENTS:
Bachelor's degree (B.A. or B.S.) in Supply Chain, Transportation or Business Administration from an accredited four-year college or university or equivalent work experience.
2 years' customer service or logistics experience preferred.
Ability to listen to others, express ideas both orally and in writing and provide relevant and timely information to clients, managers, etc.
Ability to understand problems and make timely, practical business decisions.
Excellent communication skills both verbally and written.
Strong computer skills; Experience working in Windows, Internet Explorer and MS-Office (Word, Excel, PowerPoint, etc.) Note: Petroleum industry knowledge experience a plus.
Analytical/Problem-solving skills to solve complex logistical ‘puzzles.'
Ability to work well in a fast-paced and constantly changing environment.
Experience in the TMW, PeopleNet, TotalMail, Trac About, and EcoGreen software or related transportation management systems preferred.
The preferred schedule for this role is Thursday through Monday, but willing to consider alternative schedules.
This position operates under a hybrid work arrangement, requiring some days to be worked in our Belle Vernon, PA office as well as from home.
At times, this position requires working on holidays and is subject to change based on the needs of the business.
