You will oversee the coordination of pickup requests, dispatch local truck drivers, and ensure accurate and timely communication with warehouses, carriers, and internal teams. This position requires strong multitasking ability, attention to detail, and the capacity to operate confidently in fast-paced, real-time environments. Key Responsibilities & Operational Control 1. Pickup Planning & Route Assignment Pickup Scheduling: Review daily pickup requests from warehouse teams, vendors, and system-generated orders, converting them into clear and executable driver assignments. Route Consolidation: Combine same-area or same-facility pickups to reduce empty miles and increase driver efficiency. System Execution: Use scheduling tools, spreadsheets, and Dispatch Management Systems (DMS) to assign drivers and update real-time status. Real-Time Adjustments: Make urgent schedule or truck allocation changes based on volume spikes, warehouse delays, or driver availability. 2. Dispatching Drivers & Communication Primary Driver Contact: Act as the main communication bridge with all first-mile drivers, providing instructions, pickup details, updated ETAs, and resolving on-road issues. Performance Tracking: Monitor driver progress through tracking tools and maintain constant visibility of all active pickups. Status Updates: Ensure every pickup status is clearly recorded-picked up, failed, completed, or needed exception support. Support & Troubleshooting: Immediately address challenges such as truck capacity issues, access problems, delays, or miscommunication from warehouse side. 3. Cross-Functional Coordination Warehouse Coordination: Communicate directly with warehouse teams to confirm pickup readiness, pallet counts, and required equipment. Carrier & Line-Haul Sync: Work closely with the line-haul team to ensure picked-up freight is properly transferred to outbound trucks without delay. Exception Management: Collaborate with QA/QC or Operations teams to resolve discrepancies such as missing pallets, incorrect manifests, or late pickups. Documentation Accuracy: Ensure all paperwork, BOLs, manifests, and pickup confirmations are correctly captured and uploaded. 4. Operational Floor Presence Maintain visibility on the warehouse dispatch floor when necessary, interacting with warehouse staff, verifying outgoing freight, and ensuring drivers receive accurate pickup instructions. Able to stand or walk for extended periods when the operation requires on-site monitoring. Essential Requirements Bilingual Required: Must speak, read, and write Chinese and English fluently (Chinese proficiency required to communicate with local truck drivers and warehouse partners). Computer Skills: Comfortable using spreadsheets, dispatch systems, GPS/driver tracking tools, and able to learn new systems quickly. Logistics Knowledge: Understanding of warehouse processes, bill of lading (BOL), manifests, pallet counts, and first-mile/line-haul basics. Strong Communication: Clear, concise, and confident communication with drivers and warehouse staff in fast-changing environments.
