Shift: Sunday through Thursday 11am-8pm
What you'll do:
Dispatch all drivers and helpers.
Daily record keeping of agency and helpers for payroll.
Must record and collect all material given to drivers (ex: gas cards, fobs keys, radio's, etc.).
Maintain hand truck inventory and update spreadsheet.
Maintain and update ez-pass account.
Respond to all emails within 5 minutes and continue responses until resolved.
Must complete hand off log with or without issues.
Responsible for maintaining and charging all phones.
Monitor geo tab and address drivers on all alerts.
Update routers with delivery windows and any address issues.
Check emails before dispatching for any updates, changes or notes.
Answer all phone messages.
Must monitor mobile cast (drivers must use phones daily and correctly) and address any issues.
Complete daily activity sheet.
Complete wufoo report daily.
Update pickup sheet with purchasing twice a day 2pm and 4:00 pm.
Send email updates regarding any issues with the routes including delays.
Update invoice register in as400 for the company.
During the day continually follow up on all pickups with drivers before they become issues.
Assist drivers with directions, roadside assistance, accident guidelines, etc.
About you:
High school diploma or G.E.D. required
2+ year of dispatch experience, preferably in a transportation industry preferred
Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
Excellent written and verbal communication skills
Self-directed and able to work without supervision
Skilled multi-tasker and organizer is a must
Bilingual in Spanish preferred

DEFINITION
Under general supervision, receives law enforcement, fire, medical, and other emergency calls and dispatches public safety units and other City resources following prescribed procedures; answers non-emergency calls for public safety and other City departments; performs a variety of general administrative support duties for the Department of Public Safety including record keeping, typing, and filing; and performs related work as required.
SUPERVISION RECEIVED AND EXERCISED
Receives general supervision from the Public Safety Communications Supervisor. Functional direction is provided by a Public Safety Sergeant or other management personnel in the absence of the supervisor. Exercises no supervision of staff.
CLASS CHARACTERISTICS
This is a non-sworn public safety class series that performs the full range of receiving and dispatching emergency calls for the Department of Public Safety. Responsibilities are centered on extensive contact with the public over the telephone, in both emergency and non-emergency situations to receive, transmit, and provide factual information, forms, and reports. All activities must be performed within specified legal guidelines.
Public Safety Dispatcher II: This is the journey-level classification in the Public Safety Dispatcher series. Positions at this level are distinguished from the I-level by the performance of the full range of duties as assigned, working independently, and exercising judgment and initiative. Positions at this level receive only occasional instruction or assistance as new or unusual situations arise and are fully aware of the operating procedures and policies of the work unit. Work is normally reviewed upon completion and for overall results.
Positions in the Public Safety Dispatcher class series are flexibly staffed and positions at the II-level are normally filled by advancement from the I-level after gaining the knowledge, skill, and experience which meet the qualifications for and after demonstrating the ability to perform the work of the higher-level class. This class is distinguished from the Public Safety Communications Supervisor in that the latter is the full supervisory-level class in the series responsible for organizing, assigning, supervising, and reviewing the work of staff on an assigned shift involved in police and fire dispatch services.Management reserves the rights to add, modify, change, or rescind the work assignments of different positions and to make reasonable accommodations so that qualified employees can perform the essential functions of the job.
* Receives and evaluates law enforcement, fire, medical, and other emergency calls, and related business calls for the City during an assigned portion of the 24-hours-per-day/7-days-per-week Department of Public Safety operations; provides information and/or transfers calls to the appropriate department, agency, or response organization.
* Dispatches public safety emergency units in accordance with established procedures and policies using a computerized dispatch system, including determining priority of emergency and contacting and sending appropriate response unit.
* Maintains contact with field units, including accounting for location and status of units and maintaining records of field calls; sends back-up units, as necessary, ensuring the safety of field units.
* Operates computer, telephone, and radio console and telecommunication equipment simultaneously while performing dispatching activities; tests and inspects equipment as assigned.
* Monitors security cameras in the Public Safety building and the area surrounding the building.
* Logs call data in a written or automated format; monitors calls after initial dispatch to provide additional coordination, support, or information.
* Enters, updates, and retrieves a variety of records from teletype database, including stolen vehicles and property, vehicle registration information, guns and property, and warranted or missing persons.
* Accesses Federal, State, and local law enforcement information databases to obtain information regarding outstanding warrants, criminal history, records information, and vehicle data; relays such information to sworn staff.
* Acts as a liaison to the public and representatives of other agencies for the department; provides initial non-emergency contact with the public and representatives of other agencies for the requesting of police records or related services; determines the nature of the contact; provides factual information regarding services, policies, and procedures, which requires a knowledge of legal guidelines, departmental policies and procedures, and the use of tact and discretion, or directs the caller to the proper individual or agency.
* Maintains accurate departmental and law enforcement records and files; researches and compiles information from such files.
* Attends necessary training, shift briefing sessions, participates in drills, and test scenarios to prepare for unexpected emergencies.

The Police Dispatcher is a specialized classification within police departments which provides essential dispatch communications and records maintenance. Dispatch Communications:
Answering and screening incoming calls to the police department which involve conversing with crime victims, witnesses, and members of the public to elicit and record pertinent information; operating police department and other emergency communications equipment to dispatch officers to calls for service, critical incidents and emergencies; entering and retrieving data for police reports, activity logs and criminal information; utilizing automated dispatch and law enforcement systems and databases to enter, research and retrieve information; operating the 911 telephone system and serving as the primary answer point; coordinating emergency responses including performing emergency dispatch duties; and referring citizens to appropriate resources such as counseling services, domestic violence support services or victim/witness assistance units.
Record-keeping:
Utilizing dispatch and law enforcement systems and databases (both computerized and manual) to maintain department files and reports; entering, recording, researching and retrieving information; updating department warrant and due diligence information; filing police reports; preparing arrest folders, maintaining criminal history files and preparing packets for prosecutors; compiling and sending reports to appropriate agencies; ensuring records and files are maintained in accordance with applicable laws and regulations; and providing related clerical and/or administrative support to the department.
Public Safety Support:
Providing support to other public safety and community service functions including parking and access services; maintaining records; monitoring security and fire alarm systems and coordinating responses; monitoring building access; assisting campus visitors; and vehicle checkout.

Minimum Qualifications
Entry to the first level within this classification typically requires one year of verifiable experience using a switchboard and two-way radio communication system in a law enforcement or comparable agency within the last ten years and a high school diploma or equivalent. Essential entry qualifications require the ability to effectively use a phonetic alphabet, speak clearly and concisely, follow oral and written instructions, transfer information accurately, handle a wide range of interpersonal interactions effectively, and learn the use of applicable automated dispatch and law enforcement systems and databases. Incumbents must have completed or be able to attend and successfully complete the Police Officers Standards and Training (P.O.S.T.) Dispatcher Course. Incumbents who, upon hire, do not possess a P.O.S.T. Dispatcher Certificate also will be required to pass a written test related to essential dispatching skills. Additionally, incumbents must successfully pass supplemental P.O.S.T. requirements for dispatchers such as a background check, polygraph, physical and psychological examinations, and related requirements. Thorough knowledge of record keeping laws and regulations for police departments. Ability to provide lead work direction and train new staff. Ability to handle multiple priorities and manage multiple situations while under duress. Ability to analyze and address operational and procedural problems and recommend solutions.
May be required to complete more advanced training.
Must possess a valid California Driver's License. Position requires the use of state vehicle to attend events and visit off campus locations during work hours. 3. Operates a two-way radio system in communicating with a number of mobile units in the field to receive and transmit emergency service messages and information.
4. Evaluates incoming reports of police, fire and medical emergencies; immediately transmits complete and accurate information to appropriate field personnel.
5. Monitors, coordinates and accurately maintains the status of incidents and records of dispatched emergency service personnel and apparatus.

7. Receives and disseminates information from other law enforcement and emergency service computer networks related to jurisdictional requests for fire or medical service assistance, or to notices of wanted persons, stolen property, warrants and all-points bulletins.

SCOPE OF POSITION:

SRJC has approximately 20,000 students, faculty, and staff a semester combined with multiple sites across Sonoma County.
Key Duties and Responsibilities

The Police Dispatcher is a specialized classification within police departments which provides essential dispatch communications and records maintenance. Minimum Qualifications
Entry to the first level within this classification typically requires one year of verifiable experience using a switchboard and two-way radio communication system in a law enforcement or comparable agency within the last ten years and a high school diploma or equivalent. Dispatchers are responsible for evaluating all transport requests and deploying the most appropriate resource(s), answering the Communications Center multi-phone line system, responding to all referrals/requests and inputting call information into our computer aided dispatch (CAD) system. Customer Service Dispatchers report to the Dispatch Supervisor.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Demonstrate exceptional customer service skills with both internal and external customers.
Maintain a calm and professional demeanor with staff and customers.
Promptly answer, evaluate, and prioritize incoming requests for service.
Communicate effectively with all callers and co-workers in a fast-paced, dynamic environment, both verbally and in writing.
Demonstrate familiarity with Company service areas, medical facilities, and local geography, including major roadways and traffic patterns.
Maintain compliance with all Company and customer policies and procedures as they pertain to the coordination of patient care/transport.
Ability to efficiently multitask, remain sharply focused, and maintain productivity in rapidly changing or high-pressure environments.
Accurately take incoming requests while simultaneously documenting information electronically.
Call confirmations for upcoming transports to ensure requests are still valid.
Private-pay call request payment collections.
Professionally navigate difficult interactions and direct conversations toward productive outcomes.
Operate a computer terminal and be proficient in word processing, e-mail, and other software programs.
Operate a multi-line phone system as well as radio communication equipment.
Ability to work independently and collaboratively within a team.

Typical duties and responsibilities of a City of Vacaville Public Safety Dispatcher include:
* Receiving and responding to both routine and emergency calls
* Evaluating requests to determine priority level and type of response required
* Determining the location and nature of emergency and non-emergency calls for service
