Job Responsibilities
* Act as a direct point of contact for clients for routine and ongoing requests.
* Review, prioritize, and respond to client and vendor emails based on urgency and required actions.
* Participate in internal team meetings and attend client meetings as needed.
* Approve invoices in accounting software and confirm timely bill payment.
* Manage cash activity, including transfers and maintaining target cash balances.
* Oversee wire transfers, ensuring accuracy and deadline compliance.
* Review general ledgers for accuracy and completeness, including unpaid items.
* Prepare monthly financial reports and review cash flow statements.
* Review accounts receivable, as needed.
* Review year-end tax package information for external tax accountants.
* Assist in preparing and reviewing documentation for tax examinations.
* Support preparation of annual 1099 filings.
* Coordinate payroll information with third-party payroll providers and reconcile payroll tax returns to the general ledger.
* Prepare or review filings such as City Business License Returns, Secretary of State Statements of Information, and Business Personal Property forms.
* Assist with medical insurance reimbursement requests.
* Work with insurance brokers on coverage renewals, annual rates, and audits.
* Contact client vendors to resolve billing discrepancies.
* Assist with preparation of credit and loan applications (e.g., mortgages, auto loans).
Requirements
* Bachelor's degree in Accounting or Finance, or equivalent professional experience.
* Minimum of 2 years of bookkeeping or accounting experience, including AP/AR, payroll processing, month-end close, and financial reporting.
* Experience reviewing general ledgers, supporting documentation, and financial reports.
* Experience using accounting or finance-related software systems.
* Ability to manage multiple assignments and meet established deadlines.
* Experience working within established procedures and adapting to updated or changing processes.
* Flexibility to work from home while collaborating in person half the time.
Preferred Qualifications
* Business Management or Family Office experience.
* Experience working with entertainment industry clients.
* Experience using AgilLink.
* Exposure to tax filings or compliance work.

Eligible employees at certain levels can participate in a discretionary long-term financial incentive plan, subject to plan participation rules.

The estimated base salary range for this position is $65,000 - $85,000. In addition to this base salary, individuals may be eligible for an annual discretionary bonus. The Role
The Resource Management Team, part of the Operations - People Team, focuses on aligning the right talent with our clients' needs. We allocate resources by leveraging key data points, including employee skillsets and experience, project demand and scope, utilization, capacity, and other relevant factors.
AArete is seeking a Resource Management Associate to join our team. In this role, you will play a critical part in maintaining data integrity, leading data-driven initiatives, and serving as a key point of contact for planning and fulfilling staffing needs.
Work You'll Do
Partner with the Resource Management team and AArete leadership to forecast project demand and assign the appropriate staff (resources) to upcoming needs, applying strong organizational and project management skills with exceptional attention to detail
Assign resources confidently and strategically by matching skillsets to project requirements while advocating for staff, balancing business priorities, and clearly communicating the rationale behind decisions
Collaborate with global staffing teams to optimize global resource utilization and streamline staffing processes
Serve as the primary point of contact for staffing asks and questions, effectively triaging requests, escalating when appropriate, and ensuring timely action with professionalism, discretion, and excellent interpersonal communication
Maintain and enhance accurate staffing data within NetSuite, including reporting, utilization tracking, employee capabilities/preferences, and data integrity to support automation and informed decision-making
Leverage data to produce reports, enhance necessary data, and support operational efficiency
Identify opportunities to enhance staffing processes, tools, and reporting for continuous improvement; support and project manage a variety of staffing initiatives, owning tasks, providing recommendations, and driving follow-through to improve business operations
Contribute to continuous improvement by identifying opportunities to enhance staffing processes, tools, and reporting
Perform other duties as assigned, contributing to overall team success and continuous improvement

Requirements
Bachelor's degree in Human Resources, Business Administration, or related field
Minimum of 2 years of proven experience in Resource Management, Recruiting, Recruiting Agency, Human Resources, or professional services environment
Strong organizational and project management skills with exceptional attention to detail
Analytical and critical thinking skills with a solutions-oriented mindset
Proven ability to build and maintain relationships with professionalism and discretion in handling confidential information
Experience advocating for recommendations and clearly communicating the rationale behind decisions
Excellent interpersonal and communication skills
Proficient in Microsoft Tools (e.g. Excel, Forms, Power Automate)
Comfortable analyzing data and presenting insights in a clear, actionable manner

Preferred Requirements
Experience within a consulting firm or in technical or agency recruiting roles
