Essential Job Duties and Responsibilities

Responsible for entering engineering documents into Oracle (ERP System), adding the part number, and populating all appropriate fields then communicating to organizations as appropriate Enters bills of materials (BOM) into Oracle ERP system including setting up items for correct inventory control allocations Generates Oracle BOMs per drawings and Oracle Routings as required Releases new and revised (per ECO) documents and part numbers in Product Data Management software, Oracle (ERP System) and a PDF copy of the document on the release document server. Ensures all Quality/Engineering records are controlled and current Processes and controls storage of Quality Records which includes change requests, procedures, specifications, reports, drawings, electronic and hardcopy archives Competently understands and works under the guideline, policies, procedures, and instructions of the Quality Management System Tracks, and facilitates timely documentation review, approval, and implementation Ensure only most recent versions of documents are available for use and that they are available as needed Manages aspects of the change analyst's day-to-day activities and support with a key focus on product data management and how it impacts manufacturing, quality, compliance, supply chain, and logistics Develops and updates document control processes, workflows, and procedures with commitment to continuous improvement Reviews all engineering change packages for completeness and compliance with internal database and process requirement standards Provide ECO status, reporting, and other report generation as needed All other duties as assigned by Quality Manager


Education and Experience Requirements


High School diploma or equivalent


Skills and Abilities


Minimum 3 years' experience in document control or similar. Experience working in Oracle, or related ERP System. Proficient in Product Data Management software Ability to read technical drawings and documents Expert knowledge of change management practices and standards Experience in implementation of change management programs Proficient in document control processes in a diverse manufacturing environment Proficient in MS Office Excellent communication skills both written and oral with the ability to communicate at the employee, manager and upper management levels Self-motivated individual with the ability to work independently as well as in a team environment Solid organization and planning skills, with strong attention to detail Superior customer service skills

This Document Center associate is the expert in maintaining control of all quality documentation. This position works independently, with minimal supervision, in accomplishing daily tasks and advising others. This position trains others in the use of document control software, and works closely with all departments to maintain a compliant program. This position is responsible for organizing, maintaining, and updating all controlled documents. All functions of the document center must be in compliance with quality system GMP and ISO standards.
Job Details:
1. Responsible to follow requirements of applicable national and international regulations.
2. Assists with maintenance and continual improvements of the document control process.
3. Assists with creating, editing, and proofreading documents.
4. Responsible for control of documents issued to TE, TC, and other Terumo affiliates.
5. Processes engineering change order using software systems; including TMSWeb and JDE.
6. Revises documents, routes documents for approval, issues approved documents and distributes as required.
7. Assists with training management and employees in documentation control and change management.
8. Assists with maintenance of Document Center Metrics regarding document activity and status.
9. Assists and works on NCRs as needed regarding Document Center issues.
10.Serves on TMC multi-functional quality system improvement teams, particularly for initiatives related to document control.
11.Associate participates in project performance team meetings on behalf of the job unit in order to provide ideas, methods, or processes for unit/company performance improvement.
12.Performs other job related duties as assigned.
Knowledge, Skills, AbilitiesStrongcomputer knowledge (MS Office) and technical writing skills. Ability to clearly communicate, both verbal and written. Must have strong proofreading skills and organizational skills, as well as exemplary attention to detail due to demand for accuracy in controlled documents. Must have demonstrated initiative and ability to work independently while handling multiple tasks. Good theoretical knowledge with ISO standards (EN 13485, EN 15223)/regulatory requirements (21 CFR 820 and related labeling regulations).
