Maintains and organizes paper and electronic documents as they relate to Medicaid Corporate Compliance within the Developmental Disabilities programs.
Essential Functions

Director of Developmental Disabilities Services Travel to various Sheltering Arms DDS Sites Work and work with program management in organizing, maintaining and archiving HSBC Waiver and ICF documents Organize documents by individual served, type of document, year and month of document Assist managers with organizing and archiving documents up to 7 years as required by OPWDD and CMS Insure that stored documents are labeled and easily identifiable Upload all documents in program folders (organized by site, individual, year and month) Must be able to retrieve archived documents (physical and/or electronic) Must be able to communicate effectively with all levels of management Other duties as needed


Qualifications

High School Graduate minimum requirement AAS or some college preferred Administrative experience preferred Knowledge of OPWDD 624, 633 and 625 Regulations preferred For this role, COVID-19 vaccination is a requirement of the job.


Salary
: $40,000-$50,000

Store, manage, and track company documents. Scan, image, organize, and maintain documents, adhering to the company's document lifecycle procedures. Archive inactive records in accordance with the records retention schedule. Control the retrieval of documents. Receive and process Requests for Information, or RFIs, from employees or clients and maintain the requests via tracking logs. As RFI procedures are updated, create new templates. Help project managers develop and maintain documents such as meeting minutes, drawings, specifications, approvals and related items. Responsible for training employees on records management procedures and policies, which include documentation, retention, retrieval, destruction and disaster recovery. Assist with file migrations and audits. Perform administrative tasks as needed Prepare spool dossier per approved JI. Submit final dossier to customer inspector for review. Maintain and verify lots for welders/line class prior to releasing spools for Paint/Shipment. Train weld loggers for Xenon data entry and NDE selection.



REQUIRED SKILLS & ABILITIES:


Education: High School or GED; required

Experience: Minimum 1 year experience preferred

Computer Skills: Microsoft Word/Excel, Xenon Weld Logging, NDE Selection, Report Entry

Job Description

The Role
This Document Controller reports to the Engineering Lead and is responsible for providing all the document control supporting functions within projects as they are developed by Sustaining Capital Projects.
This includes updating, controlling and communicating to relevant stakeholders, and filing all the documentation on a project.
It is expected that the Document Controller will be a Subject Matter Expert for and Power User of the selected Electronic Document & Records Management System (EDRMS).

Key Responsibilities
Document Control for Kemerton Sustaining Capital Projects' including:
Ensuring adherence to Albemarle safety standards and information protection throughout project execution;Assignment of document numbers using the present project system, developing and changing as required, monitoring and assigning revisions to documentation;Receipt of documents from Albemarle document authors and formal (quality) check before distributing for review;Correction of minor flaws and formatting issues if observed;Transmitting documents to and from vendors and EPCM's, arranging “squad checks” of documents and following up on document reviews to ensure turnaround times are met;Track and expedite vendor documents review cycle;Track and file approved engineering changes in relation to drawings/documents including the redlining and “as-built” documentation;Developing distribution matrix for documents with Engineering Lead;Distribution of electronic documents for review, approval and use according to the distribution matrices;Organisation and management of owner document reviews, inter discipline reviews, etc.;Management of concurrent reviews where required;Withdrawal and archiving of obsolete electronic documents;Filing, storage and archiving of electronic documents at all required stages;Interfacing with EPCM subcontractors and engineering service providers for the timely transfer of contractual documentation, management of work packages and provision of standards, specifications, design criteria, etc.Ensure access and provide guidance to all project personnel on project network and communicating location of various important procedures and standards;
Electronic Document & Records Management System (EDRMS)
Support Implementation and expert use of the chosen EDRMS;Development and provision of EDRMS training to other internal software users;Provision and (if possible) implementation of measures to continually improve the EDRMS.

Work Experience /Technical Skill Requirements
Minimum of 5 years' experience in a document control function in an operations or project execution environment.Previous exposure to document and record control requirements in compliance with ISO 9001 (Quality Management System - Requirements).Previous delivery of training to users of document and record control process and software with mixed experience levels.Excellent computer literacy.Advanced EDRMS knowledge.Advanced knowledge of MS Word as a minimum.Good knowledge of MS Excel and PowerPoint.SharePoint and SAP proficiency preferable.Skillful in effective communication and stakeholder engagement.Proficiency in writing and maintain Procedure, Guidelines and Work Instructions.Capability of reading and understanding process flowcharts.

Education / Qualification Requirements
Certificate III in Business Administration, Records Management, or similar desirable.
