This position supports attorneys in preparing and filing a wide range of nonimmigrant and immigrant petitions and applications. Candidates must possess strong written and spoken Japanese proficiency and preferably possess U.S. business immigration experience, including experience with J-1, E-1/E-2, and L-1 matters.
This position will reside in either our Washington, D.C, office with a hybrid in-office/remote working schedule.
Responsibilities
Assist attorneys in serving and communicating with Japanese-speaking clients, both in the U.S. and abroad.
Correspond and coordinate directly with Japanese-speaking clients and prospective clients.
Prepare and file nonimmigrant and immigrant visa petitions and applications-including J-1, E-1/E-2/E-3, L-1, H-1B, O-1, I-140 (EB-1/EB-2/EB-3), AOS, EAD, and AP-under the guidance of case managers, account managers, and attorneys.
Gather required information and documentation from clients through written and oral communication in English and Japanese.
Keep clients informed of case progress and respond to immigration-related inquiries in a timely manner.
Enter, update, and maintain information in the immigration case management system.
Manage assigned caseload and ensure timely completion of all work.
Track and manage critical deadlines and run active-case and NIV expiration reports.
Attend team meetings and participate in continuing education programs and seminars.
Record and close time entries in the firm's timekeeping system.
Adhere to legal and ethical principles governing paralegal work, including rules on unauthorized practice of law, confidentiality and attorney-client privilege, conflicts of interest, and GDPR compliance.
Overtime may be required.
Required Qualifications
Bachelor's degree from an accredited four-year college or university.
0-2 years of U.S. business immigration experience, including work with J-1, E-1/E-2, and L-1 matters.

This position will reside in our New York office with a hybrid in-office/remote working schedule. Flexibility to work overtime required.
Primary responsibilities include:
Maintains the computerized docket system for litigation attorneys practicing in multiple courts and jurisdictions.
Reviews correspondence, pleadings, discovery, filings and deposition notices for relevant and pertinent deadlines and extensive daily data entry into the calendaring database according to firm wide and department standards.
Manages complex, high end docketing work (e.g. scheduling orders)
Research questions from attorneys, paralegals and/or secretaries regarding deadlines, calculations of deadlines, local rules, etc.
Responds to requests regarding calendared events, pleadings, and court procedures and modifications to compliance dates on the docket calendar.
References and research court codes, state and federal statutes, court websites and Lexis-Nexis and Westlaw as appropriate.
Enters parameters, run, print, and distribute reports as necessary.
Prioritizes and processes requests received from attorneys, paralegals and/or secretaries to docket litigation deadlines in active litigation for clients.
Trains staff and attorneys on the computerized docket system and proper procedures related to docket/calendaring on an ongoing basis as required.
Performs other duties as assigned.
Education and experience:
High School diploma or equivalent.
A minimum of seven years of related experience.
An understanding of court docketing and calendaring procedures and familiarity with court filings and general rules of court for processing pleadings at the federal, state, and county level strongly preferred.
Excellent written and oral communication skills.
Strong proofreading skills and exceptional attention to detail.
Team player with strong interpersonal skills and ability to build relationships with a wide range of individuals.
Demonstrated ability to prioritize and balance competing demands and meet deadlines in a fast-paced professional environment.

The Administrative Support Manager will be responsible for providing lawyers, clients and other legal personnel with highly skilled client-service focused support by managing the administrative support staff and related functions in an efficient and cost-effective manner.
This position will reside in our Los Angeles and Century City offices requiring travel between the two locations. It follows a hybrid in-office/remote work schedule, depending on business needs.
PRIMARY FUNCTIONS AND RESPONSIBILITIES:
Develops and implements staffing plans; manages administrative support assignments.
Works with office management and practice group leaders to develop staffing configurations consistent with workflow and support requirements of practice group and office.
Oversee administrative support staffing, schedules, and desk coverage to ensure efficient operations and proper coverage during evenings, weekends, and major projects.
Manages the annual performance review process for the Administrative Support Staff, including evaluations, goal setting, compensation recommendations, and alignment with Firm performance standards.
Conducts regular one-on-one check-ins and team meetings, focusing on training needs, employee morale, and professional development opportunities.
Reviews and approves administrative support vacation requests to ensure adequate coverage.
Ensures administrative support staff have the training and information necessary to support their assignments.
Collaborates with Talent Acquisition on the full candidate selection process, including resume review, interview coordination, participation in interviews and offer approvals.
Engages temporary staff as needed; processes and approves related invoices; monitors expenses.
Monitors administrative support ratios; in partnership with Office Manager, works to ensure compliance with Firm's ratio targets.
Ensures coverage for after hours and weekend work, closings, off-site assistance for trial support and special projects as requested.
Works with practice group leaders on office logistics to provide the most effective support for attorneys while maximizing use of administrative support staff.
Oversight of notary certifications and compliance to ensure notaries are current on licenses and payment requests are approved.
Oversight and execution of employee events and activities related to the support teams and other groups, as assigned.
Leads by example; establishes clear expectations; sets direction and priorities; ensures that work levels are balanced among all staff; resolves internal staff issues in a timely manner; keeps staff informed of all appropriate information; builds effective team; delegates at appropriate level.
Facilitates the development of staff by providing opportunities and support; provides timely feedback on work product; regularly coaches, evaluates, and recognizes staff performance and accomplishments.
Establishes/adheres to Department budget; seeks opportunities to improve Department efficiency and reduce expenses by streamlining operations.
Ensure efficient vendor management by verifying invoices are correctly coded and processed for on-time payments.
EDUCATION AND EXPERIENCE:
Bachelor's degree (B. A.) from a four-year college or university, and seven (7) years of progressively responsible, directly related experience in a leadership role with at least three years in a supervisory role or equivalent combination of education and experience.
