JOB TITLE Software Administrator DEPARTMENT Information Technology SUPERVISORY No REPORTS TO Director, Information Technology EEO CLASSIFICATION Professionals SUMMARY: The Software Administrator will be responsible for providing software administration to all Dorsey College and Dorsey School of Beauty campus locations and the campus support center. The Software Administrator is also responsible for various reporting and analysis functions related to overall operations. ESSENTIAL FUNCTIONS: Provide support to Dorsey College's employees and students. Provide desktop and operational support for Dorsey College software packages including but, not limited to CampusVue/CampusNexus/Anthology , DocuSign/Xodo, Blackboard, SharePoint, Canvas LMS and SMART. Configure, update and maintain CampusVue/CampusNexus/Anthology SIS, web client, and portals to facilitate IPEDS, registration, parent term validation, credit hour changes, attendance check (1st week of term), courses (including pre-requisites and co- requisites), program versions, terms, start dates, holidays/calendars, security group management, activities & documents, scheduled activities & documents, all configuration changes, closing terms, using SQL for DNC updates (monthly and weekly), using SQL for student email updates. Provide support to facilitate the resolution of issues such as incorrect enrollment statuses, print schedules, reverse withdraws, merging and/or deleting records, correct attendance issues, re-enters that cancel, transfer hours, course substitutions, reassigning/cancelling activities, etc. Provide Canvas support and updates such as adding new courses, new sections, new instructors, new students, and new enrollments, process daily enrollment changes, etc. Work collaboratively with campus and campus support center staff as well as external partners to identify and reconcile data abnormalities and errors. Prepare and analyze reports as assigned for various departments within the Campus Support Center. Assist project teams with technical/software issues in the planning and implementation phases of projects such as new programs or new courses. Perform essential functions in compliance with current Department of Education (DOE), State, and Accreditation guidelines, assuring 100% compliance. Communicate effectively and demonstrate the highest levels of integrity at all/ times, in accordance with Dorsey College's company policies, values, and mission. All other duties as assigned. KNOWLEDGE - SKILLS - ABILITIES: Ability to work well independently as well as within a team environment. Exceptional verbal and written communication skills as well as active listening. Proficient with basic office equipment, computers, and computer applications including Microsoft Office 365. Must possess strong time management skills and ability to work well under pressure. Must be reliable and able to multitask, prioritize, and show extreme resourcefulness and problem-solving skills. Knowledge of CampusVue/Anthology required. Knowledge of digital signature systems DocuSign\Xodo\Adobe Sign preferred. Knowledge of Project Management Methodologies. Knowledge of Canvas LMS and Smart preferred. Knowledge of O365. Knowledge of SQL 2019\2022 queries preferred. Knowledge of Desktop Support\IT Support MINIMUM QUALIFICATIONS: Bachelor Degree in related field or at least 3 years of related IT work experience. Minimum of 2 years Desktop Support/Technology Support experience. PHYSICAL DEMANDS/ WORKING CONDITIONS: May be required to work outside normal business hours. Some travel may be required. Maintain a copy of each student's resume to provide employers during a student's job search. * Conduct mock interviews and a Career Services exit interview with each student. * Communicate professionally and on a regular basis, both verbally and in writing with students and graduates regarding their job search activities. Provide motivation and effective career counseling. Each student should be contacted in person weekly at minimum; contacts should be documented in CampusVue. * If a student is waiving Career Services assistance, obtain supporting documentation. * Meet with all eligible graduates returning to Career Services to review the returning graduate's resume, to identify the graduate's career goal, and to establish a job search plan with the graduate. * Actively contact employers to develop a working relationship and to identify current employment openings and externship opportunities. * Select and refer appropriately qualified students to available job orders in a timely and professional manner. * Respond to job order specifications from employers, and record employer's account record/job orders in the CampusVue database in a timely and accurate manner. * Follow-up with employers regarding all job orders and facilitate job interviews. * Participate in local job fairs, chamber of commerce meetings, and other industry events to promote Dorsey's graduates and Career Services. * Coordinate and organize advisory meeting and collect Employment Program Verification Forms from employers. * Conduct on-campus job fairs * Attend Career Service meetings and other faculty/staff in-service meetings as assigned. * Submit all reports as required. * For license programs, work with the academic's team to assist students in obtaining their license. Coordinates all aspects of the student externship program at the campus including helping students identify an externship site, monitoring students during the externship period, interfacing with employers, and submitting final grades and reports. The Career Service Advisor I also work to develop relationships with area employers to assist in Externship and Job Placement. ESSENTIAL FUNCTIONS: Conducting an externship meeting with students going out on externship in the module prior to the externship. Responsible for identifying eligible students to go out on externship in the following module. Identifying an externship site for each student and notifying the student in writing. Track student progress throughout the course of the externship including obtaining regular attendance reports and making site visits each module. Computing each student's final grades, preparing a summary report for each extern and ensuring that all required paperwork is completed and uploaded. Counsel the student regarding any noted problems and/or referring the problem to the Associate Director and Managing Director for guidance. Coordinate and conduct on-site meetings to explain the Career Services process. Assist students with resume writing and cover letters. Maintain a copy of each student's resume to provide employers during a student's job search. Conduct mock interviews and a Career Services exit interview with each student. Communicate professionally and on a regular basis, both verbally and in writing with students and graduates regarding their job search activities. Provide motivation and effective career counseling. Each student should be contacted in person weekly at minimum; contacts should be documented in CampusVue. If a student is waiving Career Services assistance, obtain supporting documentation. Meet with all eligible graduates returning to Career Services to review the returning graduate's resume, to identify the graduate's career goal, and to establish a job search plan with the graduate. Actively contact employers to develop a working relationship and to identify current employment openings and externship opportunities. Select and refer appropriately qualified students to available job orders in a timely and professional manner. Respond to job order specifications from employers, and record employer's account record/job orders in the CampusVue database in a timely and accurate manner. Follow-up with employers regarding all job orders and facilitate job interviews. Participate in local job fairs, chamber of commerce meetings, and other industry events to promote Dorsey's graduates and Career Services. Coordinate and organize advisory meeting and collect Employment Program Verification Forms from employers. Conduct on-campus job fairs Attend Career Service meetings and other faculty/staff in-service meetings as assigned. Submit all reports as required. For license programs, work with the academic's team to assist students in obtaining their license. KNOWLEDGE - SKILLS - ABILITIES: Exceptional verbal and written communication skills as well as active listening. Reliable, highly motivated, and possess a positive attitude. Strong ability to multi-task with frequent interruptions. Ability to work well individually and cooperatively as a team. Proficient with basic office equipment, computers, and computer applications. Working knowledge of CampusVue software preferred, but not required. Ability to travel within 10 miles to assigned locations. MINIMUM QUALIFICATIONS: Minimum of an Associate's degree or equivalent combination of education and experience; Bachelor's degree preferred. Previous job development/job placement experience preferred. WORKING / PHYSICAL DEMANDS: Evening or weekend hours, if necessary, to meet deadlines. Position requires long periods of sitting. Excellent listening and interpersonal skills and attention to detail. Extensive use of office equipment and business systems including personal computer, CampusVue, copier, printer, facsimile, telephone, and postage meter.
