Essential Job Duties: • Draft, edit, and prepare organizational documents and related materials for real estate and transactional matters. • Assist in preparing and updating closing checklists; support attorneys and paralegals in all stages of deal closings. • Serve as a point of contact between attorneys and clients; coordinate communication and document exchange. • Track progress of ongoing client matters; provide regular updates to the team on status and required next steps. • Manage post-closing tasks, including assembling closing binders and finalizing documentation. • Calendar key closing dates, deadlines, and critical transaction timelines. • Maintain accurate electronic client files, ensuring current organizational and transactional documents are uploaded. • Monitor attorney inboxes, process electronic filing of client records, and open new matter files. • Assist with billing tasks, including processing invoices and reimbursement requests. • Form business entities and request certificates and tax identification numbers from state agencies and the IRS. Minimum Requirements: • 1+ years of corporate or transactional legal assistant experience in a law firm environment. • Interest in or exposure to real estate or corporate law. • Previous experience providing administrative support in a legal setting. • Familiarity with legal software systems such as iManage and InTapp. • Strong computer and communication skills; proficiency in Microsoft Office required. • Excellent grammar, proofreading abilities, and strong attention to detail. • Highly organized with the ability to manage multiple priorities, shifting tasks, and frequent interruptions. • Professional communication skills with the ability to work effectively with attorneys, clients, and staff. • Ability to work additional hours as required to meet transactional deadlines.     Cozen O'Connor is hiring an ARC Legal Assistant. This is a hybrid position based in our Washington D.C. office. We are seeking Legal Practice Assistants with Litigation experience. The ARC Legal Assistant operates in an innovative centralized team of experienced administrative professionals. The position supports attorneys with specific client matters and a variety of practice groups by processing work in an efficient and accurate manner. The ideal candidate is an enthusiastic self-starter, who is able to multi-task under time constraints with exceptional attention to detail, take initiative, think strategically and independently and interact with all levels of the firm. The position requires excellent communication, organizational and computer skills. Responsibilities Prepares/transcribes legal correspondence, pleadings, memos, reports, and forms from Big Hand or other media. Prepares new client and/or new matter forms. Prepares expense reports and check requests. Prepares engagement letters, invoices, and other case administration documents as needed, at direction of either attorney or paralegal. Prepares and handles documents for E-Filing Inputs critical dates and deadlines into Firm's electronic docketing system Schedules Depositions and Mediations Provides efficient workflow including the duplication, printing, mailing, and merging of documents. Proofreads all work for accurate content and context. Prepares and maintains client and office files both in electronic and paper filing systems. Liaises with third party vendors when necessary to coordinate services. Communicates with clients (via phone or email). Performs data entry, which includes inputting clients' personal biographic or corporate information into firm software. Schedules and coordinates meetings and conferences, including greeting client and distribution of material. Coordinates and schedules travel arrangements which include: transportation, automobile rentals, and hotel reservations. Accurately inputs attorney time into the accounting system. Responsibilities associated with the job may change from time to time in accordance with business needs; incumbent may be required to perform other duties as assigned. Qualifications Outstanding written and verbal professional communications; ability to professionally interact with clients, attorneys, and staff is required. Proficiency in Microsoft applications with advanced level in Microsoft Word and Outlook. Technical legal writing and memo/letter creation required. Experience with Washington D.C. and surrounding areas and Federal Court Rules and E-Filing. Willingness to expand Court Rule and E-Filing knowledge within other jurisdictions. Experience with electronic Document Management Systems (iManage preferred) required. Excellent document processing skills, typing skills, proof-reading skills and high level attention to detail required. Ability to manage multiple tasks and projects as work comes in and information is supplied. High degree of resourcefulness and problem-solving acumen 5-10 years of legal or related experience is preferred. High School Diploma or equivalent experience required; College degree preferred. Ability to work overtime is required.
