WHAT IS THE JOB?
The Payroll & Benefits Specialist is responsible for the accurate and timely administration of payroll and employee benefits programs, including the company's 401(k) plan. This role supports a diverse population of salaried and hourly employees across headquarters, retail locations, and the distribution center. The specialist also serves as a key liaison to the Accounting team providing regular payroll reports and payroll-related reconciliations to support month end closing activities. In addition, this position plays an essential role in maintaining compliance with federal and state regulations and in supporting annual audits related to payroll, workers' compensation, and the company's retirement plan. This role is based in our Atlanta, GA Headquarters and requires in-office work five days a week.
WHAT ARE THE RESPONSIBILITIES?
Maintain accurate and up-to-date employee information in the HRIS.
Process bi-weekly payroll for all employees accurately and on time.
Serve as the HRIS subject matter expert partnering with managers to ensure the proper approval, tracking, and reporting of time off policies.
Administer and respond to garnishments and medical withholding notices.
Administer and support employee benefits programs including medical, dental, vision, FHS/HSA, life insurance, disability, wellness initiatives, COBRA and leave programs (Parental Leave, FMLA, etc.).
Oversee day-to-day 401k plan administration for employee enrollments, deferral changes, loan processing, and withdrawal requests.
Serve as the main point of contact for employees with payroll or benefits inquiries providing timely communication on updates, deadlines, and policy changes.
Coordinate and lead annual open enrollment meetings and provide ongoing benefit education to employees as needed.
Support the preparation and execution of annual 401k and workers' compensation audits.
Prepare and file necessary compliance reports such as W-2s, 1095Cs, and other payroll and benefits-related documentation.
Stay current with changes in payroll, benefits, and time off legislation to maintain compliance.
Participate in new hire orientations providing an overview of payroll processes, benefits enrollment and time off policies.
Create ad-hoc reporting for the accounting team to support the month end closing processes.
Perform other duties as assigned.
WHAT ARE THE ESSENTIAL SKILLS?
A minimum of 2-3 years of experience in benefits and payroll administration, including 401k management.
Experience with HRIS and payroll platforms.
Strong knowledge of multi-state payroll processing and relevant labor laws.
Solid understanding of payroll tax laws, ERISA, 401k plan regulations, and benefits compliance.
Highly organized and detailed orientated.
Excellent communication and interpersonal skills with a focus on service.
Ability to maintain confidentiality and handle sensitive information professionally.

POSITION SCOPE AND ORGANIZATIONAL IMPACT
Moss' Benefits Coordinator provides direct, day-to-day support for team members benefits programs, wellness event planning, and compliance-related HR activities. Working closely with the Benefits Team, HR, payroll, and external vendors, this role ensures employees receive timely assistance and accurate information, and helps maintain compliance with applicable laws and company policies.
ESSENTIAL JOB DUTIES AND RESPONSIBILITIES
Distribute benefits communications and educational materials to employees
Serve as a point of contact for employee inquiries regarding benefits and eligibility; escalate complex issues to Senior Benefits Specialists as needed
Support employees through life events (new hires, qualifying life changes, separations), including documentation and system updates
Assist with audits, reporting, and reconciliation of benefit wellness invoices
Assist Senior Benefits Specialists in planning, scheduling, and coordinating wellness events (e.g., health fairs, webinars, screenings, anniversary recognition events)
Track participation, collect feedback, and help prepare post-event summaries
Process wellness related invoices and reimbursements
Communicate upcoming wellness activities and promote engagement through company channels
Work closely with Senior Benefits Specialists to ensure seamless delivery of benefits and wellness programs
Provide backup coverage for benefits processes as needed
Support the centralized benefits inbox and manage incoming office mail related to benefits
Provide administrative support for compliance-related HR items, including immigration documentation (e.g., gathering data for H-1B lottery, preparing employment verification letters, tracking sponsorship cases)
Assist with I-9 audits, sick leave policy rollouts, and other compliance initiatives as directed by Senior HR Specialists or HR leadership
Maintain confidentiality and ensure compliance with federal, state, and local regulations (COBRA, HIPAA, ERISA, ACA, USCIS, etc.)
Perform other duties as assigned
EDUCATION AND WORK EXPERIENCE
Associate's or Bachelor's degree in Human Resources, Business Administration, or related field preferred
1-3 years of experience in benefits administration or human resources
Knowledge of employee benefits programs and applicable regulations
Strong organizational and time management skills; attention to detail
Excellent communication and interpersonal skills
Proficiency with HRIS, payroll systems, and Microsoft Office Suite
Ability to handle confidential information with discretion
Problem-solving skills and a customer-service orientation
