Established by the U.S. Congress in 1960, the Center serves as a resource for information and analysis on critical issues of common concern, bringing people together to exchange views, build expertise, and develop policy options. The Center's 21-acre Honolulu campus, adjacent to the University of Hawai‘i at Mānoa, includes conference facilities, three residence halls, and an office building that houses research, program, and administrative activities. The Center also has an office in Washington, D.C., that provides accessibility to US, regional government stakeholders, and program partners with innovative training, analytical and dialogue exchange, and public diplomacy products to meet US policy priorities and expressed needs in the Indo-Pacific region. Our team is seeking an Events Coordinator to support the organization, coordination, and execution of a year-round calendar of events and functions organized by the East-West Center. This position will work collaboratively with clients and staff across all programs to understand their meeting requirements, develop event concepts, and ensure appropriate accommodations are secured and coordinated timely. MAJOR DUTIES: Event Administration Assists with the planning and coordination of programmatic events facilitated by EWC throughout the year. Events may vary in size, demographic, and meeting spaces; but all will focus on supporting EWC's mission, vision, and values. Assists with determining appropriate fees associated with each event such as products/swag items, materials, and services for vendors related to the event; drafting and processing contracts for securing professional services and ensuring contract terms, permits, and insurances to meet EWC requirements. Maintains accurate event records and prepares related reports and correspondence related to unit and event performance. Assists with developing and maintaining standard policies and procedures related to unit operations and performance; recommends and participates in the implementation and improvement of policies and procedures. Assists program support staff in organizing and maintaining budget and expenditure records for program events that includes related fiscal documents, invoices, purchase orders, or other related financial reconciliation documents for the event. Assists assigned Program Officer/Program Assistant in gathering and tracking revenue, expenses, and budget forecast for events and service operations. Utilizes and maintains contact databases within EWC systems using Raiser's Edge and excel files, to ensure the information is current and accurate; coordinate and compiles data and information for various reports and projects as needed for team performance reporting. Participates in post-event evaluations and works to develop the quality and profile of EWC events. Event Planning and Coordination Collaborates with program representatives to gather information regarding an event venue's space, capabilities, and services; as well as to determine equipment, personnel, and other services required for desired event(s). Collaborates with CER and key stakeholders in developing a marketing strategy that enhances the reach, desired outcomes, and impact of their event. Executes promotional activities through various social media, email, content marketing, and partnership outlets that contribute to a successful turnout and high engagement of attendees. Communicates internally with other departments to ensure information is shared and supported. Attends events and acts as the on-site event coordinator to ensure logistical needs are met, verify compliance with contract terms and conditions, and serve as a liaison between clients, guest(s) and EWC. Receives and responds to general inquiries, questions, and complaints during campus events. Prints room arrangement posters, room assignments, speaker materials, and other related documents associated with meeting space assignments and event itinerary. Posts signage in designated areas and re-collects after event. Assists with event set-up and breakdown of events such as placement and removal of tables, chairs, banners, audio-visual equipment, and event supplies as needed. Assists with managing event ticketing and guest registration processes including registration pages; compiling registration lists; scheduling and drafting mass emails for registrant confirmations; and serving as primary event contact person for issues or concerns. Oversees food and beverage service operations that are contracted during events. Ensures EWC alcohol policy is followed by licensed caterers serving alcohol at events. Health and Safety Ensures all activities and work performed during the event is done in a safe manner. Monitors venue space environments to identify and resolve possible risks or hazards. Collaborates with clients and vendors to ensure safety protocols are followed. Gathers and maintains an adequate first aid supply and equipment when responding to general accidents and injuries. Reports critical incidents and emergencies to the supervisor immediately. Maintains established security procedures and services to manage attendee flow and prevent overcrowding. Implement measures such as barriers or signage to guide and protect attendees. Recommends enhancements to both services and physical security as needed. Campus Event Support Works collaboratively with Venue Operations team, event volunteers, or other assigned event staff with logistics, coordination, and execution of EWC campus events. Provides additional support in setup and breakdown of external events as directed. This list of essential functions is not exhaustive and may be supplemented on an occasional basis in accordance with the requirements of the job. SUPERVISION: This position works under the general supervision of the Events Manager. The supervisor provides new or unusual assignments by defining objectives, priorities, and deadlines. The employee works independently on continuous assignments, handles problems and deviations as they arise, and may take some problems along with possible solutions to the supervisor for advice and approval. REQUIRED QUALIFICATIONS: Education & Experience - A post-secondary degree and at least three (3) years of full-time work experience related to banquet or venue management, convention services, or large-scale event planning; or a combination of education and work experience equaling at least five (5) years that relate to successfully fulfilling the position's duties. Qualifying experience must include leading a positive client, vendor, or tenant relationship with the authority to make basic daily decisions, as well as a demonstrated professional record of project or event management. Communication - Strong written and verbal communication skills. Must be able to effectively communicate and interact with people of diverse backgrounds and abilities in person, on the phone and in digital environments. Demonstrated Ability - to organize, prioritize and coordinate work involving a wide variety of tasks; to take initiative and work independently and cooperatively in following through on assignments; to assume responsibility for whole areas of work and integrate information from relevant sources; to gather and/or prepare background materials; to work and deal effectively with people of diverse cultural backgrounds; to work under the pressure of deadlines and competing demands; to acquire and maintain knowledge of and appropriately apply various policies and procedures; to establish and maintain accurate work documents, files and records; to adapt to changes and exercise good judgment in dealing with a variety of situations; to perform effectively in a non-routine work environment; to work effectively as a team member; and to appropriately handle, maintain, and secure confidential information when communicating across the Center and with the public. Knowledge - of office practices and procedures, particularly as they apply to project management and event planning computer program use, database software, office machine usage, and other related administrative best practices; of correct English grammar, punctuation, spelling, and word usage; proficiency in computer programs (such as Microsoft Word, Excel, PowerPoint, Adobe Acrobat Professional and other equivalent applications) and virtual meeting platforms (e.g. Zoom, Skype, Microsoft Teams). Physical Requirements - Able to walk up and down stairways, use a ladder, carry supplies and equipment, walk between conference rooms/floors, and move furniture and supplies up to 40 pounds; Sit, walk or stand for extended periods of time; dexterity of hands and fingers to operate a computer keyboard, operate standard office equipment, and use a phone; see and read a computer screen and printed matter with or without vision aids; read and understand rules and policies, labels, and instructions; and to hear, speak and understand speech at normal levels and on the telephone. Work Schedule - While a standard work week is Monday through Friday (sans established EWC holidays), the position may be required to work weekends, holidays, or extended evening/morning hours to fulfill the needs of clients and conference participants. Our Education team is currently seeking a Scholarship Support Assistant who can provide exceptional administrative and fiscal support to the Center's scholarship programs. This position supports the smooth operation of the scholarship programs while coordinating the technical aspects of scholarship applications that include awarding, benefits and housing, funds disbursement, as well as tax and visa compliance. The ideal candidate is highly organized, detail-oriented, and able to managemultiple tasks and deadlines simultaneously and effectively within a collaborative work environment. MAJOR DUTIES: Coordinates the payment of stipends, housing charges, meal plans, health insurance, book allowances, university tuition/student fees, and other approved/budgeted payments across student programs for all degree student programs and funding streams, including scholarship awards through the EWC Foundation. Assists with implementation of grant award, modifications, financial reporting, and closeouts. Assists with collecting and reconciling program fee payments for student affiliates and affiliate scholars. Processes registration fee payments for the annual International Graduate Student Conference if paid in check or cash prior to the date of the conference and completes final deposit form for total payments made online through Submittable. Reviews and reconciles participant housing charges and informs Housing if any corrections or adjustments are required. Consults with appropriate personnel if needed to verify appropriate payments for participants. Incumbent will need to work closely with participants in verifying information submitted on payment forms. Monitors collection of repayment for participant-related accounts receivable. Assists in the preparation of annual issuance of tax forms and certification statements for participants by reconciling year-end tax withholdings. Prepares travel grants and monitors visa and tax status for participants of the annual International Graduate Student Conference as well as other Education Program and EWC Foundation travel grants for participants. Processes payment documents for field research and conference scholarships. Assists ADB & EWC Scholarships Assistant and Fiscal Officer in preparation of fiscal reporting to Asian Development Bank (ADB)/Japan Scholarship Program (JSP) Headquarters. Prepares as needed timely and accurate payment of stipend, housing charges, and health insurance needs for participants in the residential PDP programs taking place in Honolulu. Prepares appropriate fiscal documents across the Education Program. Submits fiscal documents to the appropriate offices in a timely manner and monitors their progress to the point of payment. Assists with payment documents for other aspects of the Education Program as needed. Monitors periodic payments related to contracts for the student program and Education Program in cooperation with program staff. Using information gathered from Participation Agreement and Award Change Notification documents, prepares appropriate payment documents to meet specified payment schedules and participant award terms and conditions across the student programs. Coordinates the purchase of health insurance for EWC students and short-term participants, ensuring it meets visa and university requirements as well as federal and state regulations. Works with brokers to get bids and works with partners such as UH Health Services in assessing policy options. Conveys tax and health insurance information by conducting short procedural presentations for each unique degree student program, before the beginning of fall and spring terms, and for short-term programs, including all residential PDP programs that have insurance/tax information needs. Reviews and monitors participant tax status for compliance of federal tax requirements. Develops and maintains appropriate databases and files to assure timely and accurate payments. Responsible for data management requiring extensive use of spreadsheet formulas. Creates and maintains reports using various data extracts as needed and assigned. Prepares and sends email announcements and collects and compiles applications for conference and field research grants in accordance with grant requirements as assigned. Assists in facilitating various Education Program activities and serves as backup to other program assistants in the Education Program. This list of major duties is not exhaustive. Manages the application process, which includes the preparation of participation application materials as well as the distribution, intake and organization of all program materials such as invitation letters, Center and program requirements, and participant biographies. Receives and acknowledges applications and accompanying documents and conducts follow-up communication with applicants; and assembles application packets for distribution to selection committees. Assists participants during their programmatic activities, including serving as an escort to site visits as needed. Provides administrative and fiscal support service for Seminars and Journalism staff including answering email and phone correspondence; compiling and drafting BOG reports and Seminars and Journalism impact reports; and assisting preparation of budget documents. Creates/finalizes travel requests, travel orders, travel completion, travel completion reports, purchases and other documentation for Seminars and Journalism staff. Also prepares fiscal documents in accordance with current policies and procedures for program activities. Oversees development, editing, updating and maintaining of Seminars and Journalism webpages and sharing web-related concerns with the wider Center. Creates and manages program-specific websites housed offsite. Assists with collecting and reconciling program fee payments for student affiliates and affiliate scholars. Reviews and reconciles participant housing charges and informs Housing if any corrections or adjustments are required. Collaborates with CER and key stakeholders in developing a marketing strategy that enhances the reach, desired outcomes, and impact of their event. Established by the U.S. Congress in 1960, the Center serves as a resource for information and analysis on critical issues of common concern, bringing people together to exchange views, build expertise, and develop policy options. The Centers 21-acre Honolulu campus, adjacent to the University of Hawaii at Mnoa, includes conference facilities, three residence halls, and an office building that houses research, program, and administrative activities. The Center also has an office in Washington, D.C., that provides accessibility to US, regional government stakeholders, and program partners with innovative training, analytical and dialogue exchange, and public diplomacy products to meet US policy priorities and expressed needs in the Indo-Pacific region. Our Research team is seeking an on-site Program Officer for a limited, one-year appointment (with possibility of extension). This position provides a wide range administrative and operational support to designated team(s), ensuring that our programs have the appropriate work coordination, planning, reporting, communications, and budgeting. The incumbent may support different programs cross-departmentally and be involved in programmatic interactions with various internal and external constituencies, as appropriate. MAJOR DUTIES: Interprets, applies, and ensures compliance with Center participant-related policies and procedures. Recommends changes as needed. Composes participant awards and award change notifications, and all related documents in consultation with fellows and other appropriate staff. Informs participants of EWC policies and procedures relevant to their category of participation. Monitors awards for fulfillment of conditions and compliance with the EWC, U.S. government and other country policies and procedures. Manages participant awards and related documents, including visa applications and health insurance applications, to enable the individual to participate in activities. Drafts invitation letters to participants. Writes and distributes to participants information regarding administrative arrangements. Communicates with participants regarding tax implications. Advises participants of procedural, administrative, health, and personal matters. Exercises tact and cultural sensitivity in establishing and maintaining cooperative relationships with multicultural and diverse levels of participants (e.g. heads of government agencies, professors, country program representative, etc.). Serves as an after-hours contact person for participant emergencies. Provides appropriate written and oral orientation for new participants and other visitors regarding Center wide policies and procedures, services, personnel and everyday life at the Center. When appropriate, provides orientation with other Center offices. Plans and oversees non-academic aspects (sightseeing, dinners, etc.) of participants experience within research areas as requested. Coordinates plans as needed with other offices within and outside the Center. Assists in planning and administering program and logistical support for individual and group activities including workshops, conferences, and seminars both at the East-West Center and at locations in the United States and other countries. Assists staff fellows with planning and budgeting for participant programs/activities and prepares work calendars. Monitors activity budget. Recommends corrective action as appropriate. Recommends approval of expenditures for participants and appropriate activities. Prepares consultant contracts, Memorandums of Understanding (MOU) or Memorandums of Agreement (MOA) where applicable.
