What You Will Do:
Prepare reports, memos, financial documents, and correspondence.
Manage calls, emails, faxes, and general office communications.
Handle office records, filing systems, and office orders
Assist with meetings, including preparation and minute-taking.
Coordinate executive travel and visitor meetings.
Provide high-level administrative support to the Executive Director and leadership team.
Manage schedules, meetings, and correspondence with professionalism and accuracy.
Coordinate Board, management, and resident meetings; maintain organized records.
Assist with employee events, special projects, and compliance monitoring.
Respond to emergencies and ensure adherence to HIPAA, Medicare, and facility policies.
What You Will Bring:
High school diploma.
Previous administrative or executive assistant experience
Strong organizational and multitasking skills with exceptional attention to detail.
Excellent written and verbal communication abilities.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
Ability to organize a daily workload by priorities.
Must be able to meet deadlines in a fast-paced quickly changing environment.

Seven to ten years' progressively more responsible work experience (with approximately three years in health care strongly preferred)

Advanced interpersonal skills are necessary to effectively represent Aspirus to outside agencies, often in highly sensitive situations, and to discuss and resolve complex employee relations problems.

The Internal Occupational Health Manager is accountable for effective and efficient operations of the Internal Occupational Health Department(s) throughout the healthcare system working within multiple clinical environments and diverse staff cultures. Oversees interdisciplinary coordination and facilitates operational workflows and processes. Monitors clinic roles and responsibilities, providing direction to department staff as needed. Manages operational implementation of program improvement efforts. Includes supervision over systemwide work teams as assigned. Manages department scheduling. Ensures appropriate departmental policies and procedures are in place and updated as needed. Develops departmental, hospital, and Froedtert &Medical College of Wisconsin Occupational Health policies, procedures, and medical directives in accordance with all current and applicable local, state, and federal regulations. Develops and manages short- and long-term planning for the department consistent with organizational strategies. Plans and manages departmental budget and operating expenses. Collects, analyzes, and reports data regarding occupational health clinic volumes and productivity. Tracks other system wide data for comparative analysis and planning purposes. Sets and achieves system and departmental goals in alignment with strategic goals. Develops mapping strategies to meet goals. Able to prioritize and manage a variable workload.
Quality:
In collaboration with the Occupational Health Project Manager, Human Resources, Benefits, Legal, Risk and Compliance and other departments, ensures Internal Occupational Health programs and offerings meet the requirements of the OSHA standards, federal/state laws and JCAHO standards applicable to Internal Occupational Health for Froedtert &MCW staff. Ensures the department documentation in the occupational electronic health record system is complete and concise. Manages departmental documentation programs and policies to ensure federal and state requirements are met. Oversees and acts as a resource to staff regarding the departmental electronic health record system. Is responsible to maintain and develop the department EMR and ensure staff competency and training. Ensures that pre-placement health evaluations, drug screens, and screening for communicable disease are completed for Froedtert &Medical College of Wisconsin staff members and new hires. Monitors that occupational health staff consistently and accurately determine if new hires can safely perform the essential functions of the job description and is free from signs and symptoms of communicable disease and assess and questions physical limitations and /or signs and symptoms of communicable diseases. Oversees the departmental intranet site, ensures content is current and relevant.
Human Resources / Leadership:
Recruits, hires, and trains department staff members and supervises the operations and activities of the department. Provides operational direction for the department staff members and those staff members the department collaborates with. Monitors staff performance and completes competency assessment and performance evaluations. Tracks mandated training and OSHA compliance of direct reports. Ensures effective communication with department staff and facilitates staff engagement. Supports, encourages, and contributes to the professional growth of assigned staff through management, in-service programs, and outside educational opportunities.
Occupational Surveillance / Exposure Management:
In collaboration with the Occupational Health Project Manager and the Infection Control Department, oversees the management of staff exposures to communicable diseases. Assists the coordination of the follow up and completion of the appropriate identification, screening, and treatment of staff members who have been exposed to a blood borne, airborne or otherwise infectious disease by the clinic staff. Works collaboratively with Occupational Health leadership to allocate Internal Occupational Health resources to meet programming needs. collaboratively assists with direction and supervision of clinic staff activities for medical surveillance programs, including the annual influenza vaccination program.
Occupational Safety:
Demonstrates strong commitment and collaboration to reduction of work related injuries and illnesses through development of system wide and/or department specific educational programs, committee involvement, campaigns and related events. Acts as a clinical resource to staff and ensures that Occupational Health clinic staff consistently administer appropriate first aid to staff members in accordance with Internal Occupational Health policies and medical directives. Refers non-work related injuries and/or illnesses to appropriate treatment source. Refers significant work-related injuries to the nurse practitioner, occupational medicine, personal physician, walk in clinic, or emergency department as indicated. Proactively contacts Workers' Compensation case managers or the Workers Compensation Manager when the situation warrants additional decision making. Receives initial Staff Accident Reports (SAR) for department staff and completes initial conversation and manager follow up investigation. Collaborates with others during root cause analysis and participates in defining prevention strategies. Actively participates and or leads various Froedtert &MCW committees. Is a resource to leadership and maintains appropriate plans of action, including accountability for targeted initiatives and positive outcomes.
Experience:
A minimum of five years experience in occupational health nursing or other comparable experience is required.
Experience in a leadership role is required.
Education:
Bachelor's degree in nursing from an accredited school of nursing is required.
Master's degree in nursing is preferred.
