AAAS editorial coordinator job description

We have an exciting opportunity for an Editorial Coordinator to join our Editorial Department. This position is meant to provide support to the editors in order to ensure that manuscripts are properly handled, constructed, and "filed." The assistants serve as the first line of interaction with the editorial department, prioritizing levels of communication, information and contact between authors, reviewers, and editors. We are meant to manage communications between editors, reviewers, and authors to ensure that forms have been submitted properly and in a timely manner, to coordinate schedules between these three groups, and to communicate and enforce deadlines so that the best quality work is produced in the proper timeframe. Finally, the assistant confirms that access to documentation is given or restricted to the correct levels. The incumbent will streamline the way for ease of access and use, so that each group is able to navigate the system properly, and troubleshoots those areas in which problems arise. This involves scheduling and calendars, use of outlook, word, adobe, excel, and photo shop, proficient skills with document and data systems, and excellent verbal and written communication, organization, and time management skills.

What You'll Do

* Respond to editor requests to add reviewers, process reviews, revisions, rejections, appeals, and acceptances. Respond to other editor requests to work within CTS or to respond to inquiries through outlook
* Respond to editor, author, and reviewer inquiries submitted through personal Outlook, Science Signaling, and Submit Help Inboxes, and via Phones
* Monitor for revisions and resubmissions. Process author revisions and unsolicited appeals and resubmissions
* Manage schedules to ensure all pending forms from authors and reviewers are submitted. Send communications as needed in order to maintain manuscript review schedule
* Check for duplications in system. Send correspondence in order to ascertain account activity and veracity. Communicate with IT and DPP to resolve issues with manuscript system
* Knowledge of essential office and correspondence protocol
* Knowledge of outlook, word, adobe, excel, and photoshop
* At least a rudimentary knowledge of document/data systems

Minimum Qualifications

* Bachelor's degree or other form of higher education which requires analytical and communication skills
* A good grasp of vocabulary and basic science background would be valuable.

U.S. Pharmacopeia editorial coordinator job description

**Summary of the Position**

This is a hands-on non-supervisory position responsible for supporting the pipeline of editorial development work, facilitating team meetings and documentation, and ensuring data-driven quality processes and reporting. The incumbent in this role will communicate schedule and status updates for team workloads, ensure clear, up-to-date documentation for current processes, and support quality data analysis related to documentary standards. The Editorial Coordinator will report to the Manager, Editorial Development, and interface with Scientific Editors, Documentary Standard Scientists, Production Coordinators, Quality Assurance staff, and other internal USP business units and external vendors to ensure accurate and timely review and production of documentary standards. The Editorial Coordinator is also responsible for performing data collection validation and analysis to support editorial quality processes and reporting.

**Roles and Responsibilities**

**Editorial Quality Data Validation & Analysis**

• Performs data collection and validation on key quality metrics tracked by the Editorial team

• Supports data analysis and reporting activities, including creating and maintaining a centralized data repository, compiling periodic reports, and contributing to presentation materials as needed

• Contributes to the creative development of data visualizations to communicate trends and key metrics to stakeholders

**Tracking/Schedules**

• Maintain Editorial schedules and team calendars, communicate reminders as needed, and collect and report regular status updates

• Monitor Editorial team trackers and databases for key milestones and project handoffs (oversight of tracker templates and launching of trackers)

• Support Editorial staging tasks and workflow coordination for high-impact standards

• Coordinate and support cross-functional processes between Editorial and other groups/departments (e.g., graphics production)

**Team Support & Documentation**

• Support the coordination and facilitation of Editorial-related meetings, including SGT meetings, process refresher trainings, and quality presentations

• Coordinate and maintain Editorial work instruction and checklist updates in collaboration with SMEs and according to controlled form SOPs.

• Process system change requests with relevant technical counterparts

• Contribute to departmental proofreading tasks and provide occasional backup coverage as needed

**Basic Qualifications**

• Bachelor's degree in relevant field. Four years of coordination experience in a publishing or research role considered in lieu of a degree.

• Minimum of 2 years coordinating or administrative experience.

**Preferred Qualifications**

• Previous scientific publishing, editorial, and/or research coordination experience strongly preferred

• Demonstrated experience and interest in data analysis and storytelling visualization using tools like Tableau, Microsoft Excel, PowerPoint, etc. strongly preferred

• Experience in process automation using enterprise tools like SharePoint, Microsoft PowerAutomate, etc.

• Proficient in virtual meeting coordination (Microsoft Teams and Cisco Webex preferred) with excellent attention to detail and organizational skills

• Demonstrated skill in coordinating multiple projects with varying deadlines, and a strong commitment to quality, impactful results

• Self-starter and creative thinker who can use high-level directions to solve problems and perform assignments strongly preferred

• Excellent written and verbal communications skills

• Ability and desire to collaborate with diverse colleagues and inclusive teams in a cooperative and friendly manner
