How you will contribute The Executive Assistant is an internal role within the PEPI practice, reporting to the Operations Director. PEPI is a growing business targeting high growth in the next two to five years. The successful candidate will be a dedicated, people and solutions-oriented problem solver charged with end-to-end administrative initiatives. Our EAs are viewed as strategic partners who enable our teams to deliver gold standard work to our clients. In addition to providing administrative leadership for the PEPI practice, the EA will also be responsible for planning, coordinating, and executing special projects and events. The candidate should be motivated, resourceful, organized, poised, and able to operate independently with strong attention to detail. Responsibilities: Support designated Managing Directors in the following capacity: Manage and coordinate Managing Directors' calendars efficiently through Outlook. Handle travel arrangements from planning to booking flights, hotels, and ground transportation. Prepare and submit expense reports for Managing Directors using Concur, ensuring timely reconciliation of corporate credit card transactions. Work closely with the staff to keep the team well informed of upcoming commitments and responsibilities, following up as appropriate. Accurately record Managing Directors' hours in Agresso to support effective financial tracking and resource management. Prepare and submit conflict memos and request project codes to facilitate engagement tracking and compliance. Review and process vendor invoices to ensure timely and accurate payment to vendors. Assist with client invoice and allocation processes. Update Pipeline with current information as requested by Managing Directors or others on the respective team. Help plan, coordinate, and attend mid-year, year-end, and other internal or client-facing events as needed. Assist with department and operational activities/projects as needed and perform other work-related duties as assigned. Assist in the preparation of PPT decks and marketing materials for proposals; to include working across relationship management and marketing to obtain relevant materials. Support event planning along with travel 1-3 times per year Support recruitment function (as needed) including candidate interview scheduling and coordination. Qualifications: Minimum of 10 years' experience as an Executive Assistant or in Business Operations, preferably within consulting or professional services. Bachelor's Degree preferred in relevant field of study or equivalent experience (Degree in business-related field a plus). Highly proficient in computer and calendaring skills, including Microsoft Office Suite, Concur, & SharePoint. Strong interpersonal and relationship-building skills, with the ability to effectively support multiple executives with diverse working styles.
