We are seeking a Program Coordinator to provide our client with administrative and document control support functions. You will report into the Support Services Department Manager and will take direction from the Client Program Manager and Eichleay's Site Lead at the client site. Project Support & Coordination * Provide administrative and technical support to Project Managers, Field Coordinators, third-party engineering firms, and client staff. * Act as liaison between the program/project and various client departments, using tact and professionalism to build effective relationships. * Schedule and coordinate meetings, prepare agendas, and record/distribute meeting minutes. * Assist Project Managers with documentation and project-related tasks as requested. * Maintain tracking registers and project filing systems. Administrative & Organizational Tasks * Perform clerical duties including filing, scanning, printing, and assembling binders/booklets. * Use Outlook to schedule meetings, manage calendars, and set up project distribution lists. * Attend meetings and act as scribe; compile and distribute action items and meeting notes. * Assist with new hire onboarding, including IT equipment setup and Help Desk ticket generation for employees, transfers, and contractors. Document Control & Compliance * Receive, log, and distribute RFIs; track approvals and follow up for timely responses. * Ensure IFA comments are captured and entered into the master log. * Compile and issue IFA/IFC packages; track MOC logs and confirm signatures prior to IFA release. * Perform quality checks on engineering packages for compliance with client standards. * Assemble and issue engineering packages for small capital refinery projects. * Manage timely turnover of project closeout deliverables, including CAD files, SPI documentation, redlines, As-built drawings, QA/QC documents, and vendor documentation. * Set up project folders and complete project file index requests. * Track all documents for closeouts and maintain SPT compliance by updating project trackers. System Updates & Uploads * Upload redlines into IMS (including SPI redlines). * Upload QA/QC documentation to ALIM. * Process DR requests. Technical Assistance * Use CAD software to update drawings as needed. * Assist BP Program Manager with various tasks. * Update SPT organizational chart and SharePoint as required. Procurement Support * Provide backup support for procurement, including requisition and purchase order processing. Job Requirements * High School diploma and 5 years' experience; or equivalent combination of education, training and experience. * Proficient with Microsoft Excel, Outlook, PowerPoint, Teams, Visio, Word; Adobe, Bluebeam Revu, Maximo, Snag-It, AutoCAD. This full-time position will consist of coordinating with project team members to establish project plans and monitor progress for small and medium capital projects as part of an overall program. Position Summary The I&C Design position calls for a candidate with experience in I&C design principles and practices. The position involves contributing to both single-discipline and multi-disciplinary projects, collaborating closely with senior designers and / or engineers. The position requires the candidate to work independently but occasionally will work under I&C Team Lead supervision. Responsibilities also include preparing scopes of work, budgets, and providing input to project schedules. Job Requirements: Experience: Minimum of 5 years' experience in Refinery or other oil and gas related industries. Education: Associate's degree in engineering or scientific discipline is preferred, or specialized courses in drafting, AutoCAD, engineering drawing, and 3D modeling. Location: This position is based out of our Ferndale, WA office. It is a hybrid role with an expectation to be in the office 3 days a week (Tues-Thurs). This full-time position will consist of coordinating with project team members and client to establish well document, factual, and accurate TIC project estimates and basis of estimates based on historical and verifiable data for small and medium capital projects as part of an overall program. Work with Project Controls Team Manager to establish client specific templates based on local labor and historical subcontractor costs that integrates into client systems and procedures. Make high-level decisions and recommendations about project requirements and assumptions. Provide subcontractor quotation reviews and comparisons against misaligned estimated budgets. Serve as host for ongoing internal team and client team estimating meetings. Job Requirements Bachelor's degree in Engineering, Construction Management, or a related field; Master's degree or professional certifications (e.g., PSP, PMP, AACEi) preferred. Minimum 8+ years of experience in estimating within the oil and gas industry, with at least 5 years in a senior role (e.g., refinery expansions, offshore platforms, or pipeline networks). Proven track record working with major energy clients. Proficiency in industry-standard estimating software: Aspen, or equivalent tools. Strong knowledge of the oil and gas industrial industry, engineering deliverables, procurement, permitting, construction, commissioning, stages and gate approvals. Excellent analytical, communication, and leadership skills, with the ability to present complex data to non-technical stakeholders. Possesses strong oral and written communication skills. Interacts with engineers, designers, Clients and vendors. Ability to process and comprehend project design requirements, scope change impacts, Client impacts, and to make high-level decisions and recommendations about project requirements to ensure estimate meets all the design criteria. Ability to manage and work according to project schedules while meeting project budget requirements. Understands the needs for high level of productivity, accuracy, and solid documentation. Ability to understand project requirements and needs, and to use this information when creating estimates. Experience with generating conceptual (factored) and detailed estimates based on the stage of engineering. Has good knowledge of construction, including construction management operations. Knowledge of refinery process units and understanding of impacts associated with refinery shutdowns. Knowledge of oil and gas instrumentation, valves, equipment, construction, and adjustments for turn around periods. Knowledge and familiarity with structuring and maintaining historical databases preferred. Knowledge and familiarity with mixed labor rate calculations. Knowledge and familiarity with typical engineering and contingency ratios for each stage.
