**SUMMARY:**
The full-time temporary Senior Administrative Assistant will provide administrative support and assists with grants management and related fundraising activities for the Health and Peace Programs Development teams. The position reports to the Sr. Associate Director, Lead of Health Programs Development and will partner with other Health/Peace Programs Development gift officers to prepare for and participate in meetings, conduct grant proposal research, prepare briefings, and provide grants management support.
Confidentiality is required. With prior approval by the Sr. Associate Director, Lead, it may be required to work some overtime hours based on the needs of the department, or occasionally work flexible hours during the week to attend early morning or evening events.
**KEY RESPONSIBILITIES:**
+ Coordinates and prepares materials for meetings and special events, attends sessions, and records minutes for Programs Development, Donors, and Health and Peace Programs.
+ Supports grants management, including reviewing and processing agreements, tracking deliverables, and ensuring timely proposal and report submissions.
+ Assists with developing grant proposals, conducting research, drafting donor reports, and preparing related applications, status updates, and supporting documentation.
+ Prepares reports, briefings, charts, graphs, and maintains accurate recordkeeping, filing systems, spreadsheets, and databases (e.g., SharePoint, Teams, Unit4, Raiser's Edge).
+ Manages grants and reporting processes for assigned portfolios.
+ Drafts and edits correspondence and reports with minimal guidance.
+ May review incoming correspondence and identify items of special interest to manager or others.
+ May support administrative functions such as maintaining calendars, prioritizing meeting requests, and processing invoices.
+ Performs related duties as assigned.
**MINIMUM QUALIFICATIONS:**
+ A high school diploma or equivalent, and six years of secretarial or administrative support experience, OR a bachelor's degree and one year of administrative support experience.
+ Proficient with word processing, spreadsheet, and presentation software applications.
**PREFERRED QUALIFICATIONS:**
+ A bachelor's degree and experience working in development or fundraising for an international NGO, or related field.
+ Proficiency with Microsoft Office, SharePoint, and Raiser's Edge or similar fundraising and donor tracking platforms.
+ Strong proficiency with writing general business correspondence and communicating with internal and external stakeholders in
+ Experience with fundraising and grants management for an international program is helpful.

Performs administrative and clinic support duties within physician operations to ensure efficient daily office operations and to support the delivery of safe and quality patient care.
Experience

Job Responsibilities

* Maintains provider and resource schedules through the use of Epic and system tools; may include oversight of schedule disruptions, development of inpatient service schedules, updating room scheduling tools, etc.
* Works to meet all department and CPG patient access goals and metrics.
* Coordinates with clinical teams to ensure all information and resources are available for patient care; may include scheduling interpreters for clinic visits, obtaining medical records, etc.
* Reviews and answers Epic InBasket messages, emails, and phone calls related to scheduling, patient access, and other administrative requests.
* Optimizes schedule utilization by monitoring and managing patient recall and wait lists, work queues, appointment referrals, etc.
* Addresses patient communication including faxes, mail, inbound and outbound phone calls, patient forms, etc.
* Performs general administrative duties to support department/office including creating correspondence, filing documents, photocopying, answering, and routing calls, collecting credentialing documents, submitting expense requests and meeting coordination.
* Orders and stocks supply perform record-keeping and/or cash reconciliation activities, act as liaison to other departments and/or vendors, take minutes at meetings, and perform quality management functions as necessary.
* Prepares minutes, agenda, and coordinates other meeting materials in a timely manner.
* May be responsible for basic payroll or timekeeping activities, human resources paperwork, and/or database record maintenance as necessary.
* May perform other department-specific duties and other assignments as appropriate.
