Key ResponsibilitiesOpen Enrollment & Employee Support Provide real-time employee support aligned with Eastern or Central Time Zones. Participate in Open Enrollment testing and system validation. Create and distribute clear, compliant, and engaging employee communications (guides, newsletters, FAQs, notices). Collaborate with HR Business Partners to identify recurring employee questions and develop education strategies. Respond directly to retiree inquiries via phone, offering guidance and resolution. Manage escalated employee issues with professionalism, empathy, and urgency. Vendor Coordination Attend meetings with external vendors and partners across the U.S. benefits portfolio. Support onsite HR/vendor meetings and assist in resolving escalated issues. Compliance & Regulatory Oversight Maintain a strong understanding of U.S. benefit reporting requirements (RxDC, ACA, CMS, etc.). Monitor legislative and regulatory changes (IRS, DOL, ERISA, SECURE 2.0, state-specific laws) to ensure compliance. Support nondiscrimination testing (Section 125, 401(k), etc.) and corrective action processes. Assist with internal, external, and regulatory audits (including SOX, 401(k), and pension audits). Data, Audits & Reporting Review and validate benefit deduction files, payroll reports, and vendor error reports; resolve discrepancies. Conduct audits across 401(k), HSA, benefits enrollment, and payroll integrations. Develop and analyze metrics on benefit utilization, costs, and vendor performance; recommend improvements. Prepare and distribute routine reporting (e.g., wellness dashboards, CBIZ reports, retiree status updates, ACA reporting). Provide ad hoc reports to Finance, HR Leadership, and other stakeholders. Training, Communication & Process Improvement Deliver training sessions for HR and employees on benefits processes. Manage communications with HRIS, retirees, dependents, and vendors. Support claims administration (FMLA, life insurance, COBRA subsidy letters). Identify and implement process improvements to enhance efficiency, accuracy, and employee satisfaction. The Manager will be responsible for providing competitive benefits program and support for 2,900 faculty, staff and retirees. The Manager will participate in the development of the Annual Open Enrollment, Digital Transformation of the Total Rewards Department, Retirement Portal and effective management and communication of Health & Welfare, Life and Disability, Retirement and Educational benefit programs. The Benefits Manager, in collaboration with the Director of Employee Benefits and Retirement, provides overall leadership and administration for benefits planning and administration for university faculty, staff and retirees. They recommend policy, oversee the benefits operations, and directly manage benefits and retirement administration. Interface with vendors on behalf of participants and HR staff to clarify vendor and AU policies and procedures, resolve claims, and provide direction to vendors. Education * Administers the university's educational benefits to include tuition remission, Tuition Exchange Scholarship, and cash grant programs in accordance with university policies and processes, and in compliance with federal tax code. Responds to faculty and staff member questions and works closely with Financial Aid and Student Accounts to ensure tuition remission is posted in a timely manner. Maintain the applicant/participant databases for each of the educational benefits programs. Maintains and updates educational benefits information in benefit manuals and online. 3.) Retirement * Manage administration and support systems of the University's competitive retirement programs and support systems for faculty, staff, and retirees. Provide support and oversight for all university retirement planning and administration. Recommend policy changes and modernization.
