Position Summary:
Client Coordinators are non-exempt, full-time employees of Ernest who work within the Client Coordinator department at their assigned division. They are responsible for establishing themselves as reliable business partners to each client through understanding their business needs, order history, and other relevant information. Client Coordinators utilize this understanding to provide clients with additional product offerings aimed at strengthening their businesses.
Specifically, Client Coordinator's provide support to the clients within a Client Relationship Manager's (Sales rep) book of business. This involves coordinating routine interactions between clients, CRMs, and other support staff to ensure every client experiences the highest level of service.
Client Coordinator's are trained, supervised, and evaluated by the Client Coordinator Manager at their assigned division.
Required Qualifications:
High School Diploma or General Education Degree (GED)
Familiarity with and experience using Microsoft Office (e.g., Word, Excel)
Strong clerical skills, including data entry and document organization
Basic computational skills, including converting fractions to decimals, division, multiplication, etc.
Ability to communicate effectively with internal and external stakeholders, both verbally and in writing
Demonstrated ability to manage large volumes of emails from multiple accounts simultaneously
Highly organized, self-starter, who is detail oriented
Friendly, professional, helpful, and willing to participate in various company activities
Preferred Qualifications:
2+ years of B2B customer service experience
Working knowledge of Enterprise Resource Planning (ERP) systems

Essential Key Job Responsibilities
In addition to duties of Field Service Specialist I, performs repair and maintenance on intermediate imaging equipment, such as Digital Radiography units, basic CT, CT Sim, basic oncology and Vascular/Specials systems more than 60% of the time.
Utilizes training opportunities to significantly reduce contract dependency for the same equipment.
Employee functions as a leader in the Clinical Engineering department, providing oversight and assistance to FSS, for the efficient and cost effective repair and maintenance of imaging equipment.
Effectively handles all service emergencies and necessary communications with Vendor, Department, and Clinical Engineering CE Manager.
Assists in the ordering of parts and supplies necessary for the servicing of Diagnostic Imaging and Biomedical equipment.
Is capable of providing coverage and support for CE Manager during manager's absence.
Provides input to the CE Manager regarding new service opportunities within a location serviced by the Clinical Engineering Division.
Provides appropriate service cost history to the CE Manager with an emphasis on Contract Vs. Time and Material contrast for the continual reduction of service expense.
May also provide repair and maintenance of general biomedical equipment as secondary responsibility or as assigned.

Job Requirements
Education:

Job Summary and Responsibilities
Responsible for a variety of tasks that lead to a high level of customer satisfaction in the most cost-effective manner. Assists SSRM Contract Administration Management with the documentation of supply and service agreements in accordance with strategic business objectives, professional standards, and applicable regulatory requirements. Supports the National and Regional Contracting teams to ensure contracts are reviewed and loaded timely into multiple contract repositories. Assists Contract Specialist II's with Lean processes to track contracting pipelines. Essential Functions:
Maintains a working knowledge of multiple contract repositories, and performs duties in accordance to internal department standard processes to maintain data integrity in the Contract Adminstration Management Department.
Input agreement documents into the appropriate contract repository(ies) per system protocol and approved department processes.
Responsible for pre-loading contract attributes in the Jaggaer system and Google Drive for upcoming National contracting efforts.
Creates price files through the use of automated data tools to document downstream pricing information for the Jaggaer Item Catalog and ERP systems. Tracks all daily activity in the designated tracker.
Updates Member Lists posted on the network to a standard format, and loads them to Google and Premier's Supply Chain Advisor system. Creates Custom Member Lists at the direction of the Contract Specialist II or Contract Manager. Accurately tracks all daily activity in the designated trackers.
Follows local contract guardrails to advise and provide support for Regional Contract Administration teams. Provides support by tracking and documenting Regional contracting activities on the Expiring Contract Report (ECR)
Adopts Lean processes through the use of the Zoom whiteboard, and daily Huddle report outs to progressively track 120-day Expiring Contract Reports leading up to critical 30-day contracting activites for Regional contracts.
Completes all external DocuSign signature requests.
Submits redline contract documents into the Legal Matter Management System for Legal Service's review.

The Contract Specialist III handles a diverse set of responsibilities focused on contract pricing management and spend, department Key Performance Indicator reporting, and Group Purchasing Organization (GPO) functionality. The Contract Specialist III collaborates with the Contract Administration Manager to assist in the design, build and implementation of standard processes and tools by utilizing industry best practices and procedures related to contract administration management while supporting the local, regional and national levels. Considers ways to improve the department processes and systems through the use of established and new Lean processes.
