Primary Function
As a Production Coordinator, you will play a critical client-facing role in the event production process, assessing production needs and interfacing with stakeholders. You will lead discovery calls, gather event requirements, and translate client objectives into plans for resourcing. You will partner closely with the scheduling team to match the pace and volume of intake. Serving as the bridge between client needs and production execution, you will guide projects through the process to deliver seamless in-person, hybrid, and digital events that meet the company's high standards of innovation and excellence.
With a focus on collaboration, communication, and operational efficiency, you'll oversee project scoping, scheduling, and tracking while providing organizational support to production teams. Your expertise in event workflows and client relations will help drive successful outcomes for complex and high-profile events.
Duties & Responsibilities
Lead client discovery calls to assess event requirements, goals, and technical needs
Collaborate with clients to define project objectives, timelines, and outcomes
Offer creative solutions for resource and logistical challenges during project intake
Produce smaller budget events and serve as the main POC for the event Production team
Prepare detailed project breakdowns, including estimates, SOWs, and production schedules
Manage and oversee the flow of purchase orders, vendor invoices, and project reconciliation processes
Track project milestones, deliverables, and deadlines, ensuring events stay on schedule and within budget
Partner with the Scheduling team to manage concurrent venue calendars and allocate resources
Coordinate pre-production meetings, ensuring alignment between internal teams and clients
Act as the primary liaison between internal production teams and clients
Continually strive to employ best practices and adhere to program requirements
Assist with special projects, including new workflow ideations and implementation

Skills & Qualifications
An overall understanding of the live program production process is necessary and a strong sense of urgency in solving customer requests to ensure timely resolution is critical
Strong understanding of event production workflows, including pre-production, production, and post-production
Proven ability to manage multiple projects, prioritize tasks, and meet deadlines in a fast-paced environment
A proactive communicator, excellent written and verbal communications skills; superb listener
Outstanding prioritization and organizational skills
Proficient with resource planning, budgeting, and financial tracking
Ability to maintain professionalism while managing client expectations and resolving challenges
Proficiency in production tools and platforms, project management software, and media asset systems
Familiarity with AV and event terminology, workflows, and technical requirements
Experience working cross-functionally with diverse teams, vendors, and clients
Ability to thrive in a collaborative environment
Strong problem-solving skills with a proactive approach to identifying and implementing solutions
Flexibility to adapt to last-minute changes and evolving client needs
Must be proficient in Google Workspace. Familiarity with enterprise systems such as Asana, Airtable, and Salesforce, are also helpful.
Education & Experience
Min. 3+ years major brand or agency production and event administration, production coordination, or project management
Degree in Video/Film Production, Communications, Marketing, or related field is required
Hands-on experience as a production coordinator or production manager in the commercial video, film, or live event industry is required
Certifications such as PMP, DES, CTS, a plus

The Media Production Assistant is an important member of the Media Team and Nursing and Allied Health Profession - EBSCO Health team. This team produces media for the Dynamic Health product, which is an online resource for clinicians to search for and locate evidence-based information about patient conditions and treatment at the point of care. Media includes images, photos, illustrations, gifs, procedural skill videos, 3d illustrations, and 3d animated videos. The production assistant helps plan and coordinate media projects, including production shoots/videotaping, tracking media assignments, creating media reports, and uploading media on product. Although most content is clinical in nature, no healthcare/clinical background is required.
We are looking for candidates local in the Glendale, CA area, who will work remotely but can come into the office when necessary.
What You'll Do
Perform process tasks that require varying degrees of analysis, problem-solving skills, and independent judgment
Track progress throughout the media process (create and manage new assignments for media editors - track media projects from assignment, approval, to uploading media)
Support media editors on set during video production by gathering supplies, tracking takes, checking script consistency, and clarifying with topic editors (Glendale office)
Coordinate communication between media/clinical/editorial teams including suggestions, approvals, media assignments, review processes, and tracking all correspondence
Collaborate with members of the media work group (media/clinical/editorial) on project management and other projects and tasks
Contribute to the development and implementation of EBSCO Health media guidelines and workflows that foster consistency across the products (including tagging and metadata in media repository)
Utilize various software to assist with media production processes (Rally, Monday.com, Cloudinary, Oxygen, etc.)
Support customer request workflow by collating feedback/responses and working with media/clinical teams to fulfill requests for new, revised, and incorrect media
Upload and embed media on product, including troubleshooting issues
Attend and lead virtual meetings, including weekly media team meetings and additional work group project meetings

The intern will gain experience in various areas of the development, pre-production, production and post-production of live fundraising across our family of stations. Hours are flexible and work may be hybrid - a blend of remote and in-office work. In summary, this individual will:
Work with the Fundraising Producer to create seasonal strategies on-air scripts, web/app graphics, and content for fundraising efforts on TV and radio
Assist with the coordination of fundraising needs with members of other departments

Work on live remote fundraising efforts in the WNY/Southern Ontario communities across all BTPM stations

Production Assistants are hired from 4 to 6 weeks to work at Berkeley Repertory Theatre.
Requirements
Production Assistants should be available between June 1st, 2026 and July 7th, 2026. The People Inc. studio team supports all of the creative visual teams within the company - they manage all studio and kitchen spaces across the New York Photo and Video studios, including two equipment rooms complete with audio recording, still photography, and video equipment. About the Role:
The Photo/Video Studios Intern will be exposed to a wide range of productions, including video shoots and photo sessions. Our studio team serves as the bridge between People Inc's brands and the production crews, giving the intern the opportunity to observe and participate in the entire lifecycle of a shoot. The intern will also learn directly from our in-house photographer in his day to day work, including still life, food, beauty, and on-location/brand-activation shoots.
During the internship, the intern will gain hands-on experience in how sets are built, lit, and managed while getting to know the creative staff that brings each production to life. The intern will take part in organizing equipment rentals, creating studio reservations, digiteching on sets, and making photo selects. This internship will offer students a well rounded and immersive learning experience, ensuring they leave as production-ready young professionals with real world exposure to a wide variety of productions and situations.

Eligibility Requirements:
Internships are available to current Sophomores, Juniors and Seniors at an accredited college or university
You must be available to work full time for the entire 9 weeks of the program in the NY office, 3 days a week
You must have access to your own housing and transportation to/from the NY office
About the Team:
The Video Strategy team focuses on growing video viewership and revenue through three core functions: Creative Development, Channel Management & Optimization, and Strategy & Insights. The team oversees the full lifecycle of YouTube-first programming across key People Inc. brands-analyzing performance, developing concepts, booking talent, producing and directing content, and managing distribution to drive audience engagement and channel growth.
About the Role:
The Video Strategy Intern will support the development and production of long-form YouTube content for People Inc.'s brands. Key responsibilities include assisting on NYC-based shoots, researching talent and topic areas, creating strategic talent booking lists, and applying research to identify programming opportunities. The intern will also help coordinate props, track receipts and budgets, contribute to thumbnail design, and support upload workflows by organizing and publishing video assets. This role is well-suited for someone curious, energetic, and interested in video production or media research.
Internship Responsibilities will Include:
Serve as a production assistant for NYC-based long-form YouTube shoots
Research interview subjects, video topics, and talent opportunities, summarizing findings to support programming
Create strategic talent booking lists aligned with channel needs
Help coordinate props and support basic production logistics, including tracking receipts and budgets
Contribute to thumbnail design and organize, track, and publish video assets to support upload and output schedules
About You:
Candidates for this role should have:
Previous experience in video production or video/media/entertainment research is preferred
Excellent communication, time management, and organizational skills
Open to new challenges and excited to grow within a fast-paced, expanding, and constantly evolving organization
Creative and driven self-starter that can take direction and run with it, asking questions up front to ensure you're able to complete the task successfully
Motivated problem solver who will proactively troubleshoot and create solution
Experience with Google & Microsoft Suites
Some experience with digital media is a plus but not required

Pay Range
Hourly: New York: $20.00 - $20.00
The pay range above represents the anticipated low and high end of the pay range for this position and may change in the future.
