Our property is one of the largest venues in Columbus. During the week we hold a wide variety of meetings and during the weekend we host weddings! Essential Functions: 1. Follow the daily assigned set-up pack and diagrams to accurately set meetings and social functions according to the sales contract and property standards. This will include disposing of trash, vacuuming, removing stains from carpet and walls, installing/uninstalling equipment and materials. 2. Ensure all storage spaces are clean, organized and secured on a daily basis. Maintain the safety of the conference center by ensuring all pathways, entrances/exits are free of equipment and obstacles. 3. Maintain and monitor all unused spaces daily to ensure the spaces are secure, clean and tour ready. Properly store meeting room supplies such as linen, notepads, candy, water, pens, chairs, tables, stage and dance floor. 4. Maintain proper care and use of equipment and report all damaged equipment to maintenance for timely repair. 5. Uphold the high standards of guest service by proactively assisting guests when needed. 6. Support the concierge with shipping and receiving to help deliver parcels to guests and associates. 7. Assist the sales and planning offices as needed to determine set-up layouts for future meetings including the mock sets of meeting spaces. 8. Perform additional duties as requested by a manager at various times in a timely fashion. Physical Requirements: These physical demands represent the physical requirements necessary for an associate to successfully perform the essential functions of the position.     Events Coordinator Cleveland Botanical Garden Summary of Responsibilities: The Cleveland Botanical Garden Events Coordinator is responsible for providing administrative support to the Events department. This position is responsible for events such as photography sessions, marriage proposals, wedding ceremonies, bridal and baby showers, and celebrations of life from the time of receiving the initial inquiry through event fulfillment. This position also supports coordinating Ticketed events hosted by the Cleveland Botanical Garden and internal events as needed. Position Details * Full-Time * Non-Exempt * Regular nights and weekends are required Key Responsibilities: Key responsibilities of the Cleveland Botanical Garden Events Coordinator, include, but are not limited to: * Support Holden Forests & Gardens' mission, vision, and values * Responsible for the sales to fulfillment cycle for all photography sessions, proposals, wedding ceremonies, bridal and baby showers celebrations of life, and affiliate garden club room rentals * Respond to inquiries, discuss vision and cost, impart the benefits of Holden Forest & Gardens' (HF&G) campuses, * Facilitate tours as needed * Share and maintain boundaries for what is and is not permitted during events * Work closely with the Director of Events to ensure all events have the appropriate onsite support and serve as events liaison as needed * Coordinate vendor arrival and rental delivery/pick up to execute event plans such as florists, valet companies, musicians and D/J's, caterers, photographers etc. * Work with other departments to coordinate the details of each event and disseminate important information * Support the Ticketed and Value- Add events hosted by the Cleveland Botanical Garden * Complete event preparation documents * Reserve rooms in our internal booking system * Prepare contracts and invoices * Process payments * Prepare, set up and break down event signage * Schedule and facilitate rehearsals, tours, and walkthroughs as needed * Help with event set up/ tear down as needed * Perform other relevant duties as assigned Minimum Education and Experience Required * Demonstrate a passion for people and nature * High school degree or equivalent * Computer literacy * Ability to work a flexible schedule, including nights and weekends, required Physical Requirements * Stand and/ or sit for extended periods of time. * Standing, bending, kneeling while lifting up to 50 lbs. * Transport oneself by foot over a variety of terrain that may be wet, slippery, uneven, rocky, and steep. * Perform required tasks in all weather conditions. The host will answer phones and take carry-out orders. The host is also responsible for bagging up the carry-out orders for the guest. Host support the servers by running food and bussing tables.
