We're currently hiring an Event Specialist to support a cybersecurity focused organization on the planning, development, and implementation of virtual and in-person meetings and conferences. In this role, you will coordinate major events, conferences, and meetings related to cybersecurity.

This position will be on-site in Arlington, VA and will require and active clearance .

Key Responsibilities:

  • Develop work plans and track milestones and timelines for multiple meetings and conferences simultaneously.
  • Coordinate logistics for webinars, including setting up the webinar platform, and arranging transcription and a summary of the meeting as assigned.
  • Oversee and facilitate all aspects of meeting planning: ordering supplies, printing/packing/shipping of materials, registration, and marketing outreach.
  • Work with graphic designer on creating and editing conference programs, signage, and other promotional or event materials.
  • Provide support for virtual conference including coordination of pre-conference needs, all day of needs, and follow up needs for reporting and lessons learned.

Required Qualifications:

Responsibilities We are looking to fill an Event Specialist. The ideal candidate will live in Tallahassee, FL or Macon, GA . In this position, you will coordinate logistics for major fundraising events, in person and/or virtual events. Responsibilities will also include organizing and motivating volunteers, assisting with logistics of auxiliary fundraising events, coordinating event administration, schedules, and meetings; controlling inventory/implementation of marketing, presentation, or fundraising materials, and preparing financial or operations reports. THE JOB

A Resale Event Management Specialist provides skills in detailed set up of events with trouble shooting and alert monitoring for changes and updates on multiple online retail sites. This position is full time and will be based at our Rolling Meadows office, with remote work opportunities available. We require a flexible work schedule which includes evenings and weekends. On-call time is required within a rotating schedule.

WHAT YOU WILL BE DOING

Key Responsibilities:

* Apply appropriate settings in our system to activate resale events, making them visible on our retail sites.
* Apply links for proper inventory display on multiple resale platforms
* Verify event information for inventory listing
* Monitor/apply data changes as needed to ensure event integrity and accuracy
* Create/adjust artist and venue names as needed
* Track multiple events and settings for reporting purposes
* Troubleshoot and respond to customer needs
* Identify system updates for continued process improvements
* Maintain continuous inventory flow through the TMR systems

SUMMARY

The Virtual Event Program Specialist is responsible for the overall development, planning, coordination, delivery, and execution of AMPP virtual events including industry-specific and regional events as well as the virtual/hybrid components of the AMPP Annual Conference + Expo. The Specialist works with cross-functional stakeholders to design and executive virtual events that achieve organizational goals.

+ Defining virtual event project plan, scope, goals, plans including milestones and deliverables that support the organization's event strategy and high-quality content meeting industry needs

+ Participating in vetting meetings and demos with outside vendors for audio-visual equipment rental, virtual event platform technology, etc. prior to contracting

+ Overseeing and monitoring vendors to ensure timely and accurate delivery of contracted services

+ Leading regularly scheduled meetings to discuss project expectations with internal and external stakeholders

+ Providing virtual event support materials including user guides, manuals and tutorials that align with organizational branding guidelines

+ Collaborating with IT Department, Marketing Department and all appropriate internal and external service providers to ensure effective registration processes, and promotion (email and website) are delivered in a timely manner to achieve virtual event goals

+ Tracking project change requests, identifying issues and risks, sorting through ambiguity to build appropriate contingency plans

+ Leading training workshops and follow-up meetings with internal and external stakeholders including staff, session organizers and speakers to drive the creation of live, recorded, and on-demand content for the virtual event

QUALIFICATION REQUIREMENTS
