Responsibilities of the EA: Calendar and Meeting Management -Own complex scheduling across multiple calendars and time zones anticipating conflicts and proactively resolving them. -Ensure internal and external stakeholders are fully prepared for meetings through agenda planning, background research, and briefing materials. -Drive efficiency by strategically prioritizing competing demands and aligning calendars to achieve short-and long-term objectives. Project and Operational Management -Partner with client-delivery team to manage and track priorities, projects, and action items to completion. -Support data capture and management in Salesforce, ensuring records, contact lists, and tasks remain current and accurate. -Ability to visualize entire projects from start to finish, rather than focusing on individual tasks, ensuring that all components of a project are aligned and contribute to the overall goals. Travel and Expense Management -Plan and manage travel arrangements and itineraries with precision, adapting quickly to real-time changes. -Prepare and submit timely, accurate expense reports in alignment with firm policies. Team and Firm Collaboration -Build effective relationships throughout the firm and externally; foster a collaborative and supportive culture. -Serve as backup support for other EAs, ensuring uninterrupted coverage and continuity for client-delivery team and other stakeholders. -Actively contribute to team meetings, sharing best practice and streamlining processes. Ad Hoc and Special Projects -Partner with client-delivery and Operations Team on initiatives and ad hoc projects that drive the firm's impact. -Support onboarding new team members to ensure smooth integration into the firm. This role ecompasses BOTH busines and personal scheduling, you will be responsible for keeping their lives on track! Additionally this role will manage the day to day functions of the office (team of 12) i.e.: upkeep and maintenance of the office/operations such as: keeping the conference area and lobby neat and presentable as there is always the possible arrival of unannounced talent and/or high level stakeholders. This position will assist (at a very basic level) of QuickBooks : inputting/record keeping of the office / business budgets, coordination with the accounting team. This requires that the right candidate is proficent with Excel and comfortable with QuickBooks. Administrative functions (ie: filing, correspondence, letters, taking notes during meeting to create business documents, monitoring and answering emails for the executives professionally applying perfect grammar and spelling.) The position is full time 5 days per week : 4 days in office and WFH on Fridays. They offer 11 holidays off per year, close the office the weeks from just before Christmas to just after the New Year, plus 2 weeks paid vacation and sick days. 100% paid benefits: medical and health, dental, life, 401k at 3% contribution from the company regardless of employee contribution. Salary target: $130,000 plus possible annual bonus, based upon performance.
