Essential Functions
Executive and Board Support
Provide advanced calendar and meeting management for the CEO and Executive Leadership Team; prioritize inquiries, troubleshoot conflicts, and ensure seamless daily operations.
Serve as liaison and support to the Board of Directors. Plan and manage all logistics for Board meetings and events.
Complete a wide range of administrative duties to support the CEO's leadership of the organization, including:
Managing special projects
Designing and producing complex documents, reports, and presentations
Preparing meeting materials and correspondence
Maintaining contact lists and arranging travel
Serve as the primary point of contact for internal and external stakeholders on matters related to the CEO, often involving sensitive or confidential information. Assess priorities and determine appropriate action, referral, or response.
Coordinate Executive Leadership Team meetings and provide support for company-wide staff meetings and events.
Office Operations
Manage all aspects of SePRO's Carmel office operations to ensure a professional, efficient, and welcoming environment.
Collaborate with the Chief Human Resources Officer to develop and maintain office policies and procedures for improved workflow.
Oversee office supply inventory, equipment maintenance, and vendor relationships.
Supervise upkeep of multifunction devices, postage meters, and other office equipment.
Provide hospitality to guests and maintain a positive, professional office atmosphere.
Respond to inquiries from the main phone line and assist internal teams.
Event and Project Management
Provide planning and logistical support for key internal and external events and meetings.
Assign project tasks to appropriate staff and track completion to ensure deadlines are met.
Business Unit Support
Support the SePRO Water Business Unit by managing documentation for contracts, conferences, and meetings.
Collaborate with the SePRO Water Vice-President and Marketing Director to develop a SharePoint resource site for the business unit.
Other Responsibilities
Maintain effective document management for corporate contracts.
Perform other duties and projects as assigned in support of organizational goals.
Qualifications / Experience
Minimum of five years' experience in executive support roles.
Expert proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and ability to design and edit professional presentations and materials.
Proficiency with virtual meeting platforms (e.g., Zoom, Microsoft Teams).
Strong verbal and written communication skills.
Exceptional organizational skills and attention to detail.
High degree of professionalism in working with diverse stakeholders, including Board members, senior executives, staff, customers, and community leaders.

The Role We Want You For

The Specifics of the Role:
Prepares correspondence (typing).
Readily assists with whatever is needed to accomplish the company's objectives. This includes typing, filing, copying, binding, scanning, and whatever else is necessary. This will also include document retrieval for auditing and litigation as needed.
Retrieves, scans, transmits and electronically (or physically) distributes executed subcontracts, change orders and other documents associated with projects. This is an extremely important responsibility.
May type contracts, change orders, letters of intent, meeting minutes, etc., and distribute as required. May also help obtain, assemble and assist with project closeout.
May assist in entering punch list items and updating the information thru the completion of the job.
Routinely will run reports and dunning letters on projects as required.
Enter Daily Reports for Clayco and Subcontractors each day and follow up with Subcontractors on missing paperwork.
Update rack drawing with the most current issues on a timely basis. This may be daily.

This position is located in the Department of Homeland Security, U.S. Customs and Border Protection (CBP), Office of Facilities and Asset Management (OFAM), Organizational Resources and Support (ORS) Division, Human Capital Management Branch, Workforce Relations Section (WRS). WRS provides guidance to OFAM senior leaders, supervisors, and managers in the areas of Labor Relations, Employee Relations, Workers' Compensation, and Awards Management. WRS is responsible for planning, developing, and coordinating OFAM-wide projects and policies related to employee and labor relations. Additionally, WRS oversees efforts to ensure that injured employees receive timely workers' compensation benefits and are returned to work as soon as medically feasible. WRS also manages the establishment of performance plans and monitors and reports on their status throughout the performance cycle. Furthermore, WRS oversees the administration and management of all awards programs for OFAM, ensuring recognition initiatives are implemented effectively and align with organizational goals.
This position starts at a salary of $73,939.00 (GS-11, Step 1) to $96,116.00 (GS-11, Step 10) with promotion potential to $115,213 (GS-12 Step 10).

Typical Work assignments include:
* Designing, developing, implementing, and carrying out a variety of workforce management program activities affecting CBP, OFAM Divisions, and their personnel;
* Serving as the central point of contact who researches and responds to questions from OFAM managers, supervisors, and employees regarding benefits, pay, leave, performance management systems, time and attendance, and workforce management;
* Using knowledge of programs and appropriate guidelines and policies and applying goals, timelines, and scope available, planning and providing recommendations, and developing management briefings and presentations for supervisors and high-level and executive management;
* Working with higher graded specialists, Office of Chief Counsel, and Privacy, Freedom of Information Act, and Equal Employment Opportunity Office, ensuring processes are followed and paperwork is completed as required;
* Reporting, making notifications, maintaining trackers, and managing CBP Systems that deal with Performance Management, Within-Grade Increases, Career Ladder promotions, and probationary and trial periods.

Qualifications
Experience: You qualify for the GS-11 grade level if you possess 1 year of specialized experience equivalent to at least the next lower grade level, performing duties such as:
* Serving as the central point of contact, researching and responding to routine questions from employees regarding leave, performance management systems, and workforce management programs;
* Reviewing and gathering relevant evidence on incidents or issues and forwarding packages to leadership for review;
* Working with the management officials to gather critical and/or confidential information and assist in reviewing communications to the union/labor organizations to ensure information is conveyed appropriately regarding the office's objective prior to final review;
* Collaborating with business partners and supervisors to draft decision letters.

Education Substitution: Successful completion of 3 full years of progressively higher-level graduate education leading to a degree from an accredited college or university, a doctoral degree and or LL.M., if related, that demonstrates the skills necessary to do the work.
Combining Education and Experience: Combining Experience and Education: Combinations of successfully completed post-high school education and experience may be used to meet total qualification requirements for the grade levels specified in the table, and may be computed by first determining the applicant's total qualifying experience as a percentage of the experience required for the grade level; then determining the applicant's education as a percentage of the education required for the grade level; and then adding the two percentages. The total percentages must equal at least 100 percent to qualify an applicant for that grade level. Only graduate education in excess of the amount required for the next lower grade level may be used to qualify applicants for positions at grades GS-9 and GS-11. * Providing guidance to all instructors on how to utilize MyPurdue and Brightspace with entering grades, maintaining FERPA/GLBA, Final Exams, "Roll Call" Initial Course Participation Recordkeeping, and reviewing course rosters
* Scheduling room assignments for department
* Processing grade reporting rosters in Cognos and keep grade data for all courses
* Working with faculty to determine course size and keeps record of section enrollments throughout the year
* Serving as the department's textbook coordinator responsible for managing, collecting current editions, and process textbook adoption information and enter into The Textbook Management System
* Coordinating and submitting instructor course evaluations for each ASEC course
* Maintaining updates of data for the department reviews/teaching grants
* Acting as liaison between ASEC and AGAD to process changes to ASEC Course offerings and utilize Curriculog (Addition, Deletion and Modification of a Course) for new and current courses
* Maintaining a course schedule on a 3-year basis to track enrollment and curricula changes
* Serving as primary support for AG Education Faculty and other ASEC Staff members

* High school diploma/GED
* 3 years of program/project support experience
* Excellent verbal and written communication skills
* Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
* Strong organizational and time management skills and attention to detail
* Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, and other Microsoft programs
