There is plenty of room for growth in this exciting role on the Fairfield Property Management Team. This position reports to the Community Manager and successful associates may be promoted to Assistant Community Manager.
WHAT YOU CAN EXPECT TO DO IN THIS ROLE:
CUSTOMER SERVICE & SALES
Be the first point of contact with prospective residents, current residents, vendors and Fairfield associates.
Drive the lease closing process by highlighting the quality of the community and the amenities available at the property to prospective residents.
Determine the customer's needs, resolve and/or escalate to a higher level as permitted.
Use your customer friendly personality as well as your ability to diffuse/resolve difficult situations while nurturing relationships.
Deliver unmatched service to residents to exceed their expectations, while maintaining resident retention.
Meet sales goals, leasing ratios and maintain milestones in customer service and resident satisfaction, throughout the sales process.
OPERATIONS
Manage various tasks such as lease files, maintaining updated necessary paperwork and computer systems.
Use Yardi accounting software manage the leasing process.
MARKETING
Complete marketing/advertising tasks including updating social media sites.
Maintain knowledge about local market conditions; shop local competition.
WHAT YOU'LL NEED DAY ONE:
Minimum of one year experience in a customer service, sales or retail position required
Experience or knowledge in leasing or real estate a plus.
Strong typing and computer skills with intermediate knowledge of Microsoft Outlook, Word and Excel.
Professional verbal and written communication skills required
Ability to close a sale is highly preferred
Knowledge of tax credit, fair housing, and trade practices a plus.
Experience using Yardi or other related property management accounting software a plus.
Experience using Microsoft platform including Outlook, Word, Excel required
High school diploma or equivalent required.
Valid driver's license may be required.
Ability to work a flexible schedule to include weekends, evenings, and some holidays.

TEAM MANAGEMENT
* Recruit, lead, motivate, and develop a high performing and diverse staff.

PROPERTY MANAGEMENT

* Maintain a collaborative working relationship with the on-site professional team to seamlessly coordinate and prepare for the welcoming of all new residents.
SALES & MARKETING
* Ensure the effective execution of marketing programs per branding and marketing standards.
* Represent and ensure the content for your property is represented accurately on marketing assets such as the property website and social media.
CUSTOMER SERVICE
* Increase resident satisfaction through lease renewal strategies and resident retention plans.
* Serve as a Fairfield ambassador by effectively and professionally managing residents' concerns.
WHAT YOU'LL NEED ON DAY ONE:
* 3 or more years of hands-on property management experience
* Multifamily property experience required
* A successful track record as a supervisor is preferred.
* Strong understanding of financial statements such as budget, financial reports, P&L Statements, General Ledger etc. Experience in writing and maintaining budgets.

Provides input into the development of budget(s) for the property by analyzing and evaluating financial statements, reviewing current and projected marketing information, and accessing operational reports that establish historic and predict performance patterns.
Meets targeted revenues by setting rent rates, ensuring rent and fees are collected and posted in a timely manner, making financial bank deposits, and preparing and reviewing monthly financial status reports.
Approves invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased, ensuring validity of certificates of insurance, coding charges to appropriate Chart of Account codes, and managing communication between the vendor/contractor, accounting, and the client/owner as needed.
Controls expenditures by staying within the constraints of the approved budget and manages the balance and maintenance of the petty cash fund.
Oversees the lease enforcement process by approving prospective resident applications, discounts and renewal leases, conducts periodic apartment inspections, follows proper notice requirements, evicts residents, and imposes and collects late fees and other charges as allowable and stated in the terms of the lease.
Gathers, analyzes, and interprets current market and economic trends that may impact the property and implements short- and long-range marketing and leasing strategies to achieve the property's occupancy and revenue goals.
Promotes resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner, and taking appropriate action to resolve and address service issues. Ensures the property's maintenance team members comply with the Company's standards with respect to responding and completing resident service requests.
Conducts regular property inspections and takes appropriate actions to ensure that the physical aspects of the property, grounds, buildings, and amenities meet established standards for safety, cleanliness, and general appearance and appeal.
Community Manager Supervises property staff by interviewing, hiring, orienting, and training employees, and manages their performance in accordance with Company policies, values, and business practices.
Assists in managing the client/owner relationship by meeting with the owners, conducting property tours, providing updates and information about the property's performance, and responding to owner requests as needed.
Physical Demands:
Incumbents need to be able to stand, walk, and/or sit for extended periods of time and bend, stoop, climb ladders, reach, carry objects, and crawl in confined areas.
Incumbents must be able to work inside and outside in all weather conditions (rain, snow, heat, hail, wind, sleet).
Incumbents must be able to push, pull, lift, carry, or maneuver weights of up to twenty-five (25) pounds independently and fifty (50) pounds with assistance.
Rare or regular travel may be required to assist other properties as needed, attend training classes, business meetings, or other situations necessary for the accomplishment of some or all of the daily responsibilities of this position.

Additional Compensation:

Conduct community tours as needed and ensure model and vacant units are in good standing and tour ready.
• Meets targeted revenues by setting rent rates, ensuring rent and fees are collected and posted in a timely manner, making financial bank deposits, and preparing and reviewing monthly financial status reports. Oversees accounts payable/receivable, invoice approvals, and vendor billing accuracy. Develops and executes strategies to drive NOI (net operating income) through rent growth, ancillary income opportunities, and expense control.
• Conducts regular community inspections and takes appropriate actions to maintain safety, cleanliness, curb appeal, ensure preventative maintenance schedules are executed and that amenities are fully operational.
• Promotes resident satisfaction and retention by building a strong community culture while monitoring and responding to resident satisfaction surveys and online reviews in order to maintain strong reputation management.
• Oversees budget creation, forecasting, and monthly variance reporting. Prepares and presents financial performance updates to ownership/asset managers.
• Maintains confidentiality of pertinent personal information concerning residents and staff.
• Analyzes, and interprets local market and economic trends that may impact the community, understands the competitive market set and implements short- and long-range marketing and leasing strategies to achieve the community's occupancy and revenue goals, and adjust pricing and marketing strategies.

BASIC KNOWLEDGE & QUALIFICATIONS:
Bachelor's degree from an accredited college or university preferred in Business Management, Real Estate, or related field.
4-6 years minimum of relevant experience that demonstrates the application of property management, sales, marketing, and customer service background sufficient to manage the day-to-day operation of an apartment community, resolve customer complaints and issues, complete financial records, documents, and reports, increase sales revenues, and coordinate the work of a team
