Looking for someone who can handle the rapid fire of incoming service calls while juggling dispatch and oversight of 6 field service technicians? This position is for someone who enjoys laying out the perfectly dispatched day for your technicians, only to get thrown curve balls, and mixing in the occasional emergency service call. Responsible for managing field technicians, service processes including receiving and posting all incoming service requests received by call, email or Service App. This position will plan, organize, lead and control the flow of service work in a professional, timely manner while communicating with the customer and ensuring quality repairs. This position reports to the Service Director and is cross trained with Service Technicians and Warehouse Managers.

This position will also unload any incoming freight, receive the freight into our inventory system, pull inventory for service calls and construction materials and equipment.
KEY RESPONSIBILITIES:
· Receive and post service calls into Dispatch platform for proper assignment.
· Create daily dispatch for assigned Service Technicians.
· Adjust daily dispatch according to daily incoming 911 calls.
· Communicate ETA to customer.
· Enter and Maintain customer contact information in Dispatch platform.
· Assists techs with identifying part numbers for repair and invoicing.
· Manage the warranty process for Service Department.
· Assist Sales with creating quotes when needed.
· Request Parts to be Ordered, track and communicate ETA for parts for Service jobs.
· Work with Purchasing and Inventory to pull parts for dispatch.
- Inventory Cycle counts
· Ensure all parts breakdowns are posted to server and remain current for Tech
· Input equipment detail and shop drawing for each customer in Fleetmatics.
· Manage Care: process paperwork and submit according to each Vendor submission guidelines.
· Manage other tasks assigned by Service Director.
Requirements and Qualifications
Ability to clearly communicate both written and verbally. Successful work experience as a Field Service Dispatcher or Coordinator. Outstanding decision-making skills and analytical ability. Knowledge of Service Dispatching software. Solid knowledge of QuickBooks Inventory software preferred. Ability to troubleshoot. Ability to change course of direction to take care of immediate issues. Excellent computer skills (Excel, Microsoft Word, Microsoft Office) Excellent, mature leadership capabilities.
Compensation:

•Salary Range - Based on Experience
• Review after 90 days with possible pay increase

Cennox is seeking a Field Service Coordinator based in the Springfield, MO area or Remotely to provide first level support to our customers and Field Service Technicians. Our Field Service Coordinators are dynamic individuals that are self-motivated, self-directed, and work independently in a fast-paced environment. Multi-tasking, effective listening, and clear communication are key to the success of this position.

Essential Duties and Responsibilities include the following, but not limited to:

  • Achieve and maintain a positive rapport with technicians to update them of their critical job status within specific time frames
  • Accurately document and update customer with service status and call completion information
  • Troubleshoot and dispatch service tickets to determine best resolution for issues
  • Escalate unresolved issues to appropriate departments
  • Assist Field Service Technicians with service tickets and lock access
  • Transfer and update service call information to and from clients and technicians
  • Stay current with emails, procedural updates, and call handling documentation
  • Coordinate with field service to provide timely updates to clients on open service calls
  • Call Management/Navigation to ensure ETA and SLA adherence by contract requirement to client
  • Schedule & dispatch preventative maintenance, installations, repairs, and projects while prioritizing the work as appropriate in any given day
  • Use Great Plains and TechSource applications to retrieve customer base information, inventory availability, part order status, and all work order updates, and make changes as required
  • Assist with the closure of service jobs as needed in order to invoice customers on a timely basis
  • Identify opportunities for combining open work to maximize efficiency of field service engineers based on specific criteria
  • Ability to build, maintain, and contribute to a positive team workplace
  • Meets productivity standards, quality metrics, and completes work in a timely manner
  • Ability to work weekends and holidays, overtime may be required on an as needed basis
  • Ability to work a set 9-hour shift anytime between 6am – 9pm, more specifically 12-9pm EST.
  • Other duties assigned by management
