DUTIES AND RESPONSIBILITIES:
* Assists the director of Financial Aid in managing day-to-day operations in all areas of financial aid administration including student accounts and delivering financial wellness programs and events.
* Manage communications and information sharing with Accounting Office on tuition, fees, books, billing dates, due dates, and payment plans.
* Review student accounts for accuracy, and assist students with outstanding financial aid requirements.
* Monitor past due student accounts and work with students to bring accounts up to date.
* Coordinate with Accounting Office tuition billing to third-parties.
* Organize, schedule and counsel students on pertinent topics related to financial wellness and financial planning including federal loan repayment options, loan consolidation, and loan forgiveness.
* Monitor posting of checks to student accounts within established time frames.
* Research external scholarships, manage web listing of scholarships and communications with students.
* Serve as back up in managing data exchange (uploading and downloading of files) with U.S. Department of Education (ED) using the SAIG electronic mailbox, Common Origination and Disbursement (COD) for loan processing, National Student Loan Data System (NSLDS) for enrollment and award reporting, and other third-party processing systems.
* Communicate to students regarding important dates/deadlines including FAFSA filing, verification, missing documents, and scholarship applications.
* Share financial wellness activities with the Director and Coordinator, including one-on-one appointments, group presentations, and federal entrance and exit loan counseling.
* Participate in professional development training.
* Maintain current knowledge of laws, regulations, and institutional polices to ensure compliance.
* Generate and review weekly audit reports on key financial aid metrics, including funding levels, loan and award limits, ISIR rejects, ISIR verification, and loan processing updates.
* Generate and review monthly audit reports for NSLDS, aggregate loan limits, and student enrolled credit hours.
* Reconcile federal Direct Loan disbursements between the Office of Financial Aid and the Accounting Office; ensuring data accuracy between the student information system and the Common Origination and Disbursement (COD) system.
* Manage all aspects of student Leave of Absence processes including exit counseling, Return of Title IV funds calculations, NSLDS updates, and adjustments to cost of attendance and academic year timelines.
* Execute and monitor monthly procedures for managing delinquent borrowers in accordance with federal guidelines.
* Conduct research and contribute to the development and annual updates of the institution's Cost of Attendance.
* Support the implementation of federal regulations and reporting requirements.
* Provide assistance with Student Affairs events, including the White Coat Ceremony, Match Day, and Graduation.
* Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
* Acquires knowledge for new technology and policy/procedure revisions.
* All other duties as assigned.

EDUCATION AND/OR EXPERIENCE:
* Bachelor's degree with one year experience in student financial aid or related area in post-secondary education preferred. Equivalent combination of relevant education and experience will be considered.

* Knowledge and proficiency in grammar, spelling and typing skills.
* Ability to effectively communicate with others verbally and in writing.

About the Opportunity
Kalamazoo Valley Community College is seeking a full-time Student Financial Services Representative. The individual in this position will seek to create a collaborative partnership between students and financial aid staff. The aim is to ensure that students feel welcomed to ask their financial aid questions and share their plans/concerns authentically, in an environment designed to be responsive and supportive. This position will support several aspects of the college's strategic plan, including providing holistic student support and the processing of VA Benefits.
Characteristic Responsibilities and Duties
* Answer financial aid phone calls and emails, see students at the counter, and process paperwork.
* Assist financial aid applicants with the financial aid process and veterans with veteran benefit applications.
* Notify student financial aid applicants of information needed to complete financial aid files.
* Assist aid recipients with program requirements and process VA benefit paperwork/applications, as needed.
* Track, update, and maintain student financial aid and VA benefit files within the financial aid office.
* Complete special and ongoing projects/tasks/responsibilities (such as work-study placement and monitoring, assist with America Reads position development, review student holds, complete housing/enrollment verification paperwork, and assist with Pell reconciliation).
* Enter data into assigned computer systems (Banner, Salesforce, VA OneSource, NSLDS, etc).
* Type standard forms, letters, and other mailings.
* Taking payments for student accounts, helping students set up payment plans, and help students set up refund options.
* Occasional outreach events and Tuesday Nights until 7pm.
Minimum Qualifications:
Appropriate education, training, experience and talents are required. An example of this would be an Associate degree in an appropriate field and the equivalent of two years of general office work.

Customer Service & Account Opening
Provide exceptional customer service through quality conversations and timely communications.

Ethically conducts operational tasks related to protecting customer and bank assets and related to regulatory compliance, including properly documenting account opening, completing logs and other records to document proper procedures, obtaining and ensuring the accuracy of all regulatory and procedural documentation.
Protects all customer information and bank trade secrets and business records as confidential, and follows all company policies for communication with clients, vendors and associates.
Provide front-line customer support through multiple service requests or inquiries submitted through email, Secure Mail, Web Chat or other Digital Banking Channels.
Process customer support requests and inquiries including, but not limited to: Reg E Inquires, Stop Payments, ACH inquires, Account Information. Close accounts, Password Resets etc.
Perform all tasks necessary to establish new accounts: Perform all due diligence required for new accounts, process applications, and deliver fulfillment materials, and upload approved accounts.
Maintain a personally professional and presentable appearance in all internal and external customer interactions.
Be fully proficient in the video banking system and online banking tasks.
Engage with customers in a professional and friendly manner while providing a positive brand experience during each customer interaction.
Maintains current knowledge and consistent compliance with regulations and bank policies and procedures related to the position, including but not limited to Bank Secrecy Act (BSA) and Office of Foreign Assets Control (OFAC) requirements; Employee Handbook policies; and Operations, Audit, and Security policies, through regular and thorough training.
